1. Announcements and Additions/Changes to Agenda
Brooke Banks asked that Data Services Assessment, presented by Andy Miller, be added to the Agenda. There were no other additions to the Agenda.
2. Approval of Minutes from October 11, 2013
The Minutes of October 11, 2013 were approved with a few changes. Jennifer Meadows made a correction to the minutes indicating that the graphic design program in CDES does require laptop purchases but the media arts program in CDES decided not to go that way because the laptops could be outdated by the time students need it for advanced classes and software. Ras Smith, Associated Students Appointee was then introduced as a new member along with Noriyuki Sato (Geography & Planning), Peter DiFalco (Staff Council Appointee),
Anna Harris (Public Affairs and Publications Appointee), Jennifer Meadows (Academic Senate Appointee), and
Jim Mensching (College of Business Appointee).
3. Technology and the Profession Committee (TPC) Online Policy Update (Jennifer Meadows)
Jennifer Meadows presented information regarding the policies and procedures of the Technology and the
Professional Committee. She said there is still time for comments as the policy is now being revised.
4. Account Compromises and Email Blacklisting (Mark Hendricks)
Mark Hendricks spoke about the recently compromised CSU, Chico email and data systems. He said that the reason for some of these problems is that CSU, Chico web applications are not maintained or scanned for vulnerabilities and it has been determined that required training is necessary for staff to use the tools that they should in order to protect against vulnerabilities. Wendy Diamond asked about personally addressed emails that continually show up in her Inbox. For example, teachers that come across her website and want her to merge her website with theirs. Mark said you should never click on a link on an email. You should just go directly to the site. He also said to always send suspicious emails to ITSS.
5. Network Challenges and Plans (Scott Claverie)
Scott Claverie said that the campus has recently had some network challenges and spoke about the last event which involved a failed server causing problems with wireless access. The server was replaced. Wendy
Diamond said that she would like better communication with ITSS when there are outages when she is working at the public service desk in the library. She said she receives many calls asking about the outages so she would like more detail than just an ITSS status update. She also mentioned that it’s difficult to get through
to ITSS during these times. Brooke Banks said that she would work with Wendy separately regarding this situation. Anna Harris asked that Public Affairs be alerted as well. Scott continued with his presentation that, along with installing a new Aruba server, a firewall was added to the wireless network to prevent attacks.
Mike Schilling asked Scott who installed this new Aruba upgrade and Scott replied that Aruba was on campus at that time installing it. Peter DiFalco asked if there is any way to identify a user on a wireless device. Brooke
Banks answered that there’s a difference in how to connect as a guest and that Aruba can keep track of you and will only ask who you are every week or month. In other words, you don’t have to authenticate every time. Jim Mensching asked if he can have devices where he doesn't have to authenticate because he has to log in every time. Scott Claverie answered that he’s trying to make things as user friendly as possible and only make you log in every week or possibly every semester.
6. Lynda.com License (Wendy Bentley)
Wendy Bentley shared that IRES is interested in adding a new type of software training, called Lynda.com, to
ITSS. The training that ITSS currently offers is through that only reach a small percentage of the campus population. Wendy noted that we still have individual consultations through the ITSS Help Desk but that only reaches a few people. Lynda.com is the leader in content for software providing over 2000 courses. That equates to only about six dollars per person per year. CSU, Chico will start with staff only training for one year and will then look into adding student training. Jennifer Meadows said that she knew the Chancellors Office was looking into this but there were accessibility issues so she wanted to know if Lynda.com was accessible.
Brooke Banks said that she was not certain it was 100% accessible but ITSS is looking into it. Wendy Diamond said that she gets a lot of requests for training and highly recommends this company. Andy Miller asked if the search capability was easy. Wendy said that it is as it’s based on chapter names or you can research by topic.
She said that they’ve done a good job of organizing and augmenting quality materials. Brooke Banks said that
Lynda.com allows you to create playlists to individualize trainings. Wendy Bentley added that playlists can be created for early start students so they can be trained in some areas before they get to campus. Andy Miller asked if Lynda.com recognizes log ins as a student? Wendy said that it will. LeRita Ringel wanted to know if auxiliary staff will have access. Mike Spiess said that there’s a system wide agreement but we'll have to go through our base agreement.
7. Data Services Assessment (Andy Miller)
Andy Miller reported that he conducted a campus assessment to identify and guide assessment of our technology infrastructure using analytical and reporting tools. It will help guide how reports are vetted, definitions, etc. He said that he’s met with steering committee members to look at a charter. Mike Schilling asked what his vision for a timeframe was. Andy said it depends on funding and applications but he would guess six months from when we select vendor for sweeter products. He added that the technology is easy but the process is harder. Mike Schilling said that we will quickly be investing in some new hardware. Andy will update UTAC at the next meeting.
8. Other
The UTAC committee decided to discuss spring semester meeting times at the next meeting, December 6 th .
