About the role
Based in the heart of Deptford, the Albany is a performing arts
centre, with a strong focus on working with its diverse local
communities. The box office team takes an active part in ensuring
the smooth day-to-day running of both our ticketing function for
shows and events and the Albany Reception.
The Albany has a wide range of users and visitors, our box office
team are often their first point of contact in person and on the
phones. Our box office team assistants provide an informative and
welcoming service in an efficient and professional way.
Main Objectives
 To sell tickets to the public whilst providing a high level of
customer care.
 To actively promote events, maximise sales opportunities and
encourage the use of all the Albany’s facilities.
 To be the “public face” of the Albany and act as a leading member
of the box office team.
 To maintain accurate customer data and sales figures for the Box
Office financial and marketing records.
 To work closely with the BO Supervisor and other Box Office Team
Members in maintaining and improving service levels and
procedures.
Box Office





Operate the online Box Office system (Spektrix) to sell tickets
by telephone, online, and in person, create and edit events and
produce sales reports.
Ensure strict adherence to Data Protection best practice in line
with our Data Protection and Privacy policies and financial
procedures.
Stay informed about all forthcoming events, promotions and
internal updates.
Disseminate information and updates within the Box office team.
Collaborate with key colleagues to ensure the Box Office and
other leaflet and information points are well presented and fully
stocked
with
relevant
promotional
material
and
accurate



information for visitors.
Provide a high level of customer service to visiting companies
working as part of the Albany team ensuring their needs are being
met whilst adhering to our policies and health and safety
guidelines.
Generate regular sales reports for members of staff and visiting
companies.
Assist Marketing with any research for audience development and
other purposes.
Reception








Provide reception services to Albany staff, Resident companies
and visitors.
Receive and sign for deliveries and ensure they reach the
intended recipient.
Ensure appropriate monitoring and data capture for all room
bookings.
Deal with any phone/email enquiries, operate the switchboard and
pass on any messages as appropriate.
Check room availability on the Artifax booking system for
potential hirers and pass over information to the Bookings
Coordinator.
Ensure that all post is franked and posted at the end of each
weekday.
Assist with mail-outs and other administrative tasks.
Comply with the Albany’s Health and Safety policy at all times.
Personnel



Work with the Box Office Supervisor to contribute to a coherent
and smooth running box office team.
Assist with the induction of new staff and with keeping all
training material and box office policies relevant and up to
date.
Establish and maintain good relations with audience members,
visiting companies, resident organisations, resident artists and
all other visitors to The Albany.
Finance




Accountable for any monies banked through the Box Office or for
payments of room hire.
Ensure the secure storage of money and other valuables in the
Reception area.
Assist with the administration and processing of weekly banking
under the supervision of the Box Office Supervisor.
Create and chase up invoices for all school bookings.
Room Bookings
 Capably perform room searches, process new bookings and amend
bookings as instructed (training on Artifax software provided).
General


Attend any meetings/training sessions as deemed necessary by the
Box Office Supervisor.
Undertake any other work as appropriate for the position.
