Student Enrollment Agreement
Programs Offered at American Language Academy:
Intensive English Program (IEP)
American Language Academy- offers an Intensive English Program (IEP); and conducts five class sessions
per year. Students in levels Introduction to English through Level 5 take 9-week course sessions consisting
of 22 hours per week of intensive classroom instruction. However, students enrolled in level 6 are only
required to attend 18 hours per week since they are not required to attend Grammar in Communication.
Students normally complete the program within 12-16 months.

Tutoring Services
American Language Academy offers one-on-one tutoring for adults as requested. Tutoring is available by
appointment through the session with an experience instructor. Tutoring fee is $30-$35 per hour.

Disclaimer: The Student Enrollment Agreement period is 9 weeks or for the duration of one session. The
Student Enrollment Agreement must be renewed every session. A student shall enroll solely by means of
executing an enrollment agreement. In order to maintain enrollment, the enrollment agreement shall be
signed by the student and by an authorized employee of the American Language Academy. The enrollment
agreement is legally binding when signed by the student and accepted by the institution

Registration for Classes
Student Services will coordinate the student’s registration for each session of study and maintain status
information in the SEVIS system. It is very important that students let ALA know of ALL changes to
personal status, so we can update to this information to SEVIS. ALA does not provide VISA services.
Tuition & Fees
After a student registers for classes, a Student Account Invoice will be generated and given to the student
for payment. Fees and tuition can be paid in cash, by money order, personal check, or credit card. All tuition
and fees should be paid one week prior to starting classes.

page. The total charges for the current period is the cost per session. The estimated total charges is the cost
per session times the total number of sessions the student plans to attend. The total charges the student is
obligated to pay upon enrollment is the same as the total charges for the current period of attendance.

Housing Information
ALA can assist with finding the right housing option for your studies. We offer assistance with American
family home stays and share information about potential apartment housing. American Language Academy
will provide the information and about apartments in the local area, refer student to attorney office with
translator to understand the contract, and help students with any issue. The estimate cost for room and food
is $1,200 per month, prices vary depending on the location. American Language Academy does not endorse
or recommend specific apartment complexes. However, students may want to use links such as
www.apartmentfinder.com to search for apartments and independent housing.
Registration and Financial Payment
All students need to pay tuition and fees before 2:00 PM on the Friday before the first day of classes. This
applies to both new and returning students. Students who pay after that time will not be guaranteed to be
registered and listed on the class roster on the first day of class. All students must obtain a "Class Permit"
from ALA’s Main Campus to get into classrooms.
Note: Returning students are required to sign the enrollment agreement before the end of the current
session. Any returning student who does not sign the enrollment agreement before the end of the current
session will not be guaranteed a seat in the next session.
Note: F-1 visa students
It is your responsibility to maintain active status. F-1 student visa are responsible for payment IN-FULL
before the first day of class, otherwise classes will be deleted. Failure to be registered as a full-time student
is a violation of Federal Regulations pertaining to your F-1 visa status and will result in the termination of
your I-20

Students who have not paid their tuition and fees in full will not be permitted to attend class. Please
refer to the webpage at http://www.ala.edu/home/index.php/admission-1/cost-of-programs for more
information on tuition, payment, and the cancellation/refund policy.
Scholarships
Scholarships/Discounts are available for qualified candidates. Students will have to schedule a meeting with
the owners of ALA. For more details email cmendonca@ala.edu or you can contact the Admissions Office

If a sponsor is paying on a student’s behalf, that student must present information from your sponsor in the
form of a Financial Letter of Guarantee. If a student is on a financial scholarship from your government,
you should make sure the expiration date is valid to the end of the program date.
Students who are on a scholarship and decide to withdraw during the session will be responsible to satisfy
any balance that is remaining. Also, if students miss class for travel during a session they will have to pay
ALA in advance for the days that will be missed.
For those students who are on a scholarship their progress will be closely monitored and reported to their
sponsor during their entire length of study at ALA.
Scholarship students are responsible for knowing and following any additional requirements imposed by
their sponsors.
Loans
If you, as a student at ALA, obtain a loan to pay for our program, you will have to repay the full amount of
the loan plus interest, less the amount of any refund. If you receive federal student financial aid funds, you
are entitled to a refund of the money not paid from federal financial aid funds.
If the student defaults on a federal or state loan, both the following may occur:
1. The federal or state government or a loan guarantee agency may take action against the student,
including applying any income tax refund to which the person is entitled to reduce the balance owed on
the loan.
2. The student may not be eligible for any other federal student financial aid at another institution or
other government financial assistance until the loan is repaid.

