Included within this pack is some general information about the facilities at the University of Worcester and conference information for conference organisers and delegates. The Conference Team University of Worcester General Information CHECK IN / CHECK OUT PROCEDURE CHECK IN For arrivals to the St Johns Campus, please report to Main Reception situated in the Edward Elgar Building of the campus. For arrivals to the City Campus please report to the Charles Hastings Reception at our City Centre Campus. At the reception desk you will be issued with the keys or access cards for your allocated room. Please note earliest check in time is 2 pm. Should you anticipate arriving before 2 pm please contact the conference team in advance of your arrival to arrange luggage storage or early check in. CHECK OUT On the day of departure please check-out by 10 am. Please ensure keys and access cards are returned to the Main Reception of the Campus prior to your departure. Lost or not returned keys will incur a charge of £35 per item. Should you wish to leave your luggage during the day in a secure storage facility, this can be arranged for you, providing the request is made in advance of your departure. CAR PARKING On campus car parking is available on our St Johns Campus. Our car parks are all Pay & Display. Parking permits are available on request. INTERNET ACCESS Access to the internet is provided via an ICT guest account. This enables access to University networked PCs, the University’s wireless network and ResNet. Internet access is free to all individuals or groups who are over 18 years of age and are not currently a University of Worcester member of staff or registered student. All conference delegates (both day visitors and residential guests) must liaise with the Venue Hire team prior to arrival with reference to being provided with guest account access details for the duration of stay. RESOURCES AVAILABLE IN HIRE ROOMS All of our conference facilities including seminar rooms and lecture theatres are equipped with a lectern (inclusive of a computer (pre-linked to projector), internal use telephone and cabling should you wish to connect a laptop), projector and whiteboard facility. Materials available upon request with the conference team upon booking include; flipchart paper, pens, internet access and other stationary equipment. This equipment is complimentary with room hire. Other materials such as a conference telephone / microphone set and the associated hire prices are available from the conferencing department upon request. Please be advised that extension leads are not provided however should you wish to bring your own equipment such as this for laptop use, for example, these items must first be PAT tested. CATERING SERVICES Should your booking include any pre-ordered catering this will be delivered either directly to your conference suite or a reserved section of the Dining Hall. Please be advised catering may be delivered a minimum of 10-15 minutes before the catering items have been requested, for example a lunch ordered for 1pm may be delivered to the suite at 12.45pm unless otherwise specified. A full list of catering items and associated quotes are available on request from the Conference Team. Please ask for a copy of our Hospitality Menu for further details. If you have not pre booked any catering, our Dining Area is open from 8am – 5pm, Monday – Friday at the St John’s Campus. Alternatively our Pear tree Café situated in the Students Union is open between the times of 10am – 8pm Monday to Friday and from 10am – 4pm on Saturdays. We also have a Costa Coffee Café, situated to the left of Main Reception in our Edward Elgar Building open throughout the week and on Saturdays. On City Campus our café is open from 8am – 8pm Monday to Friday and 8.30am – 1pm on Saturdays. Please reference full list of catering outlets for opening times and more information. Dietary Requirements We cater for all special dietary needs. Vegetarian options are offered as standard across the campuses in our Dining Hall and catering outlets. For pre-ordered catering please specify whether you have any dietary requirements and we will make appropriate arrangements with our catering company. We regularly cater for vegetarian, gluten free, dairy free and celiac diets, but please contact the conference team for further advice if required. Please note we require at least 5 days’ notice prior to the date of the scheduled event. We can also provide Halal and Kosher meat. We would require a minimum of one week’s notice prior to the date of the event to arrange for the meat to be bought in and sealed in advance of your booking. There may be an extra charge for this, please contact the Conferencing Team for further details. RESIDENTIAL FACILITIES INFORMATION Bedrooms Most rooms are single occupancy although we do have limited availability for double rooms. We also have rooms equipped and specially facilitated for disabled access. Please contact the conference team for further details and availability for your stay. All rooms are presented with freshly laundered linen, a set towels and complimentary toiletries. Linen is changed once a week and there is a mid-week towel change. Please note that although we do not service rooms and en-suite bathrooms (unless previously arranged with the conference team over a long period of stay); communal areas such as corridors and kitchen floors are cleaned daily, Monday through Friday. Kitchen We provide complimentary tea and coffee in the kitchen area to all residential guests. The kitchen is fully furnished for cooking and includes oven, fridge, freezer, kettle, microwave, toaster, crockery and cutlery. Laundry We have an on-site laundry on both campuses with coin operated washing machine facilities. The costs of the washing machines are £1.20 per cycle and the dryers are £1. Prayer room There is one at City Campus in Charles Hastings LG 030 and one in Bredon (Room 179). Both rooms have the direction of prayer signed; copies of the Qur’an, prayer mats and screens are available along with adjacent washing facilities. The prayer and Quiet room in Bredon also has a Buddha, prayer cushions and prayer stools available for use; these are kept in the large cupboard just outside the door. Both rooms are available whilst the buildings are open; please report to Main Reception for details. Bike Hire Please contact the Conference Team for further details. Campus Information We currently have three campus sites, St Johns Campus, City Campus and University Arena and Riverside. All of our sites are located within a 20 minute walk of each other and are a short distance away from the city centre itself; our city campus also offers pedestrian access from Croft Road by the Racecourse to create ease of access and reduce travel time between campuses. Within this pack you will find relevant maps of all campus sites and the walking and cycling routes in between them. Alternately for further ease of access in and out of the City, there is a reliable bus service that runs through our St Johns Campus every 10 minutes and terminates in the city centre. Worcester Foregate Street and Shrub Hill train stations operate regular train services to Malvern, Malvern Link, Birmingham and other areas of special interest. Worcester Foregate Street station is located a short distance away from the Bus Depo and our City Campus. Local Amenities ON CAMPUS Restaurants and Eateries Our St Johns Campus offers an abundance of catering outlets to facilitate any requirements you may have throughout the duration of your stay. Please see information enclosed for further details. We also have a small shop located in the Students’ Union building of the St John’s Campus, where you will be able to purchase everyday items such as bread/milk, etc. Our City Campus has a café to the right of the reception area serving a variety of hot and cold foods, cold drinks and brews Starbucks coffee. Cashpoints There are two cashpoints on Campus both located on the St John’s site, one in the Edward Elgar Building to the left of reception and one in the Students’ Union opposite the Campus Shop. There are no on-site cashpoints on the City Campus but many banks and cashpoint facilities a short walk away in the town centre. OFF CAMPUS Restaurants and eateries The city of Worcester is home to many pubs, cafes and restaurants; which provide quality food and drink offering a range of cuisines for all culinary palettes. These are largely located in the City Centre a short walk from the City Campus and a 20 minute walk from St John’s Campus. There are also many supermarkets within the St Johns and City area, many of which are located only a short distance from the University Campus’s. Included in this pack are details of some of the nearest restaurants and supermarkets to the University St Johns Campus.
