Demonstrate high standards of ethical behavior. While performing any procedure, all associates and contract personnel must observe applicable Safety, Health, and Environmental rules and guidelines. The use of appropriate personal protective equipment is required. Attend and participate in training opportunities and seminars relevant to this position. Adhere to Center operating policies and procedures and safety policies/practices. MAJOR DUTIES AND RESPONSIBILITIES: Receptionist Secretarial support Assigned projects ESSENTIAL DUTIES AND RESPONSIBILITIES: Welcome and orient new clients and visitors to the Center. Maintain physical appearance of the front office and waiting room. Answer the telephone and effectively respond to inquiries about the center. Direct telephone calls and communicate messages to appropriate staff person(s). Schedule appointments, complete intake interview, and assist new clients with required forms. Maintain the electronic calendar for Director and Therapists. Explain methods of payment, including the use of Client Assistance Funds, to new and existing clients. Enter client information into Practice Management software. Collect fees, document charges and payments, and post to Practice Management software. Process Client Assistance Fund applications, coordinate income documentation, and communicate to therapists and clients. Balance all daily transactions. Maintain files and records. * It should be noted that this position has a Bona-Fide Occupational Qualification (BFOQ) in the area of religion in compliance with U.S. Code Title 29, Chapter 14, Section 623. POSITION DESCRIPTION Maintain an organized and secure filing system for administrative and financial records. Communicate directly with off-site storage / file management vendor for fast and easy retrieval of dated documents. Assess, maintain, and order office and clinical supplies. Make efficient use of all office equipment, materials, and office supplies. Manage general office projects and assignments in support of the therapists, as requested. Prepare letters, memos, email, and other communications as requested in a timely manner. Assist Office Manager with financial and marketing tasks, as directed. Provide administrative support for various fundraising and marketing events which are sponsored by the Center, including assisting the Board in planning and coordinating the Annual Golf Classic. Prepare and make bank deposits on a regular basis. Continually develop computer skills and remain current on various applications. Promote the Center inside and outside of the workplace.
