I. Introduction Congratulations and thank you for subscribing to the XREF™ “APPL” Encyclopedia. You have now joined the ranks of 700+ happy subscribers throughout North America, Canada and the rest of the World! The internal design goes far beyond traditional software data searches by logging every word and number into a large internal database. The number of times any word or part number appears is also kept track of, allowing XREF™ to recall any information in milliseconds upon request. Please take a few minutes of your time to introduce yourself to the basics of utilizing this program to save you endless hours in future cross-referencing. We hope you will find this to be the solution to your daily challenges of meeting your cross referencing needs in a time efficient manner. The XREF™ “APPL” Encyclopedia includes information on over 140,000 pieces of APPLIANCE equipment. In addition to model number to OEM crosses, it covers every aspect of part number cross-references including motors, elements, gaskets, sensors, v-belts, compressors, etc. There are 9 parts to this program: XREF™ (part number to part number cross-reference), DISH (dishwashers), DRY (dryers), MICRO (microwaves), MISC (miscellaneous), RANGE (cooktops & ovens), REFRIG (refrigerators), SUPPLIER (supplier/distributor information), and WASH (washers). If you are looking for part number to part number replacements (elements, motors, switches, compressors, etc.), you MUST be in the “XREF” database. If you are looking for a component part for a given RANGE model number, then you need to be in the "RANGE" database; for a component part for a specific DRYER model number, you MUST be in the “DRY” database and so forth. II. Installation a. Requirements IBM/PC Compatible Windows XP/Vista/7/8 CD ROM drive Bi-directional parallel port or USB port b. Installation Procedure Turn your computer on and set to the correct date & time Insert XREF™ “APPL” CD ROM into your CD ROM drive Auto Run will guide you through the installation procedure If auto run does not initiate, navigate to the CD ROM drive, right click on the drive and select ‘explore’ or ‘open’, and double click on setup.exe Plug the attached dongle into your computer’s parallel port or USB port when prompted Click “Finish” to launch the XREF APPL program c. Starting XREF™ Double click on your desktop’s “XREF APPL” icon -1- (created during installation) to get started. III. Main/HOME Screen Display/Operational Tools Let’s begin by first getting acquainted with your main screen page: a. Database Buttons The 9 databases are accessible in 2 places: the set of buttons at the top and the hypertext below the company information in the upper box in the results window. The top set of buttons is as follows: Cross Reference Database Dishwasher Models Parts List Database Dryer Models Parts List Database Microwave Models Parts List Database Miscellaneous Equipment Models Parts List Database Range Models Parts List Database Refrigerator Models Parts List Database Supplier Models Parts List Database Washer Models Parts List Database Note: the button is not a separate database. It is a custom query tool that will be explained later in this manual. Any one of these databases may be accessed from anywhere in the program provided a Query screen is not already brought up. If this is so and you wish to enter a different database, close out your Query screen before clicking on a different database icon. The alternate set of database entry buttons are the clickable hypertext on the front pages of each of the databases. You can verify which database you’re using in 4 places: in the very top blue heading, right above our company name on each first page, on the first page of each database under our contact information (highlighted), and next to your “Start” menu button (‘Folio Views – [XREF Appliance…’). -2- b. Navigational Tools (Top Bar) From left to right, your navigational tools are as follows: Query Trail (Binoculars) allows you to make a query (you can also hit the space bar or hit F2) (footprints) allows viewing your query history made in the current database. Open your XREF™ database first before clicking on your <TRAIL> button to view the queries you have made in that database; likewise, open your appliance database first before clicking on your <TRAIL> button to view queries made in that database and so forth. Back/Forward (single left or right arrow) goes to previous or next query results in current open database Previous/Next Hit (double left or right arrow) scrolls up or down through your hits in a query c. Navigational Tools (BOTTOM) From left to right, your navigational tools are as follows: Query Query Selection & Clear Query Query Box Previous/Next Hit (Binoculars) allows you to make a query (you can also hit the space bar or hit F2) (not applicable) lists all of your previous queries; click arrow to access (double left or right arrow) scrolls up or down through your hits in a query Previous/Next Partition Hit (small double left or right arrow) scrolls up or down through records in a query much like the Previous/Next Hit buttons d. Exact Query Template The “Exact” Query Template feature allows execution of a focused code search. Details are provided in our Define Codes section. This query template should not be used to perform normal part number to part number searches as the results will be limited in such a way that