‘Friends of Hanham High’ Meeting Minutes. 8th November 2011. Present: Peggy Farrington. Jo Postlethwaite. Paul Staight. Sally Rouch. Julie CarlileJones. Tracy Gibson. Theresa Day. Christine Bryant. Natasha James. Eileen Everson. Kevin Biggs. Kay opened the meeting at 6:50pm. Closed at 8:00pm. AGM. o Peggy raised that both she and Jo felt the recent AGM didn’t reflect the friendly atmosphere usually present at our meetings. They felt that new parents were not made to feel welcomed, but that the meeting felt uncomfortable and tense, with people being pressurised into roles they felt uncomfortable with. She has spoken with Graham about this, and asked that the meeting next year be planned and organised with an informal approach to reflecting upon our achievements. As a result two dates have been pencilled into the diary – Tuesday 25th September 2012 – Short meeting to plan and organise ourselves prior to the AGM. Tuesday 9th October 2012 – AGM: to include wine and nibbles. TRUSTEES. o Paul referred to the Charity Commission regulation that there need to be 6 trustees, with others nominated to stand as a ‘committee’. It was agreed from those present that the trustees would be – Paul Staight. Graham Coombes. Karen Callaghan. Claire Gretton. Theresa Day & Tracy Gibson. All others present at the meeting were happy to be named as committee with the exception of Christine Bryant, who whilst wishes to support the ‘Friends’ all she can, cannot commit to attending Tuesday meetings as she has work commitments. In order for meetings to be compliant with the Charity Commission, then 50% of the named committee and trustees must be present. RAFFLE. o Draw date – 9th Dec @ 12:20pm. o Tickets are due at the school this week. o The group discussed various options for a ‘main prize’ and it was decided that an IPod Touch would be purchased. Sara knew of an offer currently running and Jo offered to investigate further and purchase. o Kay will send out letters to previous donators, asking for items this year. o Paul will ask School Governors at their next meeting to buy tickets. o Prizes are beginning to be collated Wendy has again very kindly organised a printer as a prize. Theresa has donated an ‘Aquaclean’ voucher. Tracy has been given vouchers for some Salsa dancing lesson’s from a parent. Christine & Rachael will use their contacts in the CO-OP to obtain a donation. Donations from the ‘Friends’ will be added to by staff. Jo will contact people when there is enough to make a hamper. TREASURER’S REPORT. o AS Alyson was unable to attend Paul accepted £13:00 from the sale of cakes at the ‘Tea-time Concert’ and a further £40:00 from the sale of jewellery to staff. o Information on how to access the NCPTA online was handed out. LADIES NIGHT. o The sub-committee have met several times, and plans are underway. Those retailers who have not yet responded will be contacted again after Christmas to confirm if they will be attending. The group discussed the possibility of securing a demonstration on the evening – possibly Salsa Dancing from the parent at school or Zumba??? AWARDS EVENING (11th November) o Tracy agreed to shop for this event (red & white wine, orange & apple juice, water, tablecloths, bowls and beakers) all those who volunteered to help were asked to be at school by 6:45pm. o Peggy asked that the identity badges are worn to ensure we raise the profile of the ‘Friends’ at these events. MUSIC CONCERT (8th December) o Volunteers for this evening are – Theresa. Christine. Sally. Tracy & Claire. o Jo will contact Sally nearer the time with numbers – Sally will then shop for Mulled wine and Mince Pies. o It was suggested that the mulled wine be taken to the evening ready warmed in flasks. Tracy has access to several large flasks in work, and will liaise with Sally nearer the time. FRIENDS SOCIAL NIGHT OUT. o This was arranged for Thursday 26th January 2012 @ The Queens Head Pub, Hanham. WHAT ARE WE WORKING TOWARDS? o The school council have asked if the ‘Friends’ would raise money towards purchasing commemorative T-shirts for the 2012 Olympics. This was discussed, and it was agreed that the ‘Friends’ would contribute towards every children receiving a T-shirt, alongside a small contribution from parents. Peggy said that children could either keep the T-shirt as a commemorative item – or wear it as part of their school PE kit. Fiona W has contacts with a printing company and will liaise with Mr Swanton. The Olympic torch is due to be carried through Hanham High Street on 22nd May 2012 between 4 – 6 pm. o Paul raised the Queens Jubilee – this was discussed, but it was felt that the children would probably relate to, and be more interested in the Olympic theme, particularly as the school are participating in several related activities. FORTHCOMING EVENTS. o Quiz night. This was discussed and a date arranged for Friday 3rd February 2012. o Jayne Madder has been asked to write the quiz questions – she is happy to do so, but not to read them on the evening. o A venue has not yet been arranged as The Chequers Pub is currently under new management; this will need to be discussed nearer the time. (the Humanities block is provisionally available should we need to hold it in school) NEWSLETTER. o Sally to forward a small piece for inclusion in the Christmas newsletter before 9th December 2011.
