To Administer the Survey • Cory the URL (web address) that is presented in the first section of the control panel • This is your organization’s unique web address • Paste the web address into the survey notice you send to staff Notice to Staff • Sample notice is available in second section of control panel • You may compose your own notice • Notice must contain the URL (web address) of the survey • Provide a strict deadline for completion • Typically 2-3 weeks is given for completion • Include how information will be used Reporting Periods • • • • • • January 1-March 31 April 1-June 30 July 1-September 30 October 1-December 31 No late surveys can be accepted Surveys can be completed and reports generated in one, two, three, or all four reporting periods Reports • May be reviewed first day of new reporting period • Click in “View Reports” on Administrative Page • Select Organizational Climate in Report Type drop-down box • Select the desired date • Click on “View Report” • Report will appear Report Contents-Section I • Overall Comparisons Section I compares your organization’s scores with all other scores derived from all behavioral health and human services organizations in the BPS database. • Statistics: Your organization’s mean score, group mean, percentile ranking, standard deviation, number of programs, number of responses for each survey item, each of the seven sections, and overall Report Contents-Section II • Benchmarking Initiative Comparisons Section II compares your organization’s scores with other organization’s involved in your benchmarking initiative. • Statistics: Your organization’s mean score, group mean, percentile ranking, standard deviation, number of programs, number of responses for each survey item, each of the seven sections, and overall Report Contents-Section III • Summary of Responses This section provides a break-out of your organization’s data by response choice (strongly agree, agree, etc) • N and percent provided Report Contents-Section IV • Narrative comments presented verbatim • Respondents cautioned against identifying themselves in survey Suspicious Activity Monitors • Efforts to “stuff the ballot box” are monitored and controlled • Attempts at repeat administrations in same session are thwarted • Two or more surveys in a row with all negative ratings are flagged • Contact person is notified of suspicious activity by BPS via email or telephone, depending on nature and extent Identifying Best Practices • Ramped-up process benchmarking regimen will take place on an ongoing basis to identify potential best practices in each of the seven survey dimensions • New webinar process benchmarking platform will be used