you will reduce your possible chances for replacing a given part. -3- e. Features in Your Advanced Query Window The XREF™ cross-referencing product’s search engine is custom designed so that you will only need to click one of the four options listed below. Click on your Query icon (binoculars) or <SPACE BAR> on your keyboard to view the Advanced Query Window. Since the search engine is custom designed; you will only click: <PREV> to go back through the list of previously executed queries <NEXT> to go forward through the list of previously executed queries <OK> to view the results of your query <CANCEL> to close out your query window Click on your Query (binoculars) to view your Advanced Query Window. f. Query Status Displayed in the lower left corner are record & hit counters and your current query request. IV. Tutorial/Making Queries Before starting these examples, please note that there are multiple ways of making a Query: 1. Pressing your <SPACE BAR> 2. Pressing <F2> key 3. Clicking on your lower or upper binoculars buttons Instead of telling you which method to use to open up a query, this manual will simply say <OPEN QUERY> (except for the special Exact Template Queries). Choose the method that works best for you as you follow these step-by-step examples. Now let’s master the basics by putting your operational knowledge to work! HINT: AFTER ENTERING QUERY, PRESS <ENTER> OR CLICK <OK> TO VIEW RESULTS XREF™ Database a. Simple Query The XREF™ database contains part number to part number replacements for elements, motors, switches, controls, compressors, etc. You would always be using “XREF” when you are searching for a known part number for the entire appliance industry. <OPEN QUERY> to begin your first query example. Your query window is split into three different sections. The “Word:” section lists every word and part number in alpha/numeric order. The “Records with hits” section shows results of your request. You enter your request in the “Query For:” section. -4- Example #1: 1. Type the following: wr49x5023 2. In a split second, your computer found every occurrence of "WR49X5023" 3. Click <OK> Your screen will change into full view and display all data that contains "WR49X5023". Your requested data is highlighted throughout the screen. Your lower left Record & Hit counters show the record being viewed and the total number of occurrences (for example: 1/14). As you move your cursor downward, this indicates where you are within all of the occurrences. Click the scroll bar downward on the right side of your screen so you can see how it is affecting the counter. Each data record is separated by a white horizontal break and should be considered as NON RELATED TO EACH OTHER. The same part number may be listed in several locations. In many cases, you may wish to narrow your selection criteria. This is called “Finding Exact Replacements”. Please continue with the next example. b. Find Exact Replacements Let’s use one of these occurrences of "WR49X5023" to find an exact replacement: Example #2: 1. Click on any occurrence of “WR49X5023” 2. Notice that this grabbed “WR49X5023” and brought back only records where this number is in the crossed from the OEM field You are presented with the direct replacement(s) and specifications of the original part number (if available). Now you can choose from a much narrower and safer selection of replacements. c. Selection of Specific Brands What happens when your screen is cluttered with unwanted brands you do not carry or do not have access to? Let's take "AM211" for the following example: Example #3: 1. <OPEN QUERY> 2. Type the following: am211 You found numerous occurrences of “AM211”. Your company may only carry Johnstone Supply parts, so: 3. After “AM211”, press <SPACE BAR>, and type: js 4. Your computer will search through your database, matching “AM211” and “JS” (code for Johnstone Supply Co) 5. Click <OK> Data is highlighted for easy selection anywhere "AM211" and "JS" appear together in the same record. The scope has been narrowed down (to around 13 matches as noted by the computer’s lower left Record/Hit tabulations). Example #4: 1. <OPEN QUERY> 2. Type the following: 4063 3. Click <OK> -5- Your computer found around 169 occurrences for this number. You may choose among these other vendor numbers (see first record) as possible replacements: 1025245 WCI (White Consolidated Industries), S87-536 JS (Johnstone Supply), 6K888 GR (Grainger), AM206 GEM (Gemline), and 4095 & 4063 GE (General Electric). Lacking these brands, you may take it one step further by seeing who else is using GEM’s # AM206: 4. <OPEN QUERY> 5. Type the following: am206 6. Click <OK> XREF™ will find around 221 matches for that number. To find an Exact Replacement, click on any occurrence of “AM206” to find the record that contains this number in the “OEM” (crossed from) field. d. Exact Template Let’s do a Query for “AM206” using your Exact Template: Example #5: 1. Click on your button to open up your exact query window 2. Type the following: am206 3. Click <OK> You are immediately shown only available exact replacements and specifications. APPLIANCE Equipment Databases XREF™ "APPL" has the capability to provide information on over 139,000 appliance models. In addition to model number to OEM part number crosses, it covers every aspect of part number crossreferences including motors, elements, gaskets, sensors, v