Job Description - Board Position: Vice President
Reports to: Music Director and President of the Choir Board
This person should have:
 Organizational skills
 A take charge personality
 Communication skills
Expectations:
 Available at all concerts to volunteer at 6:00
 Be present at concert rehearsals to train the House Manager, Backstage, and Classroom
volunteers
 Keep the President informed of any issues
 Board meeting attendance
 Required
 Must bring a copy of the current minutes and agenda to the meetings
 Read the previous minutes prior to the meeting
Specific Duties:




Support President
o Run board meeting if needed
o Present at the Back to school night – Volunteers opportunities
Schedule, train and supervise volunteers for all events
o May use mysignup.com for scheduling
Events - come early and be in lobby to answer any questions, help where needed, support other
leaders who may need an extra hand.
Keep the Vice-President’s binder updated to be passed on to the next Vice President.
EVENT Timeline
 2 – 3 weeks prior – Set up mysignup.com and send out an email requesting volunteers for upcoming
concert, give dates nights and have positions posted that are needed for each night, and how many
volunteers are needed in each position.
o Positions needed:









House manager - 1 each night for entire performance, comes 60 minutes prior to concert, Can’t
watch the concert the night they volunteer except parts from the back of house

trained on using the headset,

communicates with backstage and classroom volunteers,

manages front lobby,

holds master keys for box office (open office for treasurer),

manages lights and communicates with techs in sound booth.
Backstage - 1 each night for entire performance, comes 45 minutes prior to concert, Can’t watch
the concert the night they volunteer

trained on using the head set,

calls groups from classroom to backstage,

communication for Ms McCarty,

monitors students backstage for noise.
Classroom – 1 or 2 each night for entire performance, comes 45 minutes prior to concert, Can’t
watch the concert the night they volunteer

trained on using the headset,

manages students in classroom and sends out groups for performance.
Box Office – 1 booster board member and 1 volunteer come 60 minutes prior to concert, each
night. Can watch part of the concert from the back of house

manage ticket sales and counts money.
Will Call – 1 each night come 30 minutes prior to concert,. Can watch the concert if you purchased
tickets

manages will call table out front and hands out previously purchased tickets
Ticket Checkers – 2 each night, come 45 minutes prior to concert, one at each door,. Can watch
the concert if you purchased tickets

checks patrons for tickets for that specific night
Ushers - 2 each night, 1 at each door, come 30 minutes prior to concert, Can watch the concert if
you purchased tickets.

hand out programs as patrons arrive, man inside doors during concert for noise as patrons
exit and return.
Concessions – 6 each night, 5 can watch the concert if they purchased tickets. 1 must stay out in
the lobby

help set up concession tables, sell refreshments before and during intermission.
Sales: DVD/Flowers/etc – 1 or 2 each night, Can watch the concert if they purchased tickets

sell flowers and take DVD orders from table in lobby before and during intermission.
 1 week prior - send out reminder email to fill in any openings left on volunteer schedule, may need to
call parents to fill last openings.
 Rehearsal – train any new volunteers who may be using headsets (house manager, backstage,
classroom). Take concert program and mark when each choir should be called from classroom to line
up backstage (give to each backstage volunteer the night of performance).
 Concert – come 60 minutes early. Collect headsets from choir director’s office and master keys from
director for box office door. Meet volunteers in lobby and give them their duties/instructions. Have
printed schedule of volunteers to know all positions are covered as they arrive.
 Intermission – communicate with all volunteers to assure everything is running smoothly. Thank
volunteers.
 After concert – collect headsets and return to Choir Directors office, return master keys to choir
director. Thank volunteers.
