Subject: Distribution of language software translation
This is to inform you that I have done research on the overseas market for language translation software
and found that China has huge market demand for it. In a population of 1.4 billion more than 70% of the
Chinese speaks Mandarin and according to estimates, only 1% speak the language English. So, people have
the difficulty in speaking English. Translation software is very much needed in this overseas market as
communication and information exchanges become much easier through translation software. China is
now one of the most lucrative international markets in which to conduct business. (CT Corporation Staff,
2019). China is the leader in product innovation, digitalization, research, and development. But one of the
barriers for China is the language barrier.
I have gathered some of the information about the Chinese culture and business etiquette that should be
considered. Appointments are a must for a business and should be informed prior to the meeting day.
They are very punctual about business meetings, so timing plays an important role. We must carry written
documents on the business meeting day along with the PowerPoint Presentation. People of China are
superstitious and depend on a lucky day for the final deal of the business. Another vital thing is that the
important member of our company should lead the business meeting as Chinese values rank and status.
Chinese are non-confrontational. They will never directly say ‘NO’ for an answer rather they will say ‘they
will think about it (Jing, 2020).
Further, I have researched some of the Chinese meeting etiquettes which I am conveying to you. The
proper use of mandarin Chinese greetings can pave the way for establishing a good relationship (Zhang,
2022). So, maintaining a good relationship is one of the good factors for the Chinese people. In the first
meeting, we can say ‘hao’ means hi or ‘hao ma’ means how are you (Zhang, 2022). In China, most people
should be addressed with their titles followed by their surname. Exchanging business cards is another key
part of introductions (Jing, 2020). Chinese people get impressed if somebody accepts business cards with
both hands. For the dining etiquette, another interesting piece of information I have gathered is one
should not stick chopsticks straight into the bowl as it is reserved for the funeral. Also, Chinese people
never accept expensive gifts in business meetings they sometimes misunderstand it as bribery.
As a marketing director, I suggest that our product language translation software should be distributed in
China as this country has a huge impact on the global market. With the help of them, we can expand our
product with other overseas as well.
Hence, I will be writing a letter to the distribution company in China and offering the business proposal to
the company.

My name is Jhilik Poddar, and I am the Marketing Director at Chalmers Controls, and our company makes
language translation software, headquartered in Northwest Arkansas in the United States. I am writing to
introduce our language translation software and we would like you to distribute our product in China.
Chalmers controls were founded in 1995 by John Chalmers and we are a leader in translation software
and offer over 30 different languages across the globe. We are growing and expanding and would like to
sell our product in China since it is a major hub for world trade and plays a major role in the international
market.
Our Software translation is built by using algorithms that draw on a database of words – like a dictionary.
They use these algorithms to translate the syntax (or rules) of one language to another. After you type in
a sentence it uses a rule formula to access certain components of the database and produces a translation
that is as accurate as possible in a fraction of a second. This will allow the translation of simple sentences
that are predictable like basic phrases, to be done quickly and perfectly.
We chose your company to distribute our software due to your reputation in China. Your company
distributes software all over China and are leader among software companies. Chalmers Controls would
like to engage with your company to distribute our product. I would like to set up a kickoff meeting so
that we can arrange a demo and a presentation.