belts, compressors, etc. You need not look into 15 different manuals for parts cross-references. XREF™ "APPL" has information that is available throughout the appliance industry! a. Search for Dryer Models You may know the equipment model number and need to look up OEM part numbers. Or you may have an OEM part number and need to determine which models that part is being used in. In many situations, you are only presented with the equipment model number. Remember, for these dryer related appliance model look-ups, you must be in the "DRY" database: Example #6: 1. Click on your button at the top Now you are presented with the title page for the dryer database. Notice that the header in the top, blue strip and the footer down below next to the start button “Folio Views – [DRY:..” tell you that you are in the dryer database. “DRY” is also underlined and highlighted in blue on its front page. For this exercise, let's look up all the information on GE model # ADDG7580PB. 2. <OPEN QUERY> 3. Type the following: addg7580pb> 4. Click <OK> -6- You are presented with a full view of all functional parts for this model. The requested model number is clearly highlighted in dark blue on your screen. In the upper left hand corner under DESC, you will find the source of our data (when available). It may be very useful in case you need to refer back to it for clarification or to locate miscellaneous, non-functional parts. Certain fields are blank for a reason: it means certain parts are not used on this model. b. Search for Components by Description Let's request a motor for the same model # ADDG7580PB by description. Example #7: 1. 2. 3. 4. 5. <OPEN QUERY> Now click on your <PREV> button to retrieve your last Query Hit the <END> key on your keyboard and press the <SPACE BAR> Type the following abbreviation for motor: mtr Click <OK> "MTR" is clearly highlighted and next to it is the number you needed: WE17X32. c. Search for Models with Specific Component If you would like to identify every model that uses this particular part, please do the following: Example #8: 1. <OPEN QUERY> 2. Type the following: we17x32 3. Click <OK> You may briefly scan around 433 occurrences of this number by clicking your right scroll bar downwards or hovering over the results and rolling the scroll wheel on your mouse. This feature can be helpful in determining whether or not to add an item to your inventory. d. Link OEM Part Numbers Back to XREF™ What if you need to replace a # WE17X32 motor in an ADDG7580PB GE unit? Example #9: 1. Click once on any occurrence of “WE17X32” within the records to go back to XREF™ with all of your options. GE’s other numbers (WE17X10010, WE17X53, & 4056) can replace the original motor “WE17X32”. In addition to showing OEM possibilities, you may consider 4601 EMER (Emerson), AM205 GEM (Gemline), MTG-4056 BROW (Browning), 85230387 WARD (Montgomery Ward), 6K988, 2K153 GR (Grainger), S88-951, S87-848 JS (Johnstone Supply), or 4J792RS AMANA/SPEED (Aman/Speedqueen) as possible replacements. 2. To go back to the dryer database, click on your icon at the top. 3. To go back to your previous search click the single back arrow. -7- e. Define Abbreviations On your “APPL” (model number parts list) screens, you will see part descriptions listed in abbreviated forms. Most of these abbreviations are logged into an internal dictionary for easy identification. A few examples include: DIAL TMR, KNB TMR, SW DOOR, and SW STRT. Example #10: 1. 2. 3. 4. 5. f. Click on your bottom <QUERY TOOL> button Enter the following: addg7580pb Click <OK> Now click on an abbreviation like “DIAL TMR” to find out what it means Click on <GO BACK> key (top single left arrow) to return to parts list No Parts Matches Found! Let's say you needed to know all possible replacements for this model’s TIMER (TMR) # WE4X471. Example #11: 1. Locate and click on “WE4X471” When you click on an abbreviation or a part that will not have a cross-reference, a window will open up with this message: “No parts matches found!” Click on “OK” and you will remain in your current screen. Now you know to order the original part directly from the manufacturer. The supplier database example #12 will show you how to do this. g. DISH , MICRO and WASH , MISC , RANGE , REFRIG , Databases While the contents differ, the functionality behind these databases remains the same. Try looking for familiar model #’s in appropriate databases. Supplier Database Let's say your result in crossing a General Electric (GE) part number was "OEM ONLY, MUST CONTACT OEM." or “No parts matches found!” If you are a dealer needing to locate a GE franchise in your state of Ohio: Example #12: 1. 2. 3. 4. Click on your button to enter the supplier database <OPEN QUERY> Type the following: ge oh Click <OK> You now have all of the records from which to locate your closest Ohio General Electric dealer. -8- HELP Database XREF Encyclopedia contains a separate help database containing a quick reference guide, the users manual, a motor specifications examples section, a specifications info and definitions section, a motor specifications glossary, and a motor codes by brand list. However, there is no database button on the program to access the data. To open the database, follow the next steps. 1. Click on the button at the top left of the program window. A window will appear and you will need to select the database to be opened. 