OFFICE MANAGER (FULL TIME / NON-EXEMPT STATUS) JOB SUMMARY The Office Manager will report to the VP of Engineering and will manage the day-to-day tasks to support the company and Engineering team. The ideal candidate will be detail-oriented, articulate, organized, and service-oriented. It will be important to be comfortable working in a small company environment and a typical startup with engineers and scientists. RESPONSIBILITIES Perform various tasks with little supervision to support the office and senior executives. These tasks may include, but are not limited to, scheduling appointments and meetings, maintaining calendar, preparing expense reports, preparing/editing presentations, scheduling travel arrangements, recording accurate meeting minutes; Be liaison for office and vendors and visitors; manage office related contracts, services, equipment, IT, etc. Ensure excellent customer service to all visitors. Preside over engineering office related logistics: copy services, word processing, mail and distribution services, office reception, office equipment, utility service, communication systems, office supplies, snacks & drinks, onboarding support for new hires, and others as needed. Plan fun off-sites, team dinners, culture-building events and holiday parties. Review and analyze incoming memos, submissions, and distribute them as needed. Own projects as assigned by the management (anything from doing some research to managing internal cross-functional project) Provide general administrative support as needed. Use various software, including word processing, spreadsheets, databases, and presentation software. QUALIFICATIONS AND REQUIRED SKILLS Education requirement: High School Diploma required, some college preferred. Experience requirement: 2-3 years of experience working in office environment, preferably in an executive support position. A self-motivated, detail-oriented, organized individual. Proactive approach to problem-solving with strong decision-making skills Ability to work independently and as a team and meet deadlines in a fast-paced environment. Strong verbal and written communication, good attitude, and work ethic. Knows how to manage up and keep people in the know Experience with Computers, Windows, Google suites, and associated software.
