SAMPLE LETTER TO PARENTS FROM ROOM PARENT Dear Parents: I/We want to welcome all of you to a new school year at Willis Elementary and introduce myself/ourselves as the Room Parent for Mrs./Mr. . My/our name(s) is/are , and I/we will be helping Mrs./Mr. during the year with special celebrations, volunteering, collecting donations, and anything else she/he might need. Mrs./Mr. will be setting up a schedule for classroom assistance and volunteers. I/we will let you know as soon as possible what days and times she/he will need help. [Or, Mrs./Mr. needs assistance on Mondays and Wednesdays from 9:00 – 11:00am for Work Centers and Thursday afternoons preparing homework folders]. Mrs./Mr. has four class parties planned for the year: Storybook Characters (October), Winter Festival (December), Valentine’s Day (February), and End of Year (May/June). I/We are asking for a voluntary donation of $25.00 to cover the costs of all of these class parties for expenses for food, drinks, paper goods, crafts, and sometimes prizes or small gifts for the children. If you are able to contribute, please send cash in a sealed envelope titled: Room Parent/ , Mrs./Mr. labeled “Class Party Donation.” If you wish to donate something less, I/we welcome any amount you feel comfortable contributing. Please send your donation in by . Class parties may also require advance preparation and volunteers in the classroom, so please let me know if you are able or interested in volunteering with these types of activities. [Or, you may indicate that for each party you will supply a list of items the parents can send in.] In addition to class parties, there are sometimes all-grade activities that may require volunteers and/or donations. For example, this year we will celebrate 1) Apple Extravaganza in the Fall and 2) 100 Days of School in the early Spring. I/We will let you know when these events will take place as soon as I/we can, but I/we will need both donations and volunteers. I/we will also be doing my best to forward you information concerning school and PTO events throughout the year. On that website (bottom left) you can sign up for routine e-mails from the Willis Elementary Parent Communication Group. In addition, there is a calendar of upcoming important dates, links to volunteer for or attend events, and the ability to make purchases from the Gecko store. The P.T.O. has three major fundraisers during the year, a Walk-A-Thon, a Holiday Bazaar, and the Gecko Gala. These events are not only great community gatherings, but also raise money that is specifically directed back to Willis students in the form of classroom supplies, educational opportunities, staff and teacher support, and other financial assistance to the school. The P.T.O. absolutely cannot be successful without your support! I/we am/are really looking forward to working with all of you to make this a great year for all of our children.
