Agenda
1. Announcements
Michael – UCSB technical services is moving back to the main library from its temporary location on
April 20, following the renovation project.
UCSB is reposting its Metadata Management/Cataloging Librarian position.
John – UCLA’s new Head of Print Acquisitions and Shared Print, Nicole Casner, started work today.
Nina – The Clark Library closed to the public on April 1 for about one year; staff have work to do during the seismic retrofit project.
2. Brief report on my update to SAG2 on CMCKG’s activities
Main part of report was to enumerate everything CMCKG has been doing. SAG2 is impressed by our activities. We are welcome to give them comments and suggestions on things, much as they are free to consult us for feedback.
3. Michael’s request for possible campus co-sponsors for OpenRefine workshop in Jan/Feb 2016
(email sent 3/31)
Michael gave an overview of OpenRefine and what it does. Used primarily for non-MARC data.
Instructors from Belgium are planning to come to do workshop(s) for UC campuses. UCSB would like to pull in additional campuses to host and help pay for the workshop(s) so that costs can be distributed.
Attendees from other campuses (non-host UC) might pay a fee to join in the workshop, or the library on the campus could contribute an amount toward the expenses. If there are three or four sponsoring campuses, the cost is likely to be under $2,000. Airfare and transportation is <$4K; every day in town an additional $1K. These amounts haven't been firmly established yet.
UCLA will also likely be a host for one of the day-long workshops—John Riemer has gotten preliminary approval.
UCB is also interested in hosting, but administrative approval is pending. CDL is also considering it.
UCSD is interested, but nothing has been decided. They would likely join the UCLA or UCSB sessions, as would UCI.
1
We cannot have more than four sessions, total. Perhaps two in Southern California, and two in
Northern California.
Class needs to be taught at a computer lab, or participants can use their laptops (installation of
OpenRefine would be required.)
ETA for these workshops is first week of February.
Michael needs to know from campuses in the next two or three weeks if they intend to be workshop host.
4. Responses to SAG2’s request for feedback on Disclosure Standards for UC Shared Print Journals
(email sent 3/31)
It would be useful to create an easy to read document to covering all the Shared Print programs and their procedures (CDL - WEST/PAPR), how it's used, and what happens (at CDL and other places.)
What is new in this document that UC is being asked to do? How is this new document different from the last? It would be good to know where the changes are, and what they are.
[Unrelated to LHRs, OCLC institution records reflecting local variations in bibliographic records are going away by mid-2016 (just as an FYI.) LBDs ( Local Bibliographic Data ) will take their place in OCLC.
022 directions need to be amended to say, "Use first 022 $a, where there are multiple 022 $a's."
Phrasing now just says "Use first 022." Problem is that $a may not be the first element in the 022 field.
Is there a need for reconciliation between local ILS's and PAPR holdings? Is there an issue with entropy between systems? Database of record is local ILS. Campuses should always include updates, along with new LHRs, in disclosing new archival commitments to prevent this from happening. This issue can also be addressed by resending entire holdings set to CDL each year.
Page 4, point c. Split holdings symbol treatment explanation is confusing. Paragraph should indicate that the instruction applies only when a campus is contributing its last copy to the Shared Print program.
(OCLC indicated at ALA Midwinter that this practice is going to change in the future.)
(Beginning part of the) document title implies that scope is for all UC shared print (versus serials/journals). However, inside information expresses that this is for serial holdings only (not monographs, including analytics). This is problematic, practically speaking, if LHRs aren't submitted where analytics exist. Does anyone do anything for analytic records to indicate that they are part of shared print? Yes, some campuses do this using internal data fields only available for staff view (i.e. non-public notes.) This is more of a best practice issue than an issue for this document.
OCLC system terminology (e.g. FirstSearch, WorldCat.org) will change soon, so these should be updated in the document, when applicable. We are anticipating that these terms will need to be updated soon.
