applications will not be accepted. DO NOT forget to include a copy of your schedule, including work.
Interviews will be held November 10-14th for executive officers. Slate voting will be November 19th @ 9:30p.m. We will
contact you to set up a time for your interview. You must have a minimum 3.0 grade point average to be a member of the
Panhellenic Council and have been a member for 1 year, i.e. Fall ’12 and older.
*Must be sophomore standing with interest of being Vice President of Recruitment for 2016.
Panhellenic Position Responsibilities
1. General
a. Attend all meetings of the Panhellenic Association and Panhellenic Council Executive Board
b. Meet, at least weekly, with her Interfraternity Council counterpart.
c. Meet, at least weekly, with the Greek Advisor.
d. Report an infractions of the Panhellenic Association rules and policies
e. Serve as a positive role model for the Kent State University Greek Community at all times.
2. Vice President of Communications
a. Maintain an attendance record for all Panhellenic Association and Panhellenic Council Executive Board
meetings.
b. Maintain minutes and all records of regular, special, and emergency meetings of the Panhellenic Association
and Panhellenic Council Executive Board, and ensure that these records are posted on the Panhellenic Council
website in a timely manner.
c. Be responsible for all correspondence of the Panhellenic Association and Panhellenic Council Executive Board.
d. Update and maintain the All-Greek Contact List.
e. Provide periodic website updates to the Vice President of Public and Alumni Relations.
f. Meet, at least once per semester, with the Secretaries of each member fraternity.
g. Prepare an agenda for each meeting of the Panhellenic Association and Panhellenic Council Executive Board.
3. Vice President of Finance
a. Request budget submissions for each Panhellenic Council Executive Board officer to prepare a budget for each
officer and planned program.
b. Prepare an annual budget of the Panhellenic Association and present it to the Panhellenic Association
delegates for approval.
c. Issue membership dues invoices each semester for all active and new members of each chapter.
d. Maintain accurate and timely financial records.
i.
Ensure that thorough records of each financial transaction, including all receipts, are maintained both
electronically and in a hard-copy file.
ii.
Ensure that all invoices, bills, and reimbursement requests are verified and paid promptly.
iii.
Ensure that all fines and dues are properly invoiced, collected, and deposited into the Panhellenic Council
checking account in a timely manner.
iv.
Ensure that all Kent State University Account charges are recorded and tracked, and that sufficient balance
in this account is maintained at all times.
e. Present an updated budget-expense report at each Panhellenic Association meeting and an annual budgetexpense report at the end of each calendar year.
f. Provide periodic website updates to the Vice President of Public and Alumni Relations.
g. Meet, at least twice per semester, with the treasurers of each member fraternity/sorority.
4. Vice President of Judicial Affairs
a. Conduct, at least once per semester, a workshop pertaining to the rules and policies of the Panhellenic
Association and Kent State University.
b. Conduct an annual training program for delegates to the Panhellenic Association Judicial Board.
c. Convene the Panhellenic association Judicial Board to hear all cases of infractions not resolved through the
NPC Mediation Process.
d. Execute the NPC Judicial Process, including maintaining records of all appropriate paperwork.
e. Conduct an annual review of the Panhellenic Association Constitutions and Bylaws.
f. Provide periodic website updates to the Vice President of Public and Alumni Relations.
g. Meet, at least twice per semester, with the Judicial Affairs Chairs of each member’s fraternity/sorority.
5. Vice President of Membership Education
a. Plan and implement new member education programming, including New Member Convocation, at least once
per semester.
b. Plan and implement hazing education programming, including National Hazing Prevention Week, at least once
per semester.

Oversee the Junior Panhellenic Council, including selection of delegates, all meetings, and appropriate
programs.
Provide periodic website updates to the Vice President of Public and Alumni Relations.
Meet, at least twice per semester, with the New Member Educators of each member fraternity/sorority.
6. Vice President of Philanthropy and Community Service.
a. Plan and implement community-wide philanthropic programming at least once per semester.
b. Plan and implement community-wide service programming, including Community Awareness Week, at least
once per semester.
c. Promote active participation in all chapter and community-wide philanthropy and community service
programs.
d. Meet, at the beginning of each semester, with the Kent State University Coordinator of Community Service
Programs to gather information on upcoming programs and service opportunities for members of the Greek
Community, and ensure that these opportunities are communicated with the Philanthropy and Community
Service Chairs of each member fraternity.
e. Provide periodic website updates to the Vice President of Public and Alumni Relations, including the listing of
all chapter philanthropy events on the online calendar.
f. Meet, at least twice per semester, with the Philanthropy and Community Service Chairs of each member
fraternity/sorority.
