University of North Florida Recruitment Code of Ethics
We, the undergraduate members of women’s fraternities and sororities at the University of North Florida, strive to
promote a positive image of Greek life. We believe that each sorority has a valuable contribution to make in serving all
women and the university community. The Panhellenic system supports individuality, not conformity; realizing that the
Greek community is enriched by the diverse and unique qualities each woman has to offer. In accordance with the dignity
and character of each sorority woman, we pledge to treat all collegians, both Greek and non-Greek, with the utmost
respect and honor. We believe that the highest level of trust should exist between individual chapters and their members,
fostering a spirit of friendship and harmony. We, as sorority members, will strive to be women of integrity, creating a
positive and exciting experience for all potential new members as well as displaying full cooperation and honorable
conduct among the sororities. We will exhibit positive attitudes and actions in all of our Recruitment efforts, and work
together to set a good example for all Potential New Members.
We support goals of Recruitment as being the following:
a. to give each Potential New Member maximum opportunity to join a chapter
b. to provide the fraternity experience to as many possible
c. to maintain adequate strength within and amongst our chapters
We agree to the following terms and conditions of recruitment:
a.
to respect the Potential New Member’s right to make her own choices including the right not to choose the Greek
community
b. to forbid “dirty rushing” within our chapters, as well deter our members from encouraging men to influence
Potential New Members in any way
c. to avoid disparaging remarks about any other chapter or college woman
d. to disaffiliate our chapter’s Recruitment Counselors and Panhellenic Council members, not using them in any way
as a liaison to Potential New members or to the advantage of our individual sorority
e. Most of all, we agree to act in true Panhellenic spirit throughout the Recruitment process as well as the whole year
remaining
f. The letter and spirit of The University of North Florida Panhellenic Council’s Recruitment Rules and the National
Panhellenic Conference (NPC) Unanimous Agreements will be upheld at all times by all affiliated and all alumni
members.
g. As no set of rules can encompass all situations, a spirit of fair play and confidence in the integrity of all sorority
members’ actions should be fostered and upheld. It is the responsibility of each sorority member to uphold this
code and for each chapter to hold their members accountable to the rules.
h. All exchange by sorority members and alumnae and Panhellenic affiliates and potential new members with regard
to Recruitment will be:
a. Non-competitive in nature;
b. Will not refer to bids or a potential member’s status in the Recruitment process;
c. Will be casual (i.e. not planned, scheduled, routine, or of an unusual manner.)
i. In case of Panhellenic difficulties, all chapters involved shall do their utmost to restore harmony and maintain
respect and to prevent negative publicity, both at UNF and in the community.
j. Recruitment Counselors are obligated by their Panhellenic contract to maintain zero contact with their chapters in
regards to Recruitment and may not participate in any Recruitment related functions. As such, sorority chapters
shall respect this and not encourage actions designed to get information from the Recruitment Counselors.
k. Chapter members, delegates, and officers of the Panhellenic Council will be guided by the following Ethical
Principles:
a. To respect autonomy: Individuals and groups have the right to make their own decisions, as long as those
decisions do not interfere with the rights and autonomy of others.
b. To have integrity: Avoid activities that may bring either physical or psychological harm to others and to
act purposefully to contribute to the health and well being of others.
c. To be just: Represent fairness and consistency for all parties involved.
d. To be faithful: An implicit agreement and belief to be loyal, truthful, and respectful and to keep promises.

