Alumni Relations Team
Overview
The Alumni Relations team works to promote strong affiliation to the University amongst the graduate body
(including honorary graduates), by engaging with individuals and groups at desired and agreeable levels,
through a variety of channels, materials and events.
We encourage contributions from graduates in terms of finance to support University Fundraising initiatives
and time/expertise to assist in University recruitment and fundraising events. We also encourage
contributions from all members of the University community and graduates, to include in prospectuses and
communications.
Service Provision from Alumni Team
 To support academic schools in maintaining and developing communications with their alumni and
develop strategies to ensure responsible contact. Organising and chairing the monthly Alumni User
Group meetings
 Create and update an alumni strategy
 Develop and maintain an annual campus wide communications plan for alumni and honorary
graduates
 Work with the senior web officer to create and update the alumni on-line strategy
 Develop Chapters in the UK and overseas
 Organise reunions and events in the UK and overseas for alumni and honorary graduates
 Develop and manage an Annual Fundraising event for graduate donations
 Source and purchase corporate merchandise, manage storage, stock levels and sales
 Develop an effective Graduate Association and promote activities in collaboration with the chair
 Pro-actively source and positively encourage contributions from all members of the University
community for use in booklets, prospectuses, magazines, e- communications and on the University
web pages
 Maintain and update the Alumni database, producing filtered reports for Schools and Departments
on request. Ensure Data Protection protocols are up to date and in force. Provide training to
academic colleagues on request
 Provide an Alumni presence at the Award Ceremonies, offering memorabilia, information and advice
to graduates and Honorary graduates
 Provide an annual printed graduate magazine and regular alumni e-newsletters
 Create and develop evaluation methods and report on outcomes as necessary
Responsibilities of users
 To use the data in accordance with current Data Protection protocols
 To update details on the Alumni database to ensure current contact information
 To liaise with the Central Alumni Team before mailing graduates to ensure responsible contact
procedures
 To ensure one School representative attends the monthly Alumni User Group Meetings
 To provide any information on graduates to the Alumni Office
 To provide feedback on request to monitor progress in Alumni Relations
 To organise events and reunions at School level
 Finance team to provide on-line resources for donation collecting, including paperless direct debits
and card payments. To provide an on-line shop for the sale of goods and gifts. To provide financial
breakdown reports on request.