7. Vice President of Programming
a. Plan and implement annual community-wide programming including Greek Week and Homecoming:
b. Plan and implement community wide social and community building programming at least once per semester.
c. Ensure that all community-wide and chapter events are posted on the online calendar.
d. Provide periodic website updates to the Vice President of Public and Alumni Relations.
e. Meet regularly with the Greek Week and Homecoming Chairs of each member fraternity/sorority.
8. Vice President of Public and Alumni Relations
a. Develop an annual public relations plan, including plans for outreach to current members, alumni members,
fraternity/sorority headquarters staff, university faculty/staff, Kent community members, and prospective
members.
b. Maintain the Panhellenic Association website.
c. Develop and publish appropriate Panhellenic Association public relations and marketing tools.
d. Meet, at the beginning of each semester, with the Kent State University Alumni Relations Outreach
Coordinator and President of the Greek Alumni Affinity Group, to gather information on upcoming programs
and collaboration opportunities.
e. Develop and publish an online Greek alumni newsletter at least once per semester.
f. Assist in the planning and development of an annual chapter advisor training and development program, and
ongoing advisor training and development programs.
g. Meet, at least twice per semester, with the Public Relations Chairs and Alumni Chairs of each member
fraternity.
9. Vice President of Recruitment and Retention
a. Thoroughly plan and implement the Fall Recruitment process.
i.
Set dates for the Fall Formal Recruitment process in conjunction with the Greek Advisor
ii.
Schedule all locations for Fall Formal Recruitment meetings, events, and other activities through the
University Scheduling Office.
iii.
Develop a comprehensive marketing plan for Fall Formal Recruitment in conjunction with the Vice
President of Public and Alumni Relations.
b. Conduct an annual review of the Panhellenic Association Recruitment Rules.
c. Plan and implement, at least annually, a workshop pertaining to the Panhellenic Association Recruitment
Rules.
d. Conduct an annual survey assessment process to evaluate the Fall Formal Recruitment process.
e. Provide periodic website updates to the Vice President of Public and Alumni Relations.
f. Meet regularly with the Recruitment Chairs of each member fraternity.
10. Assistant Vice President of Recruitment and Retention
a. Coordinate the selection, training, and all activities of the Sorority Recruitment Counselors.
b. Assist in the planning and implementation of the Fall Formal Recruitment process.
i.
Set dates for the Fall Formal Recruitment process in conjunction with the Greek Advisor.
ii.
Schedule all locations for Fall Formal Recruitment meetings, events, and other activities through the
University Scheduling Office.
iii.
Develop a comprehensive marketing plan for Fall Formal Recruitment in conjunction with the Vice
President for Public and Alumni Relations.
c. Conduct an annual survey assessment process to evaluate the Fall Formal Recruitment process.
d. Provide periodic website updates to the Vice President of Public and Alumni Relations.
e. Meet regularly with Recruitment Chairs of each member fraternity.
11. Vice President of Risk Management
a. Manage the social event registration process for the Panhellenic Association.
b. Plan and implement, at least annually, a workshop pertaining to the FIPG Risk Management Policy and the NPC
Unanimous Agreements relevant to risk management.
c. Plan and implement community-wide risk management programming at least twice per semester, and ensure
that the following risk management topics have been addressed at least once every two years:
i.
Alcohol Use and Abuse
ii.
Drug Use and Abuse
iii.
Hazing
iv.
Health and Wellness (including mental health, suicide prevention, nutrition and body image, etc.)
v.
Housing Safety (including fire safety, security, self-defense, etc.)
vi.
Sexual Assault
d. Assist in coordinating an annual fire safety inspection for each member fraternity.
e. Provide periodic website updates to the Vice President of Public and Alumni Relations.
f. Meet, at least twice per semester, with the Risk Management and Social Chairs of each member fraternity.
12. Vice President of Scholarship
a. Plan and implement community-wide scholarship programming for active and new members at least once per
semester.
b. Recognize, at least once per semester, chapters and chapter members achieving high levels of scholarship.
c. Meet with, at least once per month, those chapters that have not attained at least a 2.75 chapter GPA in the
previous semester to discuss plans for improvement and to share appropriate resources.
d. Assist in the planning an implementation of the Founder’s Arch recognition program.
e. Provide periodic website updates to the Vice President of Public and Alumni Relations
f. Meet, at least twice per semester, with the Scholarship Chairs of each member fraternity.
