Uncle Remus Regional Library System Managers Meeting 1121 EAST AVENUE MADISON, GA 30650 706-342-4974 The Managers of the Uncle Remus Regional Library System (the “Managers”) met at the Uncle Remus Regional Library System Headquarters, Madison, GA on March 19, 2014, at 10:00 a.m. The following individuals were present: - Regional: Steve Schaefer, Holly Jarrell, Nancy Condon, Mary Young, Charles Rigsby Greene County: Jackie Broderick. Hancock County: Karen Meeks. Jasper County: Tamala Alexander. Morgan County: Miriam Baker. Putnam County: Joshua Bell. Walton County, Loganville: Rick Vetsch. Walton County, Monroe: Kendall Holder. Walton County, Social Circle: Janet King. Walton County, Walnut Grove: Amy Hicks. The meeting was called to order at 10:07 a.m. Motion 1: February 19, 2014 Minutes Approved Nancy Condon presented the Minutes from the February 19, 2014 Managers Meeting. A motion to accept the minutes was made by Miriam Baker, seconded by Kendall Holder and passed with a unanimous vote. Holly Jarrell informed the managers of the new Baker & Taylor product TS360, which will be used during ordering of new materials. Holly Jarrell suggested certain places on gift items to put possession stickers. She prefers that for books the sticker to be placed on the title page, and dvd/audiobooks to be put on the cover. Holly Jarrell reminded managers to go by the “Who Get’s What” information sheet to determine the proper date for each library to send in gift and weeded items. She also reminded managers that before sending in any weeded items to make sure they are either marked “available” or “damaged” in the system. Regional staff is working with pines to try and add a “discard/weed” option. Charles Rigsby discussed the bill report he ran for each library and told the managers about their next step for sending out patron bills for collection. Charles Rigsby informed the managers that PINES is now teaming up with Novelist Select and it will be linked in the system. Nancy Condon discussed changes to the Activities Log, Donated Materials Log, and Weeded Materials Log. Nancy Condon discussed changes to the Uncle Remus Regional Library System’s website. Managers thought it would be more convenient on the forms option to leave the “new hire” and “travel” sections, but combine all others and place in alphabetical order. Managers also suggested taking out the bindery form and adding the UGA Library application form. Nancy Condon reminded managers that National Library Week is April 13th-April 17th. She also noted that National Library Workers Day is Tuesday April 15th, and Teen Literature Day is Thursday April 17th. Nancy Condon informed the managers that due to excess fees, they are in search of a new credit card company for all libraries. Nancy Condon discussed the problems with patrons scanning too many items in Greene and Morgan Counties. To reduce time and ware on machines, all scanning will now be limited to 25 items per day. Nancy Condon informed the managers that to reduce confusion from problems with damaged/stained items being sent/checked out, the regional office is looking at buying post-it check offs to place on damaged books. Mary Young discussed our health insurance and informed managers that they should be receiving new health care cards in the mail. Mary Young reminded all managers that they should have a “Board Meeting Book” that includes agenda, minutes, summaries and all handouts from board meetings. Mary Young informed all managers that “mystery shoppers” visited their respective libraries. She discussed all the pros and cons that each shopper found. She reminded managers that a new set of shoppers would be dispatched before the next managers meeting. Steve Schaefer informed the managers that the State Funding Formula was not passed and was postponed till fiscal year 2016, but the 30hr, 490 bill was passed. He also discussed that four new library construction projects for the state of Georgia were passed. Steve Schaefer informed the managers of the funding crisis in Walnut Grove. Out of the $60,000 budget they were expecting only $15,000 was given. Because of this, there will now be a “Walnut Grove Clause” attached to all new library construction. Steve Schaefer passed out Financial Reports for all Uncle Remus Libraries. Janet King asked Steve Schaefer about the progress for the new Social Circle Library. Tamala Alexander asked Nancy Condon about the status of our CPR Certification cards from Staff Development Day.
