Coastal Arts Center of Orange Beach Policies and Procedures for Exhibiting Artists THIS DOCUMENT SHALL BE GIVEN TO AND READ BY EACH PROSPECTIVE APPLICANT FOR EXHIBITING ARTIST STATUS PRIOR TO JURYING PROCESS. IT MUST BE SIGNED AND RETURNED TO THE CENTER PRIOR TO ACCEPTANCE INTO EXHIBITING ARTIST STATUS. I. The Jury Process A. ELIGIBILITY and IDENTIFICATION of ARTWORK 1. Any person wishing to have Exhibiting Artist status with the Coastal Arts Center of Orange Beach (CACOB) must be selected by a jury process. 2. The artist shall submit three examples of their work to CACOB, which items shall remain on the premises for a period not longer than twenty (20) days in order to give the Jury Committee ample time to view and give full consideration to the work. 3. Work samples must be original work, not reproductions, wired and prepared for hanging or exhibition and presented as the artist would present the work for exhibit in the gallery. 4. Work samples must be identified on the back as outlined below, and gallery item records, along with a liability release, must be filled out and attached to each sample. Identification on back of the work shall include: Name of Artist; Artist Contact information - which shall include physical address, email address, and valid phone number of artist; Medium; Title of the work; and Price. 5. Work samples submitted for the jury process that are not prepared and identified as above will not be juried. 6. In general, nudes are inappropriate for the CACOB gallery and should not be submitted as a work sample. 7. Exhibiting artists wishing to exhibit work in a medium for which they have not been juried may be asked to submit such work for jurying before it can be exhibited. B. JURY PROCESS 1. The Jury Committee shall be shall be appointed by the Director of the Coastal Arts Center of Orange Beach. The Jury Committee shall remain anonymous and will expedite the jury process as quickly as possible. 2. The jury process will be set by the Director in order to do so in a fair and non-discriminatory manner. 3. In the event that an applicant for Exhibiting Artist status does not meet the criteria required by the Jury Committee, the artist may again submit work for the jury process six (6) months from the date of the first jury process. 4. The decision of the jury is final. II. Exhibition Policies A. ART PREPARATION 1. All framed art MUST BE WIRED with an appropriate framing wire and securely mounted to the frame. The side attachments must be between at least 4 inches below the top of the frame. No other hanging methods will be accepted-- NO SAW TOOTHED HANGERS—PLEASE. 2. The Art Center Director and/or the hanging committee reserve the right to reject improperly or poorly framed art at his/her discretion. 3. Problems with framing or wiring that occur during exhibition will result in the work being removed from exhibition and the artist being contacted and asked to either repair the work or remove it from CACOB. B. IDENTIFICATION OF ARTWORK Exhibiting artists must properly identify and document any artwork left at CACOB as follows. 1. All artwork to be exhibited must be identified on the back or in a location appropriate to the work (on the bottom of a sculpture, for example) with: 1.) the artist’s name; 2.) the City of OBassigned vendor number of the artist; 3.) the artist’s contact information, to include physical address, email address, and valid phone number of artist; 4.) medium; 5.) title of the work; and 6.) price of the work. 2. All reproductions of original artwork must be so identified in addition to the identification described above. 3. All artwork to be exhibited must be documented via a gallery item record, which shall be attached to the artwork by the artist when it is left at CACOB. Artwork not properly identified and documented will not be displayed. 4. Gallery labels are created from the gallery item records. The artist is responsible for providing correct information on the gallery item record. Once gallery labels are created, the gallery item records are to be filed in the gallery item record notebook. C. REMOVAL OF WORK FROM GALLERY 1. An artist may remove his/her artwork from the gallery at any time for any reason the artist deems appropriate. At removal, the artist must note the removal on and sign the gallery item record for the artwork. 2. If a person other than the artist is designated to remove artwork from the gallery, that person must provide written permission from the artist to remove the artwork, and must sign the gallery item record upon removal. The written permission will be kept on file with the gallery item record. D. SUBJECT MATTER RESTRICTION The Art Center reserves the right to restrict the display of art that may be considered controversial, obscene or in bad taste. In general, nudes are inappropriate for the CACOB gallery. III. SALES 1. No art will be displayed as “NOT FOR SALE” (NFS), except with the written consent of the Art Center Director 2. Written consent for the artwork to be NFS must be provided on the gallery item record for the art. 3. Offers to buy artwork for less than the price set by the artist will be immediately conveyed to the artist by phone or email. The artist should respond in a timely manner. 4. The artist determines the sales price. IV. COMMISSIONS A. COMMISSIONS: There will be a thirty (30%) percent commission placed on all items sold in the Art Gallery and the Gift Shop. This commission is deducted from the sale price prior to remitting the net proceeds to the artist. V. ROTATION The general schedule for rotation of artwork is quarterly. The Director may change the date of the rotation if there is a Gallery event conflict. Gallery Artists must bring new artwork and remove artwork from the gallery on the date of rotation. Any exceptions to this policy must be requested and approved in writing. Artists are requested to keep to the rotation schedule. Leaving or removing work out of rotation may result in lost artwork, or in artwork having no gallery label. VI. INVENTORY If an exhibiting Artist does not sell any items within a rolling twelve (12) month period, the Artist will be asked to remove all items from the Gallery and may have the opportunity to go through the jurying process again in twelve (12) months after the removal of items. VII. LIABILITY Neither the Director nor the city of Orange Beach nor any employee of the city of Orange Beach shall be responsible for theft or damage to art. Artwork left for more than 9 months without rotation becomes property of the CACOB. VIII. OTHER DISPLAYING VENUES Exhibiting Members may be contacted about possible participation in displays at venues negotiated by the CACOB. Participation is voluntary and does not affect the status of the Exhibiting Artist. Artwork displayed at other venues by CACOB must conform to all policies presented herein. IX. BUSINESS LICENSE AND W-9 Exhibiting artists must purchase a City of Orange Beach business license and renew that license annually in order to exhibit at CACOB. Exhibiting Artists will receive a notice from the city each December concerning the amount of the license. Also a W-9 form must be on file with the city. Artists are responsible for ensuring that their Orange Beach business license and all other required information is current. The city accounting office will not issue payment for artwork unless all information is current. Artists must comply with any paperwork requirements of the City of Orange Beach in order to continue as Exhibiting Artists. X. UNDERSTANDING I have read and understand the foregoing Policies and Procedures and have been given the opportunity to ask questions.
