Grants and Contracts Specialist III Job Description TITLE: Grants and Contracts Specialist III JOB CODE: 9157 EFFECTIVE DATE: FLSA STATUS: E EEO6 CODE: 3 = Professional/Non-faculty PURPOSE: Provide supervision and administration guidance of all Pre-Award/Post-Award activities. Provides guidance in the preparation and processing of complex research grants and contract proposals and for their management when awarded. Responsible for assisting in planning, coordinating, and supervision of the activities of the office; for developing and administering procedures designed to comply with appropriate regulations relating to the administration of government and private research grants, contracts and gifts; and for the interpretation and application of such procedures and regulations. DUTIES AND RESPONSIBILITIES: Directs the identification, development and maintenances of contracts with new and ongoing sources of faculty research support from public and private agencies. Initiates and maintains contracts with research faculty to assist them in developing preliminary and final proposals. Manages technical automated search processes via electronic media for external funding opportunities and assists faculty in searching databases. Oversees electronic proposal submissions. Manages the Office of Sponsored Projects Resource Library and newsletter activities. Identifies agency personnel (federal, state, foundations) and initiates invitations for their visit to UTA to meet with potential grantees. Provides workshops and training sessions on funding sources and proposal development. Trains Grants and Contracts Specialists and support personnel. Maintains frequent contact with principal investigators, external funding agencies and the State of Texas Washington Office. Manages outreach to new faculty, research-related councils and committees and other research related activities as assigned. Prepares forecasts of upcoming federal research initiatives. Prepares reports/summaries/analyses for university officials on research funding. Provides technical support to principal investigators in the review and submission of all routine/complex grant and contract proposals by providing information and guidance. Reviews completed applications and contracts for accuracy, completeness and compliance with the requirements of the University and the prospective funding agency. Obtains requested reports or other information from the principal investigators. Reviews requested budget changes in approved grants and contracts. Determines whether such changes are permissible under the terms of the grant or contract, and recommends approval or disapproval. Develops and administers training seminars. Performs other related duties as required. REPORTING RELATIONSHIPS: REPORTS TO: Work is performed under minimal direction of the Assistant Director. Desired results are indicated in broad terms or objectives. Work methods or approaches to work problems are determined almost entirely by the incumbent who is virtually selfsupervised because of his/her specialized knowledge and experience. Final results are appraised largely with respect to attainment of program objectives. SUPERVISION: N/A SUPERVISION-OTHER: General working supervision to Grants and Contracts Specialists I and II, and to Technical Assistants. Occasional direction given to secretarial staff and Computer Specialist. REQUIRED EDUCATION: $education REQUIRED EDUCATION-OTHER: Bachelor s degree required, preferably in business or public administration, social sciences, or a related field. REQUIRED EXPERIENCE / COMPETENCIES-OTHER: REQUIRED EXPERIENCES/COMPETENCIES: Three years of experience in the preparation and processing of research grant and/or contract proposals and in their administration, including at least three years of experience as Grants and Contracts Specialist II or its equivalent. OTHER REQUIREMENTS: Use of standard office machines, including typewriter and calculator or adding machine. Use of personal computers experience in word processing, spreadsheets and database. Exacting accuracy in all phases of work. Proficiency in written and verbal communication to interpret administrative policy. Work is performed mostly in an office setting. Occasional travel for training seminars and professional meetings.