Recruitment Rules and Guidelines
A. Formal Recruitment Policies and Procedures
1. Formal Recruitment will consist of five events as follows:
 Kickoff Night (at which no affiliated Sorority women shall be in attendance)
 30 minute Open House events
 40 minute Philanthropy events
 50 minute Preference events
 Bid Day
2. Formal Recruitment events will be held in suites or buildings at or near UNF approved by the
Panhellenic Council.
 Each chapter is responsible for following the individual rules and regulations of each
facility’s suite or building.
 Chapter Recruitment rooms will be checked, by representatives of Panhellenic Council, at a
time determined by Panhellenic Council prior to the beginning of Recruitment events each
night. These representatives will have final say regarding compliance with regulations.
 Once a room is approved by Panhellenic executive members, nothing may be added or
subtracted from the room.
3. During the Open House events of Formal Recruitment, only water will be served to Potential New
Members (PNM). During Philanthropy events, only a drink (for example, soda, juice, sparkling water)
will be served. During Preference events a drink (for example, soda, juice, sparkling water) will be
served, with the option of serving a small dessert item.
4. All Open Communication Forms must be submitted by May 1 and approved by the Panhellenic Council
VP Recruitment. Any clothing, chants, songs, decorations, beverages, food, entertainment, themes, and
room layout to include furniture and additional items, etc. to be used during events must be included
and approved at this time. There shall be no live props (excluding live flowers used for preference
ceremony) used in the rooms during Formal Recruitment events. All media and scrapbooks, including
videos and slideshows, to be used during Recruitment events must be submitted by August 1 and
approved by the Panhellenic Council VP Recruitment.
5. Alcohol and men shall not be involved in the Recruitment process in any way.
6. PNMs are not allowed to leave an event with anything from the Recruitment room, including but not
limited to food, party favors, decorations of any sort, etc.
7. All photographs of Recruitment Counselors and Panhellenic executive members must be completely
covered (entire body). All photographs on any Sorority website or other form of media must be removed
by May 1. This can include all photos in frames, scrapbooks, composites, slideshows, etc. within the
Recruitment room.
8. All PNMs attending an organization’s Preference must appear on the organization’s Bid List A or B.
9. Each Sorority must have one phone line open and a person to answer the phone during the formal
Recruitment period (from the beginning of Kick Off Night until after all bids have been extended) at all
times. A back up number may be supplied. If neither line is answered, the chapter will be fined $25.00
for each time the chapter is unavailable. ($25.00 if #1 and #2 are not answered).
10. Panhellenic will be committed to 24 hour communication by providing a 24 hour access phone line to
chapters during the formal recruitment period as defined in rule #9.
11. All Sororities must adhere to all scheduling of Recruitment activities. This includes but is not limited to
event start/end times, room check times, list turn-in times, and all scheduling procedures. A fine of
$10.00 per minute will be levied against any Sorority that does not comply with these times. Other
judicial sanctions may be determined by the Panhellenic Judicial Board in addition to the fine. In the
event of unforeseen circumstances that affect all sororities, Campus Panhellenic will be flexible and
make necessary adjustments without monetary consequences.
12. Each sorority woman is required to purchase a Panhellenic recruitment shirt as per the Public Relations
and Marketing plan.
13. Each sorority shall be prohibited from purchasing and wearing identical matching outfits and/or
accessories for/during formal recruitment; NO style numbers, NO brand specific
clothing/jewelry/footwear. Individual discretion should be used by members with guidance from
chapter.
a. This rule does not apply to first round t-shirts. Each chapter must design and order t-shirts for
the first round of recruitment. First round shirts must be approved by the Panhellenic VP
Recruitment.
i. Each chapter can choose up to two different styles of shirt (v-neck, tank, reg. t-shirt,
fitted t- shirt)
ii. Each shirt style may only be ordered in one color of fabric. (2 total colors, ex. green vnecks, white t-shirts)
iii. Each shirt must have the same printed design.
iv. Shirts should signify chapter designation without being negative or detrimental to the
“Go Greek” message and/or Panhellenic community.
14. All decorations/activities in recruitment rooms and at pre-recruitment events will be purposeful and in
support of values-based recruitment. Full disclosure of items is expected in the open communication
form (or prior to event in the case of pre-recruitment events). Questionable items may require
supporting evidence of necessity and purpose. Panhellenic reserves the right to ask chapters to remove
items from pre-recruitment events or formal recruitment rooms.

Pipe and drape may be used only on one short wall during all events. This can be used to section
off the room as well as display.

Chapters will not be permitted to have any type of skit or door stack/pile.

Chapters will not be permitted to bang/beat on walls/doors/floors or make any other “scary”
noises as Potential New Members are leaving or waiting to come into the recruitment rooms.

