Pastoral Parish Council Meeting Minutes 1900-2030, Wednesday, May 13th, 2015 The River Chapel Attendance Present: Melissa Clark (President),Dee Dee Monaco, William Kouam, Cynthia and Joe Adkins, Deacon Carl, Paul Demmy, Jay Carini, Mark Voris and Mike Storey Absent: Msgr. Cody, Tamara Criswell (Secretary), and Bryan Ferguson. Opening Prayer: Deacon Carl Secretary’s Report—Approved Pastor’s Report and Business Manager’s Report: Deacon Carl (Building projects— Pew repair, driveway resurface, light fixtures outside church) A letter will going out to the parishioners regarding two renovation projects. The flooring project: The Diocese rejected the request for a $20,000 loan which would have been paid back within a year; the funds have been secured elsewhere for the flooring project. The tiles being put down are a long lasting type that does not need waxing or continual maintenance. The asbestos will also be removed with the asbestos abatement. There is also a standard warranty on the tiles themselves, covering both the installation and construction of the tile. The second project to be undertaken will be replacing the light sockets with LED sockets, to both replace those sockets that are not working and to update the lighting system. The project cost may be reduced by the use of energy efficient bulbs, which will reduce the operating costs as well as rebates that may be available. This will take place over the next month. The north driveway needs to be resurfaced, but this may be scheduled out for a later date. This will involve elevating the grate, as well as repairing the driveway, to an estimated cost of around $18,000. These three projects will bring the needed repairs to a close for now. BAA: We are behind about $8,000 over last week, going out of the first week of the appeal. This year’s goal is $65,464 which is up $5,293 over our goal last year. We currently pay 6% tax to the Diocese each year of our total donations received weekly. Census Meeting for beginning of May: Jackie and Carl are going to visit St. John Newman and review how that Parish has conducted their census. The Diocese is now contemplating what they are planning to do with “ParishSoft”, which may impact what we decide to use for our census. The Diocese has also recently hired a new IT person. We will have more information by July regarding how we are going to proceed. We are also looking at an App for the Parish. A new Pastoral Assistant has been hired to help with hospital visits, homebound parishioners, grief counseling, funeral planning and other duties as well as reporting to Monsignor as far as Spiritual needs. Parish Faith Formation Report: Dee Dee Monaco Spiritual Day spa email blast went out to select group of women from the parish. The event is May 21st with the cost being $47.00. St. John Newman will be starting a new bible study group-Alpha in the fall: Our parish would like to see how to get this scheduled for St. Christopher, with spacing and scheduling conflicts the main concern. St. Gabriel is doing a pilgrimage to EWTN, with the information going to a select group of people. The trip runs from Wednesday to Sunday for a cost of about $700-$800. We will not be trying to organize a trip to Philadelphia for the Holy Father’s visit: the concern is that accommodations etc. are already booked. Fred Dowditch is a consultant and will be invited to the July meeting for a presentation on security. OLD BUSINESS Update on St. Chris/Trinity Building Multipurpose/Gym Project after first meeting: 4 facilities have had site visits, with an upcoming meeting being planned to discuss their impressions of the site tours, needs for our facility and preliminary drawings and cost analysis. The Diocese will be then contacted for approval for the next phase. A dedication for the memorial area will be held in May, with a blessing and reception following. Welcoming Committee: This will be rescheduled for the fall to welcome those who have joined the Parish in the last year. A list has been requested on an ongoing basis from Sara containing all the new parishioners monthly. A festival booth may be a good idea to have information for potential new members. PPC Constitutional Bylaws: These have been placed on the Parish website by Mark. The minutes for the meetings will also be placed on the website NEW BUSINESS SAB and Trinity School News: The parish bulletin needs to be updated to reflect our meeting times of the second Wednesday of the month. A request has been placed to see if the entrances and exits of the parking lot can be reconfigured to help with traffic flow and congestion for the school. Zoning requirements may be the issue. The valet parking company has been attempting to restrict parishioners from using our parking lot. They cannot restrict any parking for valet only. New IT person for Parish: the budget for next year is being created for next year: with the possibility of a part time person for IT. Our Seminarian for next year may also be able to help; perhaps with a “Young Professional” member to assist. Rosary Wednesdays: Adoration and Rosary will be started again in the fall, with a need for a consistent person to spearhead this. Next meeting—July 8th at 7pm in the River Chapel
