4HOnline HelpSheet Entering Market Beef Information into 4hOnline The only market beef that MUST be entered into 4hOnline are those that are designated as state fair animals. Other beef animals are optional, but only because these are staff-entered animals. If there is any chance that the animal will be entered at the state fair, there must be an entry in 4hOnline, as that is the only identification that we will use at state fair check-in. It seems like it would be confusing for families to login and approve only a portion of their market beef, so county staff should strongly consider entering all animals. For animals that are entered by families (non-weigh-in animals), ALL animals MUST be entered into 4hOnline either by the family or by county staff. There will be no allowance for animals that are not in 4hOnline at the state fair—either the animal is identified in 4hOnline or it isn’t eligible to show. Log in to 4hOnline, using your county account. Click on the Animals tab at the top of the screen. Click on the Search icon if it is not already highlighted. If you see a record at the top of the screen, click “Remove Filter”. In the full search screen, locate the first youth with an animal to be entered. You can use the Keywords field to find their name. (Note: if a youth is not showing up on that screen, their record is not active, so at that point, you will need to go back to the Enrollment tab, find them, and approve their enrollment.) Click the Select button beside the youth’s name. There will probably be “zero” animals, but there could be some if the youth has self-identified other types of animals. Select the Animal Type Beef, Market, and click Add Animal. On the next page, you will see a screen print of the Market Beef data entry screen. Fields in bold are required. Type in the weigh-in date in the format shown, or use the pop-up calendar, being sure to select month & year first, then the date. Entering the tag number: For the original style tags with a county code and tag number - enter the tag number as a two-digit county code followed by the ear tag number, with a dash, but no spaces. Counties 1-9 will start this with a zero. Pottawattamie counties are the exception-they use 3-digit codes (178 for East Pott., 278 for West Pott.). For the new USDA style tags – do NOT enter the 42 digits; just the letters and numbers that follow (i.e. ZAC1443 would be entered) Select the correct option for tag color and ear, enter the beginning weight, select Male or Female for steers & heifers. 12/3/2014 4HOnline HelpSheet Breed type: Read the text at the top of the page. If no breed is filled in before Feb. 1, the animal will show as a crossbred at the state fair. Select Registered or Registered Dual for a standard breed list. Select Other to type in an unlisted breed (like Belgian Blue). Red Angus are listed as “Angus, Red”. Tattoo & Registration number are optional fields, for county use. They aren’t used for market animals at the state fair, but if a weighed-in heifer may show as a breeding heifer, she will need to have a tattoo—so record it if it’s available at weigh-in time. County staff can use the Addl. Information field to designate county info like home-raised, pen of 3, or whatever. If the animal was weighed in at a site that is not in your county, type in the name of the county where the animal was weighed in. If the animal was weighed in at your own county site, leave that field blank. When you’ve finished and checked this record, you can choose to Save (if there are no more animals for this member) or Save & Add Another (for the same member). If you Save and Add Another, the State Fair checkbox, Beginning Weight Date, Tag Color, Sex, and Weigh-in county will default in from the previous record. They can all be changed on each record, however. Once you’ve saved, the member can log in to his record (logging in from the main screen as the family only, not logging in from your county account) and verify the information. While the animal is “pending” (saved but not verified), information can be changed by county managers. Once the record has been verified by the family/member, it’s locked and cannot be edited or changed by county managers. If the family/member chooses not to verify the entry, it will still become locked on Feb. 1, and the information will be assumed to be correct. There will be no paper 106 forms at the state fair, so what’s in 4hOnline on Feb. 1 is the final record for this animal. The Manager Comment field is always open, even when the record is locked. In the event that information HAS to legitimately be changed after verification or after Feb. 1, the county manager will need to notify Mike Anderson, as that has to be done by a state admin account. Other options: Clicking “Animal List” below the member’s name brings up a pop-up list of all animals for that member, and a shortcut to add another. Quick Reports: Animal – Information creates a PDF printout of the information that was entered about the animal. 12/3/2014
