Frequently asked questions… This is my first time as Team Mom, what are my responsibilities? - - - Scheduling and putting together a snack schedule for the season. o Reminding parents of their snack week the prior week before. Copying and distributing practice and game schedules to parents. Organizing, distributing, and explaining fundraisers to players and parents. o Responsible for the collection of orders/monies raised during the fundraiser. o Responsible for turning in the orders/monies to the League Team Mom (Danika Escano). o Make sure you keep a documented accurate record of fundraiser transactions. o Always verify monies turned in at the time collected with the parent present. You may want to write down the amount and have the parent initial on the collection envelope. Notify team and parents of picture day. This season dates and times will be announced at a later date. o Team Mom is responsible for passing out picture envelopes prior to picture day Planning of the team party. Order and collect monies for trophies (don’t forget the coaches). Any helpful advice you could give to become a great team mom? - - Give handouts directly to parents whenever possible. Be sure that you are not alone with any child that is not your own. It is a good idea to have a second adult on hand. Stay organized. Be sure to have a team schedule available with dates, times, and places of games and practices. Parents are always losing their copies and they will ask you. Keep a team roster on hand to use as a check list for keeping records of who has been given handouts and or important information. What will I get in return? - You will be an active member of the team. The team may reward you with a small gift as a thank you for all your hard work. Most importantly… your child will get to see a real role model in action. The position of Team Mom is so important to each Vacaville Jr. Bulldog Football Team and Vacaville Jr. Bulldog Cheerleading Squad. Parent Volunteers, under the guidance and direction of the Team Mom will help to make home and away games, practices, and fundraisers occur without issue. These functions are not limited to only the football gridiron, but in the back of house areas as well. Such areas consist of the snack bar, the entrance/exit gates, trash policing detail, and other areas of concern that may come up as the situation deems necessary. It is the responsibility of the Team Mom to guide and assign Parent Volunteers with the various job functions. It is very important that as the Team Mom you communicate to the parents the importance that they volunteer to help and make this season one to remember. It would be to your advantage to assign your list of parent volunteers as soon as possible and start creating your volunteer schedule. I have attached an example copy of a Snack/Volunteer Schedule with this survival guide. (Example Forms, attachment A) A minimum of 2 hours of volunteer time is required to qualify for the parent participation deposit refund. Please note that the “parent participation log” must be turned in and authorized by a board member before refunds will be issued. (Example Forms, attachment B) Remember have fun and stay organized … TEAM PARTY End of the season team party… Get with the coaches and see what they may want to do for the end of the season. Here are some ideas for you … - Pizza Party BBQ (Potluck) Picnic at the park Pool Party - Driven Raceway - Scandia - Stars Recreation Note: - If you are going to have an end of the season party at Round Table or any other pizza parlor/food establishment, you may want to book as early as possible. The best way to ensure a good time slot is to book your team party once you receive your team schedule and know when your last game is going to be. Remember to consider playoffs and championship games when choosing your date and time. - When collecting money from parents for the end of the season party try to combine the monies needed for the coaches gifts, trophies, and team party into one total amount. Trophies The league will provide trophies to all teams! All you need to do is contact the secretary within 4 weeks of when you need your trophies. What kind of gift is the team expected to give the coaches after the season is over? - Most coaches do not expect anything; just the satisfaction that their team had a great time was reward enough for them. - The gift from the team shouldn’t be something of excessive value. o A framed picture of the team with an engrave nameplate. o An engraved plaque with the team information. o A gift certificate to the coach’s favorite restaurant, a thank you card, and a team picture. 2011 CASH RAFFLE All football players and cheerleaders are responsible for selling a book of 10 tickets. Tickets are $5.00 each. The parent is responsible for paying for the tickets if the child does not sell them ($50 total). The team moms are to keep track of which booklet each child receives. Prizes: 1st Prize - $500 2nd Prize - $300 3rd Prize - $100 Drawing – Home Game TBA DRIVE THRU DINNER FOR THE FAMILY Date: August 2011 (Exact date TBA) Time: 6-8 pm Place: Vacaville High Parking Lot Cost: TBD Includes: Half chicken, ribs, beans, coleslaw, and roll Team moms will be pre-selling tickets.
