Procedure for IT Equipment Disposals
Only equipment which has reached end life i.e. greater than 5 years old, broken or where it has been agreed that
equipment has no further use in the Council can be disposed of. Please refer to your Line Manager for confirmation.
Equipment which can be disposed of under this contract include:CRT Monitors/Macs, CRT TV’s, TFT Monitors, Base
Unit’s, Servers, Laptops, Printers (not Xerox Machines), Fax Machines, Scanners, Fridges/Freezers, Switches/Routers,
Old style office telephones.
1. Complete form available on the Intranet or contact IT Admin itadmin@westlothian.gov.uk
2. All completed forms must be returned to IT Admin, who will liase with the Disposal Company. Please specify
items which are greater that 20 kilos as this will require an additional person to uplift.
3. You will then receive acknowledgement within 48 hours with pick up date and time.

CCL North Ltd will contact the Primary or Secondary contact on the day to confirm time of pick up
morning/afternoon.
5. The Primary or Secondary contact must confirm the identity of CCL Staff (check ID Badges) on arrival.
6. CCL North Ltd are only authorised to pick up and dispose of the items on the Disposal Form. Please do not ask
the Driver to pick up additional equipment which is not on the list. Primary/Secondary contact will be held
responsible for any equipment missing from the Disposal Form. Please note that Secure storage facilities i.e.
locked cabinet can be provided by John Keenan on request.
7. The Primary/Secondary contact must sign for the equipment collected on the Log Sheets, which will be
provided by the Driver. A scanned copy of the form will be returned to you.
NB: Primary/Secondary contact is responsible for ensuring all disposals under their name are complied with
local Asset Management arrangements i.e. ensuring equipment is removed for local inventories
All Council equipment will be crushed and parts will be recycled according to European Environmental
Standards. All data will be destroyed to Government Standards by crushing hard drives. IT Services will
receive Certificates of Destruction for all equipment.
