Grants and Contracts Specialist I Job Description TITLE: Grants and Contracts Specialist I JOB CODE: 9159 EFFECTIVE DATE: FLSA STATUS: E EEO6 CODE: 3 = Professional/Non-faculty PURPOSE: Provides pre-award/post-award administrative guidance in the preparation processing of routine research grant and contract proposals. Maintains resource documents and information of all sources of funding and database retrieval operations. Responsible for interpretation and application of routine procedures and regulations relating to the administration of government and private research grants, contracts, and gifts. DUTIES AND RESPONSIBILITIES: Prepares notices of research opportunities and possible funding sources, according to faculty interests, from the OSP. Provides information to faculty concerning grant programs in terms of eligibility, deadlines, and appropriateness of research program. Oversees preparation and dissemination of the newsletter. Maintains the Library and cataloging system. Provides funding searches for faculty from federal, state, local government, and private sources. Oversees data entry update to the faculty profile and proposal tracking data base system. Assists in generating reports from this information system. Assists in workshops and training sessions on funding sources and proposal development. Provides technical support to principal investigators in the review and submission of routine grant and contract proposals. Reviews completed applications and contracts for accuracy, completeness and compliance with the requirements of the University and the prospective funding agency. Reviews correspondence with funding agencies and take appropriate action. Obtains various reports from the principal investigators. Verifies that requests for budget changes meet regulations and recommends approval or disapproval. Interacts frequently with principal investigators, assists with identifying sources of research funding and proposal development. Advise faculty principal investigators of grant and contract rules, regulations, and procedures. Obtains status reports and other information requested by funding organizations. Performs other related duties as required. Participates in professional development training seminars/conferences and specific training in fundamentals of research administration. REPORTING RELATIONSHIPS: REPORTS TO: Work is performed under the close direction of the Assistant Director. Desired results are clearly defined; work methods are prescribed according to departmental procedures. Although supervision is available, the incumbent is expected to resolve work problems as they arise, referring to the Assistant Director or Director only those situations which involve interpretation of policy or establishment of new procedures. Completed work is reviewed for technical quality, completeness, and soundness of conclusions or recommendations. SUPERVISION: N/A SUPERVISION-OTHER: Occasional direction given to technical assistants, secretarial staff and student assistants. REQUIRED EDUCATION: $education REQUIRED EDUCATION-OTHER: Bachelor's degree in business or public administration, social sciences, or a related field. REQUIRED EXPERIENCE / COMPETENCIES-OTHER: REQUIRED EXPERIENCES/COMPETENCIES: One year of experience in the preparation of research grants and contracts. OTHER REQUIREMENTS: Use of standard office machines including personal computer, typewriter, calculator and/or adding machine. Exacting accuracy in all phases of work. Requires the exercise of moderate judgment in the application of policy, practices and procedures to work related problems. Work is preformed mostly in an office setting. May require occasional, travel.
