MPMA’S ONLINE JOB BANK Assistant Registrar General Description: The assistant registrar aids the Registrar/Collections Manager with the preparation, management and maintenance of all documentation and records related to the museum’s art collection and to all incoming and outgoing loans. While this position description lists a wide range duties carried out in the collections department, it is assumed that over time, a more defined subset of responsibilities will be assigned to this position, based on the skills and interests of the person who holds it and the museum’s current needs. This is a 12 month Term Appointment which carries no expectation of continuous employment beyond the initial term. However, if sufficient funding is available the contract may be renewed. Duties and Responsibilities: Collection Documentation The assistant registrar assists with processing new acquisitions, incoming and outgoing loans, and deaccessions; creates and maintains the legal, catalog, appraisal, activity, source, numbering, and condition documentation of these collections including generation and maintenance of all related legal paperwork, database and hard file catalog records. Collection Management The assistant registrar helps to maintain up-to-date location records for the collection (within the museum and off site) and assists in the preparation of receipts, loan and release forms; in preparation of all necessary reports and paperwork for incoming and outgoing loans; and in handling, packing and installation of art work as necessary. The assistant registrar assists in overseeing conditions, access, and inventory of collection storage and processing. The assistant registrar will be active in responding to public and staff queries, and researching the collection and exhibition archives related to these; assist with all image reproduction and photography requests; and assist with managing collections archives and research library. The assistant registrar assists with the photography and processing of images of the permanent collection and process all reproduction and photographic requests. Traveling exhibitions The assistant registrar helps manage logistical arrangements (legal documentation, shipping, customs, couriering, and conditioning) for traveling, temporary or special exhibitions as requested. Other duties as assigned Required Qualifications Bachelor’s degree in art history, anthropology, museum studies or related field with a minimum of one year experience in a museum registration office or other role that includes familiarity with registration-related records, database and collections management, basic art shipping practices, art handling and movement, and condition reporting expertise. Excellent written and oral communication and interpersonal skills, with a demonstrated ability to work on a team with staff, volunteers, patrons, and sponsors, detail-oriented, strong organizational skills. Computer and database management skills and experience that includes Microsoft Office tools, Adobe Photoshop/Creative Suite. Valid driver’s license. Physical requirements Lifting, pushing, or pulling up to 50 lbs Standing, walking, sitting, and climbing Preferred Qualifications Training in photography and image processing. MuseumPlus experience.
