INSTRUCTIONS GUIDE FOR ORAL SPEAKERS (oral presentations, plenary talks and technical presentations) WAC 2015 One day before the presentation, speaker must go to the help and technical support room (Green Room) to coordinate last details of your presentation and give it to the authorized personal. Be at the programmed room 5 minutes before the scheduled time and place yourself in the chairs reserved, at the first row of every room. The plenary talks and technical presentations will be presented at room 2 and will be transmitted by video simultaneously to rooms 1 and 3. 2 minutes before starting the presentation or by the end of the questions of the previous one, the speaker will present themselves to the moderators of the session. Since this moment, follow the instructions and recommendations of the authorized technical staff and moderators. SCHEDULE FOR TIMES ASSIGNED Every single presentation must start exactly on time according the Program. If some inconvenience cannot be avoid, the presentation will be reduced at equal time of the delay. The moderators are the maximum authority inside the rooms and they are responsible of time regulations and the round of questions. ORAL PRESENTATIONS (papers) The distribution of total time (25 minutes) assigned to each oral presentation will be as follow: 1. Brief speaker resume (by one of the moderators): 1 minute. 2. Oral exposition: 18 minutes. 3. Questions and answers: 3 minutes. 4. Relocation of attendees: 3 minutes. During oral presentation, one of the moderators will indicate the speaker when he or she have 3 minutes to end. At the minute 19, the moderator must conclude the oral presentation and continue with the round of questions. PLENARY TALKS The distribution of total time assigned will be as follow: 1. Brief speaker resume (by one of the moderators): 1 minute. 2. Oral presentations: Presentations of 45 min: 33 minutes. Presentations of 40 min: 30 minutes. Presentations of 30 min: 22 minutes. 3. Questions and answers: Presentations of 45 min: 8 minutes. Presentations of 40 min: 6 minutes. Presentations of 30 min: 4 minutes. 4. Relocation of attendees: 3 minutes. During oral presentation, one of the moderators will indicate the speaker when he or she have 3 minutes to end. At the minute 34, 31 or 23 the moderator must conclude the oral presentation and continue with the round of questions. TECHNICAL PRESENTATIONS The distribution of total time assigned will be as follow: 1. Brief speaker resume (by one of the moderators): 1 minute 2. Oral presentations: Presentations of 40 min: 33 minutes. Presentations of 30 min: 25 minutes. 3. Questions and responses: Presentations of 45 min: 6 minutes. Presentations of 30 min: 4 minutes. During oral presentation, one of the moderators will indicate the speaker when he or she have 3 minutes to end. At the minute 34 or 26 the moderator must conclude the oral presentation and continue with the round of questions.
