The Whitley Fund for Nature (WFN)
WFN (UK-registered charity no. 1081455, www.whitleyaward.org) is a fundraising and grantgiving nature conservation charity offering recognition, training and grants to support the project
work of proven grassroots conservation leaders in developing countries. WFN identifies leaders
of locally-conceived, science-based action that works and which enables wild nature to thrive
alongside supportive communities. Through the Whitley Awards, we support these leaders and,
with Continuation Funding, we provide further grants for our most effective winners (grantees).
WFN Objectives:
1. To find, recognise and financially support the work of proven grassroots
conservation leaders in developing countries through the Whitley Awards.
2. To provide ongoing funding for effective winners through Continuation Funding.
3. To enable the sharing of experience and skills between winners, and between winners and
conservation organisations globally.
4. To raise awareness of WFN and communicate the work of our winners.
5. To continually improve the effectiveness of our grant-making and charitable
activities.
What we’re looking for
WFN seeks a bright, well-organised individual with strong administration skills to provide core
administrative support to the existing team. The candidate will have prior experience working in
administrative roles in an office environment and should have strong IT skills (experience
working with databases also desirable). The candidate will be a proactive self-starter, willing to
learn, and able to follow clear instructions accurately. He or she will have experience managing
varied workloads and working with minimal supervision to tight deadlines. An interest in wildlife
conservation would be advantageous, as would a basic understanding of conservation projects or
community development work, as you will be communicating directly with grantees. Candidates
must have strong writing skills and keen attention to detail.
Education: A University graduate; a degree in conservation, zoology, biology or related fields
will be considered favourably but is not essential. Candidates with other degrees will also be
considered.
Contract period: Temporary 18 month contract from 7th April 2014 to 9th October 2015.
Salary range: £19,000 to £23,000 p.a. subject to experience.
Roles and responsibilities:
The position requires a variety of skills including:
 Good interpersonal and communication skills at all levels. Excellent telephone manner.
 Ability to write clearly and coherently and offer strong support on writing and proof
reading copy (newsletters, reports, proposals).
 Efficient and organised and able to work on own initiative and keep to deadline.
 Flexible and able to work in a small office environment.

A high level of experience using Microsoft Office programmes, specifically Word, Excel,
PowerPoint and Outlook. Experience in working with databases also desirable
(experience with Salesforce a bonus).
Experience editing websites is desirable but not essential.
Your responsibilities will include, but may not be restricted to:
Grant application administration – application process & assessment
 Fielding enquiries from interested applicants and other parties enquiring about WFN’s
awards and grant schemes and application processes, providing guidance as required.
 Disseminate call for applications across all grants, administer and collate incoming grant
applications and outcomes.
 Assist in arrangement of selection meetings and ensure documentation produced and
distributed.
 Lead administration to collate information required for the payment of grants to
successful applicants, for sign off by the Deputy Director.
Active grant monitoring & grantee reporting
 Grant delivery – Work with the Deputy Director to ensure timely grant delivery, chasing
confirmation of receipt/ amount of funding received, electronic filing and reporting of
this data to the Deputy Director.
 Send timely reminders to grantees prior to reporting deadlines and ensure they have
correct reporting forms.
 Administer incoming reports and enter received dates into Salesforce database (notifying
Deputy Director of reports due for review).
 Chase grantees for overdue reports/ missing materials and for post-report or application
Q&A.
Winner network development
 Monitor and update record of grantee visits to UK, keep team updated monthly and
explore the possibility of grantee visits to WFN office and/or set up of meetings
recommended by the Deputy Director and Fundraising Manager for visiting grantees
with other NGOs and funders whilst in UK.
Website, E-News & social media
 Support the Deputy Director in ensuring the charity website is up to date with working
links, videos, etc., executing any requested changes. Update website with grantee and
charity related news, including events and e-letters (this will involve writing support and
proof reading).
General office administration & IT
 First point of contact at WFN, answering telephone and managing the charity’s
info@whitleyaward.org inbox, replying to enquiries directly or forwarding to specific
team member where relevant.

General team support (which may include printing, booking taxis, restaurants, organising
meetings, etc.).
Data entry: Ensure Salesforce database kept up to date (including ensuring key
grantee/donor/contact data is entered and updated). Cleaning of historic data.
Assist in tasks relating to office facilities (e.g. office maintenance, stationery orders).
Support the Deputy Director in IT maintenance at the charity (ensuring WFN
computers, printers, scanners, servers and network are in working order, which may
include troubleshooting, purchases, software updates).
Assist in the development of an online media/footage/photo archive for WFN (and reorganise/ label media/footage/photo archive hard copies).
Taking and write-up of meeting minutes and circulation.
Other ad hoc support tasks as they arise.
Event organisation
 Support the WFN team in the organisation of the annual Whitley Awards Ceremony in
May and other associated events during the Whitley Awards week, including venue set-up
and liaison with suppliers. Support WFN Manager in administration to facilitate Finalists
travel and accommodation in London.
 Support the team in the organisation of other fund raising events throughout year (this is
mainly from Jan – July annually, and again Sept to early Nov).
Additional Details Related to the Position
 Place of work: 6 Walmer Courtyard, 225 Walmer Road, London, W11 4EY. The hours of
work will be 9.30am to 5.30pm, Monday to Friday.
 Applicants will be invited to perform a short writing test as part of the interview process.
 This is a temporary position for duration of contract.
 The charity does not currently operate a Pension Scheme. However, this is due to be
introduced in July 2015. Competitive salary to be agreed according to experience and
qualifications. Team salaries are subject to an annual cost of living review.
