POSITION DESCRIPTION – LTE SCHOOL OF BUSINESS & ECONOMICS
UNIVERSITY SERVICES ASSOCIATE 2
The Primary focus of this position is to provide clerical support services to the Academic
Department Associate and the staff of the School of Business & Economics. Major
responsibilities of this position include delegated work from Administrative Support and Chair
for the efficient function of the School of Business & Economics. Also serve as front
desk/reception contact for the School of Business & Economics.
The University Services Associate must have knowledge of Microsoft Word, Microsoft Excel,
and Microsoft Outlook. The person must know how to access information from the internet, use
email for single and mass mailings, know how to plan and coordinate banquet activities, enter
textbook orders and follow through and handle multiple tasks in a fast paced setting due to the
growth of the SBE.
RECEPTIONIST FOR SBE STAFF, STUDENTS, & GENERAL PUBLIC





Act as main receptionist and provide information and services to other faculty, students,
and general public
Greet and screen visitors, emails, and telephone calls
Maintain daily calendar of meetings, class schedules, events, committees
Schedule meetings
Receive and place telephone calls/emails, provide routine information
TEXTBOOK ORDERS







Alert faculty to deadlines for ordering textbooks on a semester basis
Initiate, process, and enter all orders through Text Rental and the University book store
Search and obtain requested information to process orders
Determine appropriate number of textbooks to order
Monitor textbook usage for required length of time
Order new editions or new textbooks as needed
Email in requests to publishers for desk copies, exam copies, and/or complimentary
copies of textbooks for department faculty
SPRING SBE SCHOLARSHIPS AND BANQUET

Assist with coordination of applications, letters, scholarship checks, banquet program,
certificates, and plaques

Create reports in relation to donor specifications and selection needs
Prepare application binders for awards committee to facilitate selection process
Alert students to various scholarship-related deadlines via email
PERSONNEL FILES





Organize and maintain files pertaining to the operation of the unit
Archive historical files
Purge files on a periodic basis
Maintain and organize storage area
Preserve confidentiality when appropriate
MAINTAIN OFFICE AND CLASSROOM SUPPLIES AND EQUIPMENT




Inventory, order, and maintain office supplies for faculty and classrooms
Maintain an organized supply system in copy room
Assist faculty and staff to accomplish troubleshooting problems with copy machine,
printers, and other technology
Place work orders with facility services/IT for repairs as needed
EDITORIAL RESPONSIBILITIES



Assist with data and other information as needed to complete reports required by
university administration, review committees, accrediting agencies, etc.
Prepare brochures, newsletters, informational packets, spreadsheets & statistical
information pertaining to the SBE activities and programs
Typing and other projects as assigned on a daily basis
FACULTY EVALUATIONS





Prepare packets of evaluations to be administered by peer advisors in SBE classes
Prepare survey links for online courses; send via email to appropriate course sections
Receive finished evaluations, type comments
Compile finished evaluations in numeric order, work with ADA to box and deliver to
scanning office to be scored
Enter results of evaluations into spreadsheet and distribute to faculty with typed
comments
MAIL



Distribute mail twice daily
Drop off any outgoing mail in CPS mail room (CPS 336)
Maintain mailroom, creating mailboxes for new faculty

SEARCH AND SCREEN




Assist with the online TAM system by processing new applicant materials up to 10
searches per year.
Correspond with applicants via email in TAM and update applicant dispositions as
needed
Create programs for on-campus candidate interviews
Deliver Affirmative Action forms to proper personnel for signature
ASSIST FACULTY







Make copies of exams, assignments, hand-outs as requested
Create faculty retention packet materials when needed
Collect minutes and save to shared drive
Prepare TERs
Set up room reservations
Cancel classes
Run campus errands
