PENNDATA CALCULATION GUIDE
In order to calculate the Penndata Reporting section on a student’s IEP the total hours and minutes a
student is in school and classes, etc. needs to be converted to decimals. The following charts are
designed to help in the calculations:

The elementary school starts at 8:15 and ends at 2:50 pm. That is 6 hours and 35 minutes, which is a decimal of
6.58
The middle school and high school starts at 8:00 am and ends at 3:11 pm that is 7 hours and 11 minutes, which
is a decimal of 7.18. (Since students are allowed in their classrooms at 8:00 they are with their “nondisabled
peers” for that time).
Conversion for the middle school and high school periods is as follows:

Calculation: 7.18 hours in the day minus .72 (period 3) minus 0.10 for speech = 6.36 (Speech is thirty minutes per
week so it converts to 6 minutes per day).

Elementary School Example calculations:
Example #1: the student is seen individually for speech (30 minutes per week), OT (20 minutes per week) and
individualized language arts (120 minutes per day). Therefore the calculation would be:
Speech:
30 minutes/week = 6 minutes/day = 0.1
OT:
20 minutes/week = 4 minutes/day = .07
Ind. Lang. Arts:
120 minutes/day = 2.00
Total Decimal: 2.17
6.58 – 2.17 = 4.41

Example #2: The student is in co-teach for math and language arts. There is some “pull out” for pre-teach/tutor
and test taking. The hypothetical time for these activities may be 75 minutes per week.
75 minutes per week = 15 minutes per day = 0.25
