A full benefits package is provided including 100% employer paid health and dental insurance. This is a 80% (32 hours a week), non-exempt position. Position Summary The Office Administrator is responsible for: 1) General administrative and program support, 2) Membership tracking and support, 3) Financial tracking of organizational activities, 4) Coordinating events logistics and support. This position reports to the Executive Director and may supervise volunteer and interns. Primary Responsibilities 1. Administrative Support Data entry, maintenance, and management of organizational database. Answers or redirects all calls to general office phone line and general office email. Technology management and troubleshooting Inventory and purchasing of office supplies Providing administrative support for Board of Directors activities, including meeting logistics and preparation; assembly and distribution of board reports, staffing Board meetings as requested, and maintaining board records. Some Executive Assistant duties, which may include travel arrangements, meeting coordination, and drafting correspondence. General human resources management, including maintaining employee files, managing employee insurance, and coordinating employee timesheets. Maintains office filing system. Organizes intern/volunteer program, including coordinating office schedules, keeping accurate volunteer records, volunteer communication, and volunteer orientations. 2. Administrative Support of Membership Maintains accurate membership records in database, spreadsheets, and paper records. Creates monthly and annual membership reports. Sends out membership expiration reminders Processes and tracks all new memberships, renewals, and dropped memberships Provides customer service as the first point of contact for member questions or inquiries. 3. Financial Support Processes and tracks all income and expenses in accordance with Global WA procedures. Coordinates with contract bookkeeper to manage all organizational financial accounts, including bank deposits, credit cards, online payment processing, paying bills, etc. Creates and tracks invoices Researches and reconciles financial questions as requested by Executive Director or bookkeeper Tracks event and/or special project expenses Assist with annual audit 4. Event Logistics Organizes logistics of events and meetings, including booking venues, catering or food purchasing, and volunteer support coordination. Creates and sends out electronic invites for all events and tracks event attendance Provides event support including producing materials, promotion, and registration Oversees the process of registration and logistics with the Executive Director for the Annual Conference Attends and staffs events as needed Required qualifications Superb attention to detail Ability to manage multiple high-priority projects with competing deadlines Excellent written and verbal communication skills. Financial management or bookkeeping experience Ability to work cooperatively, foster team spirit and maintain a sense of humor Experience with Microsoft Office Suite, including Word, Excel, Powerpoint, and Outlook Ability to work with electronic communication tools and current technology in the support of marketing, web-based programs, and event planning Customer service skills and experience At least 3 years of experience in office management, administrative support, or equivalent. Helpful qualifications/experience Nonprofit experience Experience or education related to the global development sector Previous experience in a membership organization or association Experience updating and managing databases Self-directed and flexible. Able to work well independently and as part of a team. Event planning Familiarity with Wordpress, etapestry, and/or social media platforms Familiarity with Adobe Creative Suite