Cancellation and Tuition Refund Policy
Students have the right to cancel enrollment at any time.
Tuition will be fully refunded if the student chooses not to enroll or withdraws from enrollment before the
first day of session.
Students who withdraw after the first day of instruction will receive prorated refunds (based on weeks) only
for legitimate mitigating circumstances, which prohibit a student from attending classes. Students who
withdraw for any other reason will not receive any refunds.
For refund purposes, mitigating circumstances are defined as:
1. Serious illness of the student
2. A death in the student’s immediate family.
Important Notice:
All refunds will be paid within 30 days of the student’s last day of attendance. An administrative
charge of $500 will be deducted if the student withdraws or transfers at any time after enrollment
even with a prorated refund, regardless of the circumstances.
The student must submit a written request stating the mitigating circumstances, with certified
documentation attached.
If an applicant is accepted by ALA but is denied an F-1 (student) visa, s/he may submit written proof of
denial of his/her student visa. The written proof must be submitted along with the request for a refund.
Students who obtain an F-1 student visa but then choose not to enter the U.S. may also submit a written
request for a refund. In every case, students who have already received an I-20 Form from ALA must
return the original I-20 Form to ALA Admissions Office along with their written request in order to be
eligible for a refund. Application/mailing fees are not refundable.
The $200 application and $100-150 mailing fee (depending on country) will not be refunded under any
circumstance as stated previously.
If a student with an F-1 visa enters the U.S. but does not register for classes at ALA after paying for his/her
initial session of study, ALA will terminate that student’s record with the US DHS/SEVP and will not
refund any prepaid tuition, or other fees and charges.
Late Registration Fee
There is a $100 fee for any late registration (if student does not pay tuition before the first day of class). Any
request for late registration requires the approval of the Branch Manager. Late registrants and other students
who enroll with the intention of attending only part of a session do not receive a prorated reduction of
tuition, application, facility fees, or most other fees.

Late Enrollment Policy
ALA has an open enrollment that allows students to join class sessions in progress. However, students that
enroll late are likely to not progress at the end of the session.
If a student begins attending classes late, absences from class will begin accruing from the first day that
classes are scheduled to start. A student is considered late any day after the first day of scheduled classes.
Absences for ALA’s academic attendance policy will begin to be counted from the first day classes are held
in a session. ALA does not accept excuses for any reason for academic attendance. Students can miss a total
of 40 hours of class without jeopardizing their visa status. Late enrollment will not be counted against the
hours allowed for the student’s visa. ALA does accept valid excuses for visa purposes. Passing a level at
ALA requires a grade of 80 or higher and satisfaction of the academic attendance requirements.
Note: Students who begin a class term 3 or more days late will very likely need to repeat the class they are
currently assigned to. This is because the students have already missed a substantial amount of instruction in
class and the students are beginning the term with a high number of absences already on their record. Any
exceptions to this will be identified by the teacher, based on student grades and class performance.
Students who join ALA but do not begin classes on the first day of a term are required to go through the
standard procedures which every new student undergoes.
Notice Concerning Transferability And Credentials Earned At Our Institution:
Acceptance of the Intensive English Program Graduation Certificate you earn in the Intensive English
Program is at the complete discretion of the institution to which you may seek to transfer. If the Intensive
English Program Graduation Certificate that you earn at American Language Academy is not accepted at
the institution to which you seek to transfer, you may be required to repeat some or all of your coursework
at that institution. For this reason you should make certain that your attendance at this institution will meet
your educational goals. This may include contacting an institution to which you may seek to transfer after
attending American Language Academy to determine if your Intensive English Program Graduation
Certificate will transfer.
