Newham Watersmeet Woodcraft Folk District Meeting 21st March 2013 Present: Bill, Jack, Angus, Mary, Peter Apologies: Stuart, Suzannah, Lois, Alicia and Niall Chair Stella (for Suzannah) Minutes of previous meeting Agreed Matters Arising Stuart working out bookings for V-camp. Jack still needs numbers of international participants at Vcamp. Bill raised that according to constitution about nature of meetings that we should have committee and district meetings, Suzannah and Angus had agreed to dates at EGM in November but it seems this still needs to be set out. ACTION: Angus to agree dates and timings with Suzannah for future meetings (Peter suggested that DGMs can coincide with other events)- next committee will include budget meeting (sub-committee to prepare budget in advance- ACTION: Mary to organize and report back to next committee meeting). Angus did not put in for Galaxy grant Angus fed back on London AGM French Visit and V-camp Application for funding is in- well done Stuart and Alicia for coordinating. Bookings V-Camp and French attendance at V-camp need clarifying. Action: Stuart to update on V-camp bookings and follow-up with Ventures. District camp Planning committee has met. Stuart is co-ordinating. Three sub committees (logistics, programme and KP). Logistics are running doodle that has been circulated to identify numbers attending- group leaders to promote. Two families are already booked in. Action: Deadline for deposits is next Wednesday- group leaders to remind people. Social AGM Very successful AGM worked very well, need to have finances out in advance next time. Social raised £508.32 - £100.00 for the band London region paid for hall. Needs to be circulated to wider past woodcrafter members and kinsfolk. Jack ran a successful membership information stall. Celebration of Rene went very well. Band have invited us to their 4 year anniversary do in Chats Palace details on web will be on the 13th of April. Action: Mary to organize and circulate finances report next year before AGM. Bill to pull together list of past members and will speak to Laura. Newham Watersmeet Minutes 80th Celebration Mary pointed out that it will be districts 80th year next year so need to think about celebration. Cycling Cycle project has sub-committer and is busy planning. Paper press Angus proposed purchase of a newspaper rolling press for district for camp, district nights and events. Supported by committee. Action: Peter to ask Darcey who makes them for price and organise purchase. Fund Raiser Need publicity and promises to be identified. Event on 11th of May in Durning Hall. Action: Angus to develop a flyer. Group leaders to promote and ask for promises. Annual Gathering Jack will represent district, district to support his fees. Safe-guarding Mary proposed that everyone sign that know the safe guarding policy is on web. Angus suggested detail could go on general consent form. New CRB forms required Folk House have non in stock presently. Jack suggested that each group have own CRB checker. Action Angus to ask Suzannah to have copy of general consent form to update. Jack to get forms and check with central that we can have group CRB checkers. Safe-guarding role Karen Higgins wants step down from post. District thanked Karen for doing that role for very a long time. Mike Smith has agreed to take role on district agreed and welcomed him to the role. Action: Jack to ask central if Mike needs to do anything. Angus to liaise with Mike about position and organizing update of membership process. Group reports Woodchips- still meeting monthly Elfin- numbers are up with new members and woodchips coming up. Good input from Joseph Ottis Iggy and Enfys this term. Pioneers-going well Venturers- numbers large some older ones will migrate to DFs jointly with Waltham Forest. Mary pointed out that they need to join.
