2014-2015 General Meeting Information
Meetings: Regular and Special
The Graduate and Professional Studies Committee (GPSC) meets once a month during the fall and spring
semesters only (September – December; February – May). From time to time special meetings may be
called to deal with matters requiring urgent attend.
The Committee as a whole meets on the 1st Tuesday of the month (except in January) from 12:00 p.m. –
2:00 p.m. Meetings are held in 306 M.D. Anderson Library, located inside the Faculty Senate Office.
Sub-committee meetings are schedule by each committee chair.
Meeting Packets
Meeting packets are distributed electronically no later than the Friday morning prior to the Tuesday
regular meeting. Meeting packets will include:

Committee Agenda
An appointed member of the Graduate School consults with the Dean, GPSC Chair, and Subcommittee
Chairs to develop each monthly agenda.

Subcommittee chairs are responsible for notifying the Graduate School of reports they plan to make so
that they can be placed on the agenda. The deadline for agenda items is 12 noon of the Wednesday
prior to the Tuesday Council Meeting. Please submit all agenda items electronically to
plephriam@uh.edu.
Minutes
The Graduate School assists the Chair in preparing minutes for each meeting. Minutes record
attendance and summarize official actions rather than transcribe discussion details. The staff
maintains a permanent archival copy of each approved set of minutes along with all official
(numbered) documentation.
Numbered Attachments: Document Log Numbers
Each document submitted for the Committee’s official consideration receives a unique
identification number for tracking purposes (see example below). The log number identifies
the document in minutes and official Committee records. The Graduate School staff is
responsible for assigning the document number and entering it into a computerized logging
system. The identification number will usually be stamped somewhere in the upper right-hand
corner of the document.

Numbered Documents: Committee Agenda
Log numbers identify documents in all official Committee records. As items are assigned to a
particular committee for review, they are listed in that committee’s section of the agenda. All
of a committee’s assignments appear on the agenda, although not all of the agenda will be
addressed by the committee at any given meeting.
All items for inclusion on the regular monthly agenda must be numbered. Therefore, GPSC
committees, colleges, or departments wishing to have items reviewed must submit them for
logging and distribution prior to noon of the Wednesday preceding the regular Tuesday
meeting.
If the deadline is missed, it may still be possible for items to be distributed electronically (but
not placed on the agenda for Committee action until the following month) at the Tuesday
meeting. Colleges and departments may email the item to the Graduate School GPSC staff
support representative for logging and stamping no later than one day before the scheduled
meeting. Logged items and meeting materials will be posted to the GPSC SharePoint site:
