Grants and Contracts Specialist II Job Description TITLE: Grants and Contracts Specialist II JOB CODE: 9158 EFFECTIVE DATE: FLSA STATUS: E EEO6 CODE: 3 = Professional/Non-faculty PURPOSE: Provides Pre-Award/Post-Award administrative guidance in the processing of more complex research grant and contract proposals. Develops and maintains contacts with sources of faculty research support. Assists in proposal development and training presentations. Responsible for administering and monitoring procedures designed to comply with and implement appropriate regulations relating to government and private research grants and/or contracts pertaining to the interpretation and application of such procedures and regulations. DUTIES AND RESPONSIBILITIES: Maintains contacts with public and private agencies that are sources of faculty research support. Provides timely contracts with appropriate funding agencies. Initiates and maintains contacts with research faculty to assist them in developing preliminary and final proposals. Utilizes technical automated search processes via electronic media for external funding opportunities. Assists faculty in searching resource databases, prepares and verifies proposal budgets, reviews guidelines and advises faculty regarding sponsor university requirements. Reviews and analyzes various data sources to ensure current dissemination of information to faculty and staff including additions or modifications to government regulations regarding research safety. Coordinates meetings and supervises distribution of materials to committee members prior to meetings. Reviews and analyzes applications prior to committee meetings and verify documents are in compliance with university and government mandates. Investigates suspected violations of proper applications. Conducts presentations regarding the review process. Contacts principal investigators and advises them relative to grant and contract rules, regulations and procedures. Provides technical support to principal investigators in the review and submission of complex grant and contract proposals by providing information and guidance as to the use of University grant and contractor forms. Obtains requested reports from the principal investigators. Reviews requested budget changes on approved grants and contracts. Assists in the compilation of complex data and preparation of monthly, quarterly, and annual reports. Provides assistance in developing preliminary and final proposals. Performs other related duties as required. Participates in professional development training seminars/ conferences in related area. REPORTING RELATIONSHIPS: REPORTS TO: Work is performed under the general direction of the Assistant Director. Desired results are defined in general terms. The incumbent, based upon his/her specialized knowledge and experience, usually determines work methods or approaches to work problems. Only those problems which involve major deviations from established policies are referred to the Assistant Director or Director. Minimal supervision of work in process, but completed assignments are reviewed for thoroughness, consistency and adherence to policy limitations. SUPERVISION: N/A SUPERVISION-OTHER: Specific training and general supervision of Grants and Contracts Specialist I and support staff. REQUIRED EDUCATION: $education REQUIRED EDUCATION-OTHER: Bachelor's degree in business or public administration, social sciences, or a related field. REQUIRED EXPERIENCE / COMPETENCIES-OTHER: REQUIRED EXPERIENCES/COMPETENCIES: Two years of experience in the preparation and processing of research grant and/or contract proposals and in their administration, including one year of experience as Grants and Contracts Specialist I or its equivalent. OTHER REQUIREMENTS: Use of standard office machines, including typewriter, calculator or adding machine, personal computers for word processing, spreadsheets and entry of database information. Exacting accuracy in all phases of work. Proficiency in written and verbal communication to interpret administrative policy. Work is performed mostly in an office setting. May required occasional travel.
