Homecoming Student Steering Committee Bowling Green State University 401 Bowen-Thompson Student Union Bowling Green, OH 43403-0143 Phone: 419-372-2343 Fax: 419-372-0455 http://www.bgsu.edu/offices/mc/homecoming/index.html 2013-2014 Constitution Last Ratified: 4/22/2013 Bowling Green State University Homecoming Student Steering Committee Constitution Mission To enrich the collegiate experience, the Homecoming Student Steering Committee will provide events for students, faculty, staff, alumni and the community of Bowling Green which celebrate tradition, spirit and pride in Bowling Green State University. Article I: Name Section 1. Section 2. The name of this organization shall be called Homecoming Student Steering Committee (HSSC). HSSC shall be a registered student organization of Bowling Green State University (BGSU). Article II: Organizational Structure Section 1. Director: HSSC shall consist of one Director or 2 Co-Directors. Section 2. Steering: HSSC shall consist of one or two Major Events Chair(s), Parade Chair(s), Organization and Sponsorship Chair(s), Marketing Chair(s), and Merchandise and Royalty Chair(s). Section 3. Core Committee: HSSC should consist of a committee for each of the following: Major Events, Parade, Organization and Sponsorship, Marketing, and Merchandise and Royalty. Section 4. Volunteer: HSSC should consist of volunteers to assist each Core Committee member in the final event. Article III: Non-Discrimination Statement Section 1. Membership in student organizations shall be open to students of BGSU without regard to sex, gender identity, genetic information, gender expression, sexual orientation, race, color, religion, ancestry, national origin, marital status, disability, pregnancy, military status, age, or status as a Special Disabled or Vietnam-era veteran. Article IV: Membership Requirements Section 1. Director A. Must be an officially registered undergraduate student of Bowling Green State University enrolled as either part time or full time status, and have and maintain a 2.5 semester and cumulative GPA. a. If the director’s semester GPA is between 2.00-2.49, he/she will be put on probation. b. If the director’s semester GPA is lower than a 1.99, is/her membership in HSSC will be automatically revoked. B. Must organize and attend bi-weekly/weekly Steering Meetings, Steering C. Section 2. A. B. C. D. Section 3. A. B. Section 4. A. B. Section 5. A. Retreats, and all mandatory Homecoming events. Must meet with Advisor and Graduate Advisor as designated. Steering Committee: Must be an officially registered undergraduate student of Bowling Green State University enrolled as either part time or full time status, and have and maintain a 2.5 semester and cumulative GPA. a. If the steering member’s semester GPA is between 2.00-2.49, he/she will be put on probation. b. If the steering member’s semester GPA is lower than a 1.99, is/her membership in HSSC will be automatically revoked. Must turn in weekly/ bi-weekly report to Director, Advisor, Graduate Advisor and Committee. Core Committee: All must be an officially registered undergraduate student of Bowling Green State University enrolled as either part time or full time status.
Must attend bi-weekly/weekly Core Committee Meetings with their respective Steering member and all mandatory Homecoming events. Volunteer: All must be an officially registered undergraduate student of Bowling Green State University enrolled as either part time or full time status. Must attend Volunteer Meetings with their respective committees and all mandatory Homecoming events. Term of Office: Term of office for all HSSC members is one term as defined by the selection and transition process. Article V: Advisors Section 1: Faculty/Staff Advisor A. The Faculty/Staff Advisor shall be appointed by the Division of Student Affairs, with advice from the HSSC. The advisor acts as the HSSC budget administrator, signs contracts, and directly supervises the Director and members of the Steering Committee. Section 2. A. Graduate Advisor The Graduate Assistant is enrolled in the Graduate College at BGSU, and is working in the Office of Campus Activities to gain professional experience. He/she will work with HSSC in all aspects of advising and program planning. Article VI: Meetings Section 1. Executive Board Meetings: A. The Director and Advisors shall meet weekly/bi-weekly as needed. B. The Executive Board Meeting’s date and time shall be determined by the Director and Advisors Section 2. A. B. Section 3. A. B. C. Steering Meetings: The Director, Steering members and Advisors shall meet weekly in the Spring Semester and Fall Semester. The Steering Meeting’s date and time shall be determined by the Director and Advisors. Core Committee Meetings: All Steering members shall meet weekly on a regular basis with their respective core committees The Steering member(s) will be notified of any absences at least 24 hours in advance of the Core Committee Meeting. The Core Committee Meeting’s date and time shall be determined by the Steering Member(s) for that committee. Article VII: Steering Position Responsibilities Section 1. Director A. Primary official spokesperson for external relations. B. Coordinate and oversee