MINUTES OF THE MEETING HELD ON WEDNESDAY 29th FEBRUARY 12

Minutes of the previous meeting
Resolved that the minutes of the meeting held on 25th January 12
be approved.

Matters arising
2.1
Further to item 2.2
It was resolved that AJ would check for any other event bookings
for the 29th/30th September with regards to the proposed Urban
Downhill Charity Event.
Further to item 8.2
2.2
A Branding/Signage group will be visiting Birmingham University to
research the signage strategy on campus. Feedback is expected
shortly.
Further to item 9.2
2.3
It was reported that the yellow edging to the drop curb outside
Babbage had now been replaced.

Work on Site
Reported that:
1. Works to the Marine Building are on-going with construction
traffic following a one way system.

2. As part of the Marine Building project, the road between
Brunel and Smeaton will be closed for Excavation works
from Wednesday 29 February for three weeks. The road will
be closed to traffic from 8am to 6pm each day; however the
heras fencing will be reduced to allow for traffic movement
outside of these hours. For deliveries and parking on the
East side of the campus, entry/exit will be via Endsleigh
Place. LC added that additional numbers for Leadbitters will
be held with Security should the heras fencing need moving
during this period.

Traffic and Safety on Campus
Reported that:
1. LC provided an update for parking enforcement on campus
detailing that 60 penalties and 13 warnings had been issued
during February. These are in the majority caused by
weekend parking which is causing a hazard in pedestrian
areas.
2. It was resolved that AJ would discuss parking on campus
with the Faculty Marketing Managers to ensure that those
attending open/preview days were aware of the policy on
campus before attending the events.

Campus Cleanliness
Reported that:
1. GW commented that the stainless steel bins near the Library
and SU are becoming overfilled and chewing gum on top of
the bins was highlighted as a particular issue. It was
resolved that the frequency of the bin collections would be
monitored and increased if necessary.
2. CB commented that Plandscape had been very pro-active
with gritting the campus during the recent inclement
weather.
3. GW commented that the CETL gardens were looking to be
in need of some maintenance. It was discussed that these
had in the past been maintained by the Students but in the
interim PH would liaise with Plandscape in order to see if
this could be added to the grounds maintenance contract.

Preview/Open Days
Reported that:
1. Open days will be taking place over most weekends during
March and April.
2. Applications are looking positive with a 5% increase from
2010 and a 5% decrease from last year. The University has
maintained a high profile recently with the awards and
publicity it has recently received.

External Relations and Communication/Branding
Reported that:
1. Francis Reis will provide an update on signage and branding
following the visit to Birmingham University shortly.

Any other business
Smoking on Campus
Reported that:
1. A paper had been prepared for the group outlining that in the
last 6 months students have become increasingly vocal
regarding smoking on campus and the close proximity in
which smokers are gathering to buildings. This is having an
impact on those that need to walk past smokers in order to
access the buildings. It has also been reported that smoke
is entering buildings through air intakes and open windows.
2. It has been discussed in the past that the campus has a
public right of way that runs through it and this would cause
problems with enforcing exclusion zones on the campus.
3. UPSU have proposed the following options to improve the
situation on campus.
a) Move the cigarette disposal units away from the doors of
buildings to encourage smokers to move away from
entrances – this seems a very quick and easy solution.
b) Increase the number and visibility of signage informing
smokers that they should not be smoking near to the
entrances, open windows or air-intakes of buildings –

again a very quick and easy solution.
c) Construct small roofed areas on campus away from
entrances which will encourage smokers to move away
from doors.
d) Use security staff to move smokers away from entrances
to buildings.
CB commented that all 4 items could be delivered but the
Smoking Policy would be critical in enforcing any of the
above actions. CB offered his support with the paper but
suggested that the proposals should be submitted to the
Safety Committee for consideration once considered by
OVC Student Experience Group.
Urban Downhill Sports Event
Reported that:
1. The event has been planned for the 29th/30th September with
the route starting from Nancy Astor Sports Centre. It is
proposed that the track will run down through campus with a
scaffold bridge over the SU with the possibility of going
through the marquee that will be set up for Welcome Week.
The track will finish in Davy car park with fencing in place so
that there will be no return on to the track for riders. Static
BMX ramps will be set up in the Rolle area. A template of
rules has been set up for spectators and this year will have
marshals and areas fenced off then previous years. AJ
commented that it would be good to have contingency for
wet weather with various vantage points in the buildings, JC
added that this would be considered. It is proposed that the
city centre plaza screen could be used for promoting the
event and it is hoped that a live feed of events can be set up
for internet users.
Action Day
Reported that:
1. An enquiry had been received from a Corporate Events
Company who are looking for space to hold a team building
day on campus in June. It was agreed that this would be a
good time of year for such an event to take place. AG to
liaise with the company regarding the details.
