Diversity & Cultural Events Funding Request
The Dean of Students Office | Yale-NUS College | AY 2015-2016
Purpose:
 An opportunity for individual students, registered student groups, and
unregistered student groups to organize an on-campus event, project, or
internal group development workshop that focuses on issues of diversity,
inclusion, and intercultural engagement.
*Please note: Registered student groups should consult with Diversity and
Inclusion Manager, Sara P. Amjad, before submitting the funding request,
and should default to using their own budget as far as possible.
Funding criteria:
 Scope:
o If it is a project or event: The scope should extend to the entire
Yale-NUS community and must be inclusive and open to all,
benefiting the social, extracurricular, and/or academic experience
of the Yale-NUS community.
o If it is an internal group development workshop: The scope of the
event/project may remain limited to group members.

Responsible budgeting: The student(s) organizing the initiative must
submit a proposed budget that reflects responsible use of College
resources. The group should collaborate with the DOS office and utilize
available resources, as far as possible.

Thoughtful planning: The initiative should be well organized and there
should a clear delegation of tasks amongst the organizers (i.e. budget, set
up, DOS liaison, etc.).
Guidelines:
 When preparing a budget, students should show a willingness to cover a
reasonable portion of the total cost.
 Funding may not be used for any student travel expenses.
 Funding may not be used for events/programs that are a part of a course
requirement or for academic credit.
 Events with the sole purpose of raising funds for a Yale-NUS student
organization are not eligible for funding.
 Events that raise funds for an outside organization (i.e. local non-profit,
etc.) are eligible for funding; however raising funds should not be the sole
purpose of the event.
 Yale-NUS students should not need to pay for admission to the event,
unless necessary.

Preparing a proposal for a campus-wide event/project:
1. Identify the event/project you’d like to organize on campus.
2. Review the above information regarding purpose, criteria, and
guidelines.
3. Prepare a one page proposal for submission to the DOS Office. The
following questions need to be answered in your proposal:
a. What is the main purpose of this event/project? How will it
positively impact the Yale-NUS community?
b. Who is involved in the planning of the event/project and what
are their roles? Please describe any collaborative efforts
between various student groups, other Yale-NUS offices, NUS
groups, and/or other external organizations.
c. What are the goals of this event? What do you hope
participants will take away from it?
d. What are the proposed logistics of the event (date, time,
schedule, location, staffing, rain plan, etc.)?
Preparing a proposal for an internal group development workshop:
1. Talk to your group members about the internal development needed.
What on-campus resources might help?
2. Prepare a one page proposal for submission to the DOS Office. The
following questions need to be answered in your proposal:
a. What is the main purpose of this workshop? How will this
session positively impact the group?
b. What are the goals of this event? What do you hope
participants will take away from it?
c. Who will be running the workshop?
d. What are the proposed logistics of the workshop (date, time,
schedule, location, staffing, rain plan, etc.)?
e. How many members will be attending?
Submitting the proposal:
Submit a proposed total budget for the event/training session, including any
sponsorships or donations. Indicate how much funding you are requesting.
Responsible budgeting is encouraged, so proposals should provide as much
detail as possible regarding the anticipated expenses.
Both the proposal and budget should be submitted via email to
sara.amjad@yale-nus.edu.sg at least 3 weeks prior to the event. Early
submission is encouraged, but funds are not disbursed in order of requests
received.


Incomplete forms will not be considered for funding. If you have any
questions about the form or process, please ask.
Students are encouraged to consult Sara Amjad before submitting the
funding request

Students are encouraged to have DFs/other DOS staff review proposals in
advance to ensure all details are addressed.
Student groups will not present to a committee, so the proposal form
should include all relevant information and details.
Funding review:
Funding decisions will be reviewed regularly and students will be notified of the
outcome via email at least 10 days prior to the event. A staff committee will
review requests for Diversity Funding and award funding in accordance with the
criteria listed above. The staff committee will include staff members from the
Dean of Students Office. Given limited financial resources, some proposals may
not be fully funded but every effort will be made to support as many events as
possible. As such, students seeking funding for more expensive events are
advised to fundraise well in advance. Funding decisions are at the discretion of
the staff committee.
If the proposal is approved:
If the funding proposal is approved, participating group members should be
prepared for: (i) a pre-meeting with Sara before the event and (ii) a follow up
meeting with Sara to talk discuss takeaways and/or action steps from the
event/training.
Appeals process:
If a student group has concerns about the process for awarding event funding,
they may submit a one-time appeal in writing (via email) to the Dean of Students.
The appeal letter should explain any concerns about the funding process in
question, and not contest the amount granted.
