JOB TITLE: Textbook Associate

POSITION SUMMARY:
Manage all aspects of textbook inventory. Tabulate and balance daily sales from the bookstore and enter on a
daily ledger.
ESSENTIAL TASKS:
 Maintain all aspects of textbook inventory including the textbook adoption software including placement of
orders with vendors, stocking, sales and returns.
 Assure timely receipt of books
 Coordinate the textbook adoption process.
 Communicate with faculty and publishers on edition changes and package updates
 Keep shelf tags updated on price and book changes
 Stay apprised of growing enrollments and order additional books as needed
 Resolve book problems with publishers (ie., missing pages, damaged in shipment, etc) to receive credit or
replacements
 Coordinate regular and wholesale Book Buy Back Program; determine which books will be bought for
resale.
 Assist customers with questions and purchases.
 Prepare textbook orders, maintain accounts payable records, identify budget codes for payment and
processing.
 Prepare daily sales reports, prepare bookstore deposits, match credit card sales, balance and record daily
sales information including non tax sales, sales type and class breakdown; enter data on daily ledger.
 Prepare end of month sales reports
 Assist Central Methodist University in the management of their textbook needs
 Supervise and maintain book inventory sent to Sullivan campus.
 Train worker to update the inventory spreadsheet as sales occur at the Sullivan campus.
 Advise University Book and Supply in Rolla of required textbooks; works with Rolla store to make sure
correct books are used in Rolla.
 Prepare end of year inventory sheets and assist with physical inventory.
 Maintain current knowledge of bookstore textbook ordering software and Point-of-Sale system.
 Maintain credit card reports and provide records for end of the month balancing for financial services.
 Maintain insufficient fund collections, notify students of returned checks and place a hold on grades until
payment is made, if payment is not made contact collection agency to complete payment process.
 Perform assigned responsibilities, duties, and tasks according to established practices, procedures,
techniques, and standards in a safe manner and with minimal supervision.
ADDITIONAL DUTIES:
 Troubleshoot any problems that arise in the normal course of the business day.
 Maintain customer relations.
 Perform other related duties and responsibilities as may be assigned.
KNOWLEDGE, SKILLS, and ABILITIES:
 Knowledge of general office procedures and filing systems.

















Knowledge of department and college policies, procedures, and practices with the ability to answer work
related questions; and/or interpret and apply these guidelines correctly in various situations
Knowledge of accessing computer programs, (i.e., ECC website, sending and receiving e-mails.)
Ability to utilize computerized systems, including familiarity with spreadsheet, word processing, text book
ordering software, Colleague, Merchandise, Point of Sale, and the AS-400.
Ability to operate standard office equipment such as telephones, fax machines, or desktop calculator.
Ability to establish and maintain cooperative working relationships with other employees, vendors and
individuals from other colleges.
Excellent customer service and communication skills.
Ability to work in a fast-paced environment with frequent interruptions.
Ability to adjust working hours to include evening and/or weekends.
Ability to apply established procedures for physical inventory.
Must possess effective oral and written communication skills.
Ability to work independently and with limited supervision.
Ability to work under pressure and solve problems effectively and efficiently.
Ability to adjust quickly to changing situations or requirements.
Knowledge of pricing methods and computations.
Ability to operate bookstore machines including POS electronic cash register, credit card machine, barcode
machine, pricing machine.
Ability to perform all the essential functions of this job.
Knowledge of proper lifting techniques.

EQUIPMENT/SOFTWARE:
 Use office machines such as copiers, telephones, fax machines or calculators.
 Use AS400, POS electronic cash register, credit card machine, barcode machine, pricing machine.
 Use computers for data entry; use Microsoft XP, Microsoft Office (Excel, Word, Outlook)
 Use Colleague (College database system)
 Use Textbook Inventory software – TA2
WORKING CONDITIONS - the following physical conditions and hazards may be encountered in this position:
 The noise level in the work environment is usually moderate.
PHYSICAL REQUIREMENTS:
 While performing the duties of this job, the employee is regularly required to talk or hear. The employee is
frequently required to stand; walk; sit; use hands to finger, handle, or feel and stoop, kneel, crouch, or
crawl. The employee is occasionally required to reach with hands and arms and climb or balance. The
employee must regularly lift and /or move up to 50 pounds.

The position may also require close vision, distance vision, color vision, peripheral vision, depth perception,
and ability to adjust focus.

EDUCATION, EXPERIENCE, and LICENSES/CERTIFICATIONS: (A comparable amount of training,
education or experience may be substituted for the minimum qualifications.)
 Completion of high school/GED
 One Year related experience
 Completion of Textaid training from MBS (after being hired)
