Special Events Coordinator Purpose Purpose: To assist in the planning, preparing, and implementing support for all UTA Research Institute (UTARI) function, all non-UTARI events and programs conducted at UTARI, and other UTARI events held at other locations. Essential Functions Function 1: Planning all events/programs for UTARI administration. Acting as point of contact for events, from inception, execution and completion. Coordinating and supervising all special events and support activities on and off campus and within the community. Meets regularly with UTARI staff, and group sponsors to assist in planning and scheduling events and making arrangements for food and other services. 30 % Time Function 2: Develops and maintains information database. 20 % Time Function 3: Maintains frequent interaction with UTARI Communications and Marketing coordinator and other staff to keep the University News Service abreast of current publicity surrounding special events. Develops and maintains a working relationship with UTA events staff and non-UTA groups 10 % Time Function 4: Point of contact for all UTARI events and major visits, maintains RSVP lists, and prepares name tags prior to events. When necessary makes hotel reservations for overnight invited guest and speakers. 30 % Time Function 5: Works with the UTARI Financial Analyst to maintain budget expenditures and records for each function/event. Prepares reports as assigned 5 % Time Function 6: Performs related duties as required; recommends improvements to procedures and policies. 5 % Time Function 7: % Time Function 8: % Time Marginal/Incidental Functions Marginal/Incidental Functions: Other functions as assigned. Qualifications Required Qualifications: BA Degree and 3 years of experience or High School with seven years of experience. Excellent interpersonal and written/verbal communication skills. Working knowledge of audio-visual media. Excellent knowledge of Microsoft Word, Power Point, and Excel. Excellent knowledge of social media, specifically Facebook and Twitter.
