E&A Minutes March 3rd 2014 5:30pm I. II. III. IV. V. VI. VII. Call to Order a. Meeting is called to order at 5:30 Roll Call a. Quorum is established with 8 voting members Approval of Minutes a. Motion to table minutes from last meeting. Second. Approval of Agenda a. Motion to make a friendly and change “aloud” to “allow”. Second. b. Motion to approve the agenda. Second. Guest speakers: None Old business: None New business: a. Brainstorm title 6 to allow online voting b. Motion to suspend Roberts rule. Second. c. For online voting students must use their N number AND password for security purposes d. Concerns on blackboard online packets – will be discussed in separate bill. e. How to define polling station? f. Not okay with tablets/ipad’s to be distributed to vote. g. Emailed other schools to see how they run their elections and polling stations because it is not discussed much in their constitutions. h. Library/computer labs/student union will not be allowed to campaign – anywhere with a mass amount of computers will not be okay. i. Could be a possible disqualification j. Idea of using a coded hyper link to be able to vote but only be able to use link once – Would rather let students be able to log in prior to voting so students can read up on candidates and also after voting be able to change vote if need be. k. Concerned that this may make it even more difficult to acquire people who would like to run, seeing as how there is already no election present. l. Too easy to be disqualified vs. too easy to cheat. – must find happy medium. m. Argument of why Ipads are such a bad idea – Students should be more likely to ask who they’re voting for or what voting is for and ask other questions regarding student government if approached asking to vote, is that bad? n. Candidates are not allowed to be with a voter and take them to the polling booth. o. In the case of tablets – more students will probably be more likely to vote since many students to not visit polling station. Poll workers should not be confined to polling regions and wear student VIII. IX. X. government shirts to be unaffiliated with a party and find students to vote. p. Does this system benefit the students or student government? – With more votes it benefits the entire student party. q. How to protect the voters – to not make students uncomfortable or feel forced to vote or specifically vote for someone in particular. No pressure towards students. r. We may have to expand on our Code of Ethics to protect our role and also us in this polling/voting system. s. We need to educate the students more on what student government is and what we do, just so students don’t sell their votes for a piece of pizza and care less who/what their vote affects. t. There’s a huge difference between campaigning to people and watching them walk into the polling stations rather than holding an ipad in their face and watch them vote uncomfortably, security and privacy is so important in the voting process. u. Research for next meeting: See the affects on online voting, look up other school’s systems as well. v. Online voting in theory seems to work but there are other issues that arise with it. w. Possibility of extending the campaigning time span – the school calendar is very difficult to create a timespan for voting, before spring break vs. after spring break, pros and cons on both ends. x. Move up the declaration of intent from spring to turn into fall – however E&A chairs possibly change every semester so transitioning may be difficult between two different chairman. And full month of December will be a dead month. y. Motion to reinstate Roberts Rules. Second. Appointments: None Announcements a.