the direction of HSSC. C. To organize and lead Executive Board Meetings and Steering Meetings. D. Prepare and distribute the agenda for each meeting listed above. E. Call special meetings when necessary. F. Represent HSSC at the University Homecoming Meetings. G. Organize Steering Retreats. H. Assist in the coordination of the Steering and Core Committee selection. I. Enforce the Constitution and Bylaws. J. To act as an arbitrator in dealing with conflicts within the organization. K. Complete other duties as assigned. Section 2. A. B. C. D. E. F. G. H. Parade Chair Plan and implement the Homecoming Parade. Work with on and off campus constituents in regards to the parade. Recruit VIPs, organizations, faculty, staff, BGSU Marching Band, and alumni to participate in the parade Organize judges and plan prizes for the parade winners. Work closely with on and off campus police departments to plan parade logistics and route Develop the parade line up. Recruit and coordinate volunteers for the parade. Attend all Steering Meetings I. J. K. Section 3. A. B. C. D. E. F. G. Section 4. A. B. C. D. E. F. G. Section 5. A. B. C. D. E. F. G. Organize and attend all Parade Core Committee Meetings. Collaborate with all other Steering Members. Complete other duties assigned. Major Events Chair Develop and oversee all Homecoming Events including but not limited to Homecoming Kickoff and Pep Rally. Included in the planning of these events are: logistics of the events, entertainment, and catering. Coordinate and recruit volunteers for all Homecoming Events. Collaborate with student organizations and other groups to organize and co-sponsor events throughout Homecoming week. Collaborate with all other Steering Members. Organize and attend all Major Events Core Committee Meetings. Complete other duties as assigned. Organization & Sponsorship Chair Communicate with on and off campus sponsors for donations and participating in Homecoming Collaborate with student organizations to create and co-sponsor Homecoming events and activities. Gain support from on and off campus organizations and businesses. Establish and nurture relationships with local businesses. Plan and oversee service activities throughout the week including the collection of spirit points for organizations. Organize and attend all Organization & Sponsorship Core Committee Meetings. Complete other duties as assigned. Merchandise & Royalty Chair Oversee nominations, applications, interviews and selection of Royalty Court. Communicate with Institutional Research for Royalty nominations and voting. Organizes activities for Royalty throughout the week. Design and order all Homecoming merchandise. Communicate with the University bookstore in ordering merchandise Organize and attend all Merchandise & Royalty Core Committee Meetings. Complete other duties as assigned. Section 6. Marketing Chair A. Advertise Homecoming to the Bowling Green State University community. B. Advertise Homecoming to the surrounding community of Bowling Green, Ohio. C. D. E. Design logo for all publicity advertising Homecoming events. Organize and attend all Marketing Core Committee Meetings. Complete other duties as assigned. Article VIII: Selection Process Section 1. Director A. Any current member of HSSC with at least one term HSSC experience can apply to be the Director. If there are no applicants from pervious HSSC, any undergraduate BGSU student can apply. B. An application must be filled out an interview shall be scheduled in general requirements are met. C. The interview shall consist of the outgoing Director, the Advisors, and any other outgoing HSSC members. D. Director interviews shall take place in late October or November. Section 2. Steering: A. Any full-time or part-time undergraduate BGSU student with a GPA of 2.50 or higher can apply to be on HSSC. B. An application must be filled out and an interview shall be scheduled if general requirements are met. C. The interview shall consist of the new Director of HSSC, at least on Advisor, and any other outgoing HSSC members. D. The Steering interviews shall take place in November or December. Section 3. Core Committee: A. Any full-time or part-time undergraduate BGSU student with a GPA of 2.50 or higher can apply to be on HSSC. B. An application must be filled out and an interview shall be scheduled if general requirements are met. C. No interview is necessary for the Core Committees. Core Committees will be selected based on the applications unless a Steering member prefers otherwise. D. The Core Committees will be selected in January or February. Article IX: Filling Vacancies Section 1. In case of Director vacancy, the Advisors will select a member of Steering to fill the position. Section 2. Steering positions shall be filled by either a core committee member, or left vacant. The Director and Advisors will make the decision. Section 3. Core Committee positions will be filled upon the discretion of the Steering member overseeing the committee. Article X: Adherence to University Policies Section 1. All HSSC members shall adhere to all BGSU rules, regulations, and policies. Section 2. All HSSC members shall adhere to all Bowling Green, Ohio’s local, state, and federal laws
