Working Environment / Important Personal Attributes
This position within RUSU offers a unique and rewarding working environment whereby elected
student representatives are the managers and supervisors. They are elected annually and
change every year, hence the position is subject to serving a new ‘Student Management’ team
each year. The elected student representatives are supported by a range of permanent paid
professional staff, including the Campus Activities & Events Officer.
Whilst some of the students may lack previous experience in event management and delivery,
the majority are enthusiastic, keen to learn and be mentored during their term of office. They are
not paid staff, but do receive a small honorarium and may need to work part-time, in addition to
their role at RUSU and their tertiary studies. Therefore RUSU staff must have excellent
interpersonal skills and enjoy working with young adults in a dynamic, fun and at times busy
environment. They must also possess a willingness to share their knowledge and experience to
develop and support these young students in their roles as student representatives.
About the RMIT University Student Union (RUSU)
The RMIT University Student Union (RUSU) is the representative body of around 65,000 RMIT
University students and is an independent organization from RMIT University. RUSU has an
annual operating budget of over $3 million and employs over 20 paid staff members and 12
casuals. It is governed by 25 elected student office bearers, most of who receive an
honorarium. RUSU’s main offices are located in the CBD; however, we operate offices and
provide services on outlying campuses in Bundoora and Brunswick.
RUSU represents students’ interests and undertakes a vast range of activities that enhance
and foster an active and informed student life on campus. This is done through:

The provision of student information and referral services

Undertaking campaigns, education and training programs, forums and workshops
including the promotion of student welfare and advocacy and student complaint
resolution

Providing a diverse range of social and cultural activities, such as Orientation and ReOrientation, lunchtime and nigh time activities

Coordinating a wide range of student clubs and offering a variety of accredited training
courses

Providing a professional accredited volunteer program for RMIT students

Operating RUSU Realfoods - vegetarian and vegan, organic and fair-trade cafés

Producing a number of student publications, operating a TV production house and
maintaining a website/social media presence.

Organisational Unit
The Activities Department is a high profile department of the Student Union which plays a key
role in enhancing and developing student life at RMIT, through providing relevant and
accessible activities, events and competitions on and off campus.
The types of events and activities organised by the department are diverse and may include;
Orientation and Re-Orientation events, on campus festivals, theme days, weekly DJ/Bands,
Beer & BBQ events, cultural events and performances, Band Competitions and night time
theme parties.
The Activities department consists of; two staff members, (the Sponsorship & Events Officer
and the Campus Activities & Events Officer), an annually elected student Activities Officer and
a large team of trained events volunteers who provide input into and assist with the delivery of
activities and events. Student casuals are also engaged to assist deliver some campus events.
The two staff roles work closely together on planning and delivering activities and student life
programs. However, they have different focus areas. The Sponsorship & Events role is
responsible for the major night time events, off-campus events, competitions and RMIT wide
major events such as Orientation and Re-Orientation.
The Campus Activities & Events Officer has a very hands-on role planning and delivering the
regular weekly BBQs/lunch time events and other special events held on campus. They provide
planning advice and logistical assistance to student representatives organising events and work
closely on a day to day basis with the events volunteers and volunteer program.
As part of the Student Life operations of RUSU this role works closely with the Clubs &
Societies department, the Student Engagement Officer and the Publications & Communications
Officer.

1. Position Summary
The Campus Activities & Events Officer plays a central role in the planning and delivery of
student life events and programs that enrich the student experience of campus life at RMIT.
They facilitate the involvement of students in the activities programs and representative
structures of the Student Union, as event participants, events volunteers and as Student Union
members.
This role is primarily focused on regular event delivery on a cross campus basis. The
incumbent will work closely with staff and student representatives on the Bundoora and
Brunswick campuses to plan and deliver events on the outlying campuses and encourage
student involvement in RUSU and campus life. They also coordinate and deliver the large
weekly Chill and Grill BBQ, bar and band event on the main city campus with a large team of
RUSU student volunteers, and deliver fortnightly lunch events on the Carlton site.
The Campus Activities & Events Officer has a very hands-on role, delivering three to four events
per week during semester. They may also be involved in the planning and /or delivery of special
events including those coordinated by the Sponsorship & Events Officer. In addition to the
campus events, this role is the ‘go to’ staff member for planning advice and logistical assistance
for the Student Union departments and student representatives. During periods where weekly
events are not running this role works on other relevant projects and undertakes planning for
activities such as student camps and Orientation talk programs.
This position works closely with the RUSU events volunteers and contributes to the
development of the RUSU volunteer program.
2. Key Responsibilities
Event Management
Contribute to the RUSU student life events and activities on campus through:

Coordinating, planning, managing and delivering a range of regular and special campus
based events and activities in conjunction with relevant staff, student representatives
and where required with external stakeholders

