Marlborough Coordinator Job Description 1. PURPOSE OF POSITION The coordinator supports the ongoing operation of the centre. This includes a balance of coordinating, training, staff and programme management, administrative and networking tasks. This is a permanent part-time position based at the Blenheim office. Job Environment The coordinator is expected to work within ELPNZ’s mission, vision, philosophy and code of practice, but will be fairly autonomous on a day-to-day basis. The coordinator is expected to form sound working relationships with staff, volunteers, learners, and national office staff as well as forming good networks and relationships with other stakeholders in organisations and agencies relevant to the nature of the centre. The coordinator will manage the day-to-day operation of the centre and assist the Nelson manager with planning, budgeting and reporting. The coordinator will facilitate the training of new tutors using the manual “Partners in Learning”, retain and support current tutors and learners and ensure the provision of quality learner-based teaching. 2. KEY ACCOUNTABILITIES The coordinator’s role may include, but not be limited to, the following tasks: 2.1. Training and Resourcing – Volunteers 2.1.1. Maintain a trained, supported and resourced volunteer base 2.1.2. Recruit, interview and train volunteers for home tutoring 2.1.3. Assess tutors for their Certificate in ESOL Home Tutoring 2.1.4. Support tutors with resources and ongoing training/workshops/information 2.1.5. Maintain resources library on a regular basis 2.1.6. Maintain personal contact with tutors at least quarterly 2.1.7. Ensure tutor records are kept up-to-date 2.1.8. Complete volunteer evaluations (training, workshops, quarterly contacts, surveys), discuss with manager and act upon feedback 2.2 Service Delivery – Learners 2.2.1 Recruit, interview and assess learners and identify appropriate services 2.2.2 Coordinate English classes, including venue, teachers and learners 2.2.3 Coordinate English for Migrants programme 2.2.4 Coordinate One-to-One Home Tutor programme 2.2.5 Oversee the assessment of learners according to programme requirements 2.2.6 Ensure that programmes are run to standards set by National Office 2.2.7 Refer learners to other providers when appropriate 2.2.8 Communicate regularly with teachers and solve any issues as they arise 2.2.9 Promote all programmes as needed 2.2.10 Prepare written reports as required 2.2.11 Collect fees mid-term 2.2.12 Use the database to organise classes and to report to National Office 2.2.13 Ensure learner records are kept up-to-date 2.2.14 Complete learner evaluations in programmes, discuss with manager and act upon feedback 2.2.15 Liaise with National Office, other English Language Partner centres, ESOL providers, local community groups, other ethnic and migrant groups and their support groups Coordinator Job Description Page 1 of 3 2.3 Administration and Management 2.3.1 Keep records of service delivery (tutor and learner records, training course records) up to date 2.3.2 Ensure office systems work efficiently 2.3.3 Data records meet targets and audit requirements, and are reported on regularly 2.3.4 Maintain effective communication at all levels, via phone calls, meetings, visits, correspondence, email and internet 2.4 Evaluative self-assessment 2.4.1 Implement programme processes and systems efficiently and effectively at the centre. 2.4.2 Ensure learners are placed in the appropriate service. 2.4.3 Record learner achievements and monitor the data required for outcomes reporting. 2.4.4 Participate in ongoing evaluative self-assessment, including report information or evidence as per requirements by the manager, and contribute to a culture of innovation and continuous improvement. 2.4.5 Observe ELPNZ Philosophy, Code of Practice, policies and procedures. 2.5 Reporting 2.5.1 Submit written monthly reports to the Nelson manager and maintain communication at least fortnightly. 2.5.2 In the absence of the manager, submit timely, written reports as and when required to National Office. 2.5.3 Write specific reports and provide information as required. 2.6 Networking and Service Promotion 2.6.1 Maintain links with local ESOL and adult education providers and attend relevant meetings in the area 2.6.2 Establish, maintain links with local social service and ethnic communities and groups and attend relevant meetings 2.6.3 Publicise and promote service locally 2.6.4 Speak to local groups 2.6.5 Release press releases and stories to local newspapers 2.6.6 Maintain a profile at relevant community events 2.6.7 Keep website and promotional materials up-to-date 2.6.8 Arrange informal social meetings for members and wider community 2.6.9 Maintain networks with other centres and National Office 2.7 Your Professional Support and Development 2.7.1 Maintain regular and effective communication with the Nelson manager through regular meetings 2.7.2 Complete initial annual performance agreement and regular performance appraisals with manager 2.7.3 Ensure planning and implementation of own professional development in consultation with the manager 2.7.4 Maintain your own professional standards through regular professional development including attendance at ELPNZ trainings, conferences and meetings (where relevant) 2.8 Relationship Management Internal 2.8.1 Manager and staff; learners/potential learners; volunteers/potential volunteers 2.8.2 National office and other centres External 2.8.3 2.8.4 2.8.5 2.8.6 2.8.7 Community groups, ESOL providers, ACE providers, settlement support agencies Ethnic groups and organisations Other stakeholders working in related areas, schools Local and central government departments and agencies Funders Coordinator Job Description Page 2 of 3 3 POSITION REPORTS TO Centre Manager 4 PERSON SPECIFICATION 4.1 Expected Qualification/s Essential A qualification in TESOL, preferably with adults, is essential.