2. Select the FolioHlp.nfo infobase file by single-clicking on it 3. Click the <OPEN> button The XREF program will load the database. -9- To search the database, you will need to open a query window just as you would when searching any other database. As with other searches, the query will narrow down the information included in the help database and will remove individual sentences or phrases from their context. Because of this feature, it is more often a better choice to simply scroll down through the entire database to find what you are looking for. The help database is small, therefore it is not time consuming to simply scroll through it. To return to any other database, simply click on any one of the database buttons at the top. To print the entire help database, hold the <Ctrl> button and hit the P key and make sure “All” is selected. To print specific sections of the database, click just before the section you wish to print and while holding the mouse button down, drag the cursor downward. The text will be highlighted as you drag. When you reach the end of the section to be printed, release the mouse button, then hold the <Ctrl> button and hit the P key and make sure “Selection” is selected. Click <OK> to print the selection. V. Features in Depth ALWAYS, WITH NO EXCEPTIONS, TRY TO NARROW YOUR SELECTION TO EXACT REPLACEMENTS! To achieve that, single-click on any occurrence of a searched part number. Your selection will be narrowed down to very close or exact replacements only. a. Using Wild Cards: ? and * Let's try out a very handy feature in XREF™ that allows you to find information on incomplete part numbers. In this example, assume that you have a lengthy equipment part number that reads: 3ART_VH_. (Unreadable or unknown characters are substituted by “_”). Example #14: 1. Click and then <OPEN QUERY> 2. Type in the following: 3art?vh? 3. Click <OK> XREF™ found all of the occurrences where a question mark (?) substituted a character. Example #15: What happens when more than one character is illegible or unknown? 1. <OPEN QUERY> 2. Type the following: 3art* (Note: <SHIFT 8> for the * or asterisk key) 3. Click <OK> XREF™ found all of the occurrences where the first four characters are 3ART. The (*) symbol is a wildcard that can substitute up to 40 characters. Use the (*) wildcard in any database to substitute an unknown amount of alpha/numeric characters. - 10 - b. Using | (AND/OR) Use your vertical line | (SHIFT + \) key to query one or more items. The results will show records with only one or both brands request. For example, if you typed this query: <JS|RS>, you will request records with only JS abbreviations, records that have only RS abbreviations, and those records that contain both JS and RS brands. c. Define Abbreviations When you do not understand the meaning of an abbreviation like "EMER", please do the following: Example #16: 1. 2. 3. 4. Click on top icon <OPEN QUERY> Type the following: abbrev emer Click on <OK> to display its meaning When you do not understand the meaning of an abbreviation like "WR”, please do the following: Example #17: 1. <OPEN QUERY> 2. Type the following: abbrev wr 3. Click on <OK> and scroll down to the main code record to see its meaning d. Define Codes Throughout the database, you will see abbreviated forms of expressions categorized as CODES: Example #18: CODE MARS “117” means FOR LOW VOLTAGE CONDITIONS USE 04021. To find an immediate explanation for this code: 1. 2. 3. 4. Click on the button to launch the query window Type the following: code mars 117 Click <OK> The record containing the definition for CODE MARS “117” will be displayed - 11 - VI. How do I exit from XREF™? Cancel any open Query screens and click on your topmost right “X” button to exit from XREF™. NOTE: Do not click on the lower set of minimize, maximize, and close buttons as this will completely close or hide the database you are currently in. If you do click one of these buttons, when you attempt to enter that database to make a query you will receive the error message “Unable to open infobase. The license user limit has been exceeded. (3463,3)”. Simply close and reopen the program to restore the databases to their proper state. VII. Helpful Hints It may look complicated at first, but as you can see now, the software is quite simple to use. Using the above few examples, you can learn how to create your own queries for the databases. We are confident that once you get past the initial introduction to XREF™, it will become an extremely useful tool for everyday operations. a. Uniformity of Part Numbers For uniformity of part numbers, certain forms of numbers have been modified: Example # 1: Example # 2: Example # 3: Example # 4: Example # 5: Example # 6: Example # 7: Example # 8: Example # 9: Example # 10: LETTER “O” BECOMES A ZERO “0” (except in brand names) Dashes (-) are usually removed between a letter and a number Numbers such as Gibson’s G000162672 will be in as “G162672” Fasco motor numbers such as D158 will be in as “D-158” Norge numbers such as 35-0023 will be in as “35-23” Most RobertShaw numbers are in as-is (ie., 700-055 or 100-832-02) Amana # 53201-005 will be in as “53201-5” Frigidaire # 0817487 will be in as “817487” GE # WE0002X0002 will be in as “WE2X2” If a zero follows a letter or a dash, it is often removed: Vulcan part number 2750-A01 will be in as 2750-A1 and Thermador 00-64-017 will be in as 64-17.