Providing on-site support and direction to events volunteers and events student casuals

Effective communication and liaison with relevant outside bodies (i.e. the entertainment
industry, promoters, booking agents, venues, acts, event hire, local councils, etc)
including contract negotiation on behalf of RUSU, to ensure smooth running of key
events

Undertaking events risk assessment, checking compliance requirements and providing
advice to RUSU on safe, best practice event delivery

Providing advice and operational support to staff and student representatives in the
planning, implementation and evaluation of departmental events

Working alongside the Sponsorship & Events Officer to deliver major RUSU events such
as Orientation and Re-Orientation

Liaising with relevant RUSU staff to develop innovative events promotional strategies
and materials

Development of event; plans, budgets and motions for Secretariat and SUC meetings.
Volunteer Program
Contributing to a rewarding and high quality volunteer experience for events volunteers by:

Providing supervision and support to the events volunteers

Undertaking volunteer administration including for LEAD accreditation purposes

Being aware of and complying with RUSU Volunteer Policies & Procedures

Participation in the volunteer training program and volunteer recognition events

Ensuring that events volunteers have access to information and where appropriate
relevant professionally certified training on issues related to RUSU events operations
(First Aid, Food Handling Safety, RSA, Manual Handling, etc)

Working with the Student Engagement Officer to assist with the recruitment, ongoing
involvement, induction and rostering of events volunteers.
Projects

Involvement in the planning, delivery and evaluation of special RUSU projects consistent
with this position description including; orientation camp, volunteer camp

Coordinating a comprehensive cross campus program of orientation talks and delivering
orientation talks as required.
Administration & Reporting

Monitoring and management of budgets for the events, programs and grants overseen
by this role

Documenting RUSU activities and outcomes and providing input into the quarterly
reports, relevant submissions and promotional materials

Providing input to RUSU in regards to continuous improvements for the Activities
department and volunteer program

Provide advice to RUSU on events equipment maintenance and purchasing
requirements

Contribute, collaboratively, towards the achievement of the aims and objectives of the
Student Union and undertaking other relevant duties as required.

3. Selection Criteria
3.1 Essential
 At least two years prior work experience in a relevant role within the tertiary education
sector, community or events sectors (or a combination of relevant working experience
and or tertiary degree in related field)
 Demonstrated experience with hands-on event planning, co-ordination and delivery,
particularly in relation to coordinating volunteers and working within policy
frameworks
 Experience within the entertainment industry, particularly in regards to negotiating
performance contracts
 Well informed of current trends in entertainment and popular culture
 Proven experience in working with volunteers and familiarity with delivering,
reviewing and developing volunteer programs
 Experience with the development of innovative event promotion and publicity
materials
 High-level written and verbal communication skills and demonstrated ability to work
with people from a range of organisations and backgrounds, and establish and
maintain effective working relationships
 High level of organisational and administrative skills and ability to prioritise work
commitments
 Demonstrated ability to develop and work within budget guidelines
 Demonstrated computer skills including word processing, basic spread sheets, email
and internet, using industry standard applications
 Proven strong team working ability and the capability to take initiative where
necessary and appropriate
 An understanding of and commitment to the principle of student control of student
affairs
 Certified training in Responsible Serving of Alcohol, Food Handling Safety, and First
Aid, or willingness to undertake appropriate training.
 Current driver’s license.
3.2 Desirable

Tertiary qualification in events management or related area

Experience in tertiary entertainment environment/ working knowledge of student
organisations

Established networks in the entertainment/ events industry.

Level of Supervision, Independence
The incumbent works under general direction of an elected student representative. Duties of
this position will be conducted collaboratively with Student Union representatives and staff.
This position regularly coordinates events student volunteers and provides on-site direction and
support to events student casuals.
The Governance & Development Officer will be available to provide support to and
troubleshooting for the incumbent. The incumbent will have support available from the
Student Engagement Officer with issues related specifically to volunteers.
This position is required to provide work reports to their supervisor and to provide
quarterly reports on outcomes and achievements of the department to the Governance
and Development Officer.
Problem solving and judgement
The incumbent provides expert advice to the Student Union by identifying issues affecting
student life and campus culture.
The incumbent further requires an innovative and creative approach to problem solving to
ensure the smooth running and successful outcomes of campus based events and
activities.
Professional and organisational knowledge
The position requires knowledge that comes from significant experience and/or relevant
qualifications in the entertainment, event management industries and in student union,
community organisations or wider entertainment industries.
The position requires excellent event management and event promotions experience and
a good understanding of campus culture including students from diverse backgrounds,
student unions, volunteerism and a general understanding of entertainment within the
tertiary education sector. The position requires the development of specialist expertise to
provide a range of entertainment, activities and networking opportunities to students.
