34 Staff in attendance, plus all three officers Welcome Introductions and welcome message from new Chair, Nicole Smith Director’s Report Joyce Tenney’s reminder: Supervisors should approve all timesheets by Tuesday morning. Thursday is Jill’s deadline, not theirs. The training wage is gone for students. Extended hours increase may be gone. Do not promise that to student employees you’re hiring. Budget cuts mid-year may happen and prevent us from offering that bonus. Joyce is hopeful that there won’t be a mid-year budget cut, but it may happen and please plan accordingly. Monitor department spending. Reminder: 1.1% cut to base on FY16. Came out of serials budget. Other departments ok thanks to FY15 carryover. No serials cancelled this year. Thanks to Alla and Shawn for making appropriate adjustments. Healthcare: don’t forget health assessment forms are due by the end of September for employees using State of Maryland benefits. More complete information is available on the HR website. Your wellness assessment must be approved by doctor, so fill it out early. UHS can sign off on forms but appointments must be made early. Naval ROTC comes to campus, beginning Fall 2016. They will be the Department of Naval Science, housed under the College of Natural and Mathematical Science. Expect to see patrons next year as part of this program. Fine Arts building renovations continue. Fall and March will see many departments moving as the building is updated in phases. Incoming students for 2015: 2550. Council of Library Directors (CLD): o USMAI is considering creating a position similar to the “Betty Day” position. This would be someone hired for the USMAI to manage consortial e-resources. Since Day’s retirement, this has been done in house at individual schools, but we need an individual for consortial negotiating, management and licensing. Working with Lyrasis for these needs has made USMAI wonder if we’re getting the best deal. o ILS: There have been ongoing discussions over the last couple years as to the Next Gen ILS for the USMAI. CLAS has been working on development and testing of the Kuali Ole system for consortial implementation abd the Next Gen ILS working group has been looking at commercial systems. Timeline: late August, the testing group & CLAS deliver their reports to CLD on progress, development of Kuali Ole, and future plans, and overall recommendation. The Next Generation ILS working group is talking to commercial systems and their customers about functionality of out-of-the-box systems. In September at CLD, there will be a vote on committing to continued Kuali Ole development or a move to full RFP for commercial system. A 3rd party consultant committee could submit proposal to get Kuali Ole up and running for the consortium. College Park may or may not stay in the consortium if Kuali Ole is not accepted. If the report can be released to all staff, Tenney will send to LA for posting on the wiki for staff review and comment prior to the vote in CLD. Evaluations for spring will result in student employee raise processing starting next week. (Jill) Department Reports A&R: no news. Fiscal year has started. Begin and continue ordering supplies for your departments. Tech services, Acquisitions &BMS: Reference weeds are being processed. Their workspace is backed up. Collection building orders are being processed “shelf ready”. Circulation: Search continues for a new department manager. Interviews will conclude next week and a decision will be made. Reserves are beginning to pick up. CMILL: Rachel returns. Busy with gifts and ILLs. The book sale may not be held in September because of staffing issues. Beginning of October will likely be the next one. Instead of monthly, maybe twice during semester would work better. In either case, a date will be set next week. LITS: replacing the Dell 780s. They are the oldest in the building. LITS will replace the machines that are not in constant use first. Staff members’ machines will be replaced in coordination with those staff. New Pharos system is coming out soon and allows printing from mobile devices and mac as well. Functions through a website where documents are uploaded directly into the print queue. Media: student/faculty/staff laptops will begin circulating in September or October. This works like AV equipment. Items must be checked out from and returned to the Media desk. There will be 10 laptops: 5 macs, 5 pcs. No advanced reserves. This is already being promoted across campus. Equipment reminders: they check out 3 day: DSLRs, camcorders, audio recorders, SD cards, projectors, external CD readers and burners, and tripods. On the website, users can access real-time availability. The student/faculty/staff laptops are not to be confused with library staff only rentals. Digital Media Lab hours are changing. Sunday hours were not as useful. New hours: 1-9 M-TH, 1-5 FRI. By appointment on weekends. Reference: Drew Alfgren has been overseeing the weeding. Nearly done, some shelves will be removed. Reference is hoping for charging stations in their place. Proactive chat is being piloted on certain pages of the website. If idling for more than 45 seconds, a box pops up and asks if you have question. Demo phase will continue for 4 weeks, followed by assessment and possible permanent implementation. Serials: journals from NIH are now in the lower level on shelves, being organized. Shifting continues in West wing. Special Collections and Gallery: classes are signing up for Fall. They are examining complaints to determine whether they can feasibly make a change to address the issue, if there is an existing solution to the problem, or if it cannot be fixed in the current ILS. Expect emails with more information. Other Reports (Joyce Tenney) Update on director search: website is up and running and it links off the library website and the Provost’s website. Updates will be posted to this website. The search firm is still collecting resumes. The search committee will be meeting soon to determine who to interview. Hoping for on-site interviews in mid- to late- September. There will be a feedback form available on the search website after candidates are on campus.