Appendix A: Room Items List
15. No sorority chapter shall hold events (including tabling) from the Friday before Fall classes begin
through the conclusion of Bid Day.
B. Potential New Member Guidelines
1. Participating in Recruitment requires a $50 non-refundable registration fee via credit or debit card
payable to the University of North Florida Panhellenic Council. Each PNM also must complete a
recruitment application using the ICS computer system. The ICS computer system will close for
registration 48 hours prior to the beginning of Kickoff Night.
2. Each PNM must attend Kickoff Night, Open House events, and then the maximum number of events to
which she has been invited each subsequent day.
3. Women registering in Formal Recruitment must be/have:
 A full time student at the University of North Florida registered with at least 12 credit hours in
the upcoming semester
 Not accepted a bid in the last year or been initiated into a NPC organization
4. A PNM must not miss an academic class or lab for the purpose of attending a Recruitment related
event. If there is a conflict between Recruitment events and academic requirements, the PNM should
contact her assigned Recruitment Counselor so that an excuse may be sent to the Sororities.
5. Recruitment Counselors and/or Panhellenic executive members will be stationed outside all events to
assist the PNMs if needed. If a PNM does not show up for a Recruitment event and has not excused
herself with her Recruitment Counselor, she will be released from Formal Recruitment.
C. Women’s Fraternity Member Guidelines
1. Sorority women must uphold a “Go Panhellenic” and/or “Go Greek” attitude in their actions and words.
This includes all events and forms of PR (for example, car tagging).
2. Sorority members shall not promise a PNM, verbally or written, a bid for their organization prior to the
issuing of bids on Bid Day. Promising of bids consists of “We” in place of “I” in reference to an entire
chapter or making references to future interactions. “I” or “We” shall be defined as:
 Chapter members may use the word “I” as a PNM is exiting a Recruitment event.
 “I” may NOT be used to confirm or indirectly promise an invitation for a PNM to return to the
next event.
 Chapter members may say, “I hope…” or “I would like…” but cannot speak on behalf of their
chapters by substituting the “I” for “We.”
 “I” may NOT be used in phrases such as, “I will see you tomorrow at our event.”
3. Sorority members who live with or have a special relationship with a PNM must inform the Panhellenic
Council Vice President of Recruitment by the first day of Summer B classes. Sorority members may
NOT visit PNMs at their residence during Formal Recruitment or vice versa, unless previously
registered with Panhellenic Council.
4. Sorority members may not purchase anything for a PNM. This includes but is not limited to party
favors, remembrances of any kind, and meals.
5. Each sorority shall select a “recruitment team” of 25 women to participate in various summer and fall
events prior to recruitment. The list can be flexible but must stay updated with Panhellenic. The
Panhellenic VP of Recruitment will determine the amount of women designated from the recruitment
team who are permitted to attend each event. These women will be in addition to the Panhellenic
Recruitment Team consisting of the executive board and recruitment counselors.
a. Freshmen Move In: Only 5 women from each recruitment team will be permitted per location.
6. The disaffiliation of Recruitment Counselors and Panhellenic executive members must be supported by
all affiliated women by making every effort to keep these women’s chapter affiliation unknown and a
non-issue among the Panhellenic community.
7. All Sorority chapter presidents, advisors and VP Recruitments are required to attend the reading of the
Recruitment Rules and Code of Ethics on a date set by the Panhellenic Vice President of Recruitment:
Chapter presidents and VP Recruitments will be responsible for educating their chapter members on
Formal Recruitment Rules and Code Of Ethics.
8. Positive Panhellenic Contact will be used at all times. That is to say, interaction and conversation is
permitted and encouraged between PNMs and affiliated members about Fraternity/Sorority Life
and/or Panhellenic Recruitment in general. All interaction between PNMs and affiliated members
should illustrate a “Go Panhellenic” attitude. Conversations about specific Sororities or chapters are not
permitted. Positive Panhellenic Contact will be limited to friendly brief conversations and public
greetings. Specific questions regarding Sorority Recruitment should be directed toward a Recruitment
Counselor or Panhellenic executive members.
9. At no time shall there be 3 or more affiliated members speaking to one PNM at the same time from the
end of the spring semester until bids have been extended. This includes on-campus and off-campus
events.
10. No chapter or sorority member shall be permitted to leave any electrical appliance unattended within
the Recruitment Venue at any time during formal recruitment.
11. Any chapter that does not attend two consecutive recruitment meetings shall be fined in the amount of
$50.00.
D. Recruitment Counselor/Panhellenic Executive Board Guidelines
1. All Recruitment Counselors will sign and abide by the Recruitment Counselor contract and are
expected to disaffiliate from their chapters as follows:


On June 1: Recruitment Counselors and Panhellenic executive board members will avoid
prolonged public contact with affiliated members. All chapter identifying materials must be
removed and/or not used in any form to include letters on vehicles, social media tags,
clothing/accessories, etc.
On August 1st Recruitment Counselors and Panhellenic executive board members will
completely disaffiliate from their chapters. Communication between affiliated and disaffiliated
members shall not occur in any form (verbal conversations and written messages). Social
gatherings, Facebook, text messages, phone calls, or private meetings (and other forms of
communication) are strictly prohibited. However, general and short, friendly public greetings
will be permitted.
2. Panhellenic executive members reserve the right to relieve any Recruitment Counselor from her
duties at any time should she break any recruitment rule. An RC’s chapter may face an infraction as
a result of her behavior.
3. If a Recruitment Counselor resides with any affiliated women and/or PNM, the Recruitment
Counselor must remove themselves (or the affiliated women must remove themselves) from the
home 24 hours before Kick Off Night until the conclusion of Bid Day.
E. Procedures for Extending Bids
1. A Sorority may not extend Continuous Open Bids (COB) during any pre-Recruitment period, which
is defined as: the day after the spring semester ends to the commencement of Bid Day.
F. Social Networking and Communication Guidelines
1. Beginning May 1, all sorority women (including disaffiliated members) shall
o
set their Facebook (or any online social network) profiles and pictures to be viewed by “Friends
Only” and set all other social media networks to “private”
i. Beginning the Friday before formal recruitment begins; all sorority women
(including disaffiliated members) shall deactivate Facebook until bid day ceremonies
have concluded. Exceptions to this rule will include: Panhellenic President,
Panhellenic VP Recruitment Operations, Panhellenic VP Recruitment Programming,
Panhellenic VP Public Relations, and one designee from each sorority chapter.
ii. All active undergraduate women affiliated with a Panhellenic sorority must join the
Facebook group created by Panhellenic for monitoring.
iii. There is to be no confirming or adding PNMs until all Bid Day events have
concluded.
2. The Panhellenic Judicial Committee will help to monitor online communication and media, in
addition to all other Recruitment Rules as specified herein.
THE UNANIMOUS AGREEMENTS OF THE NATIONAL PANHELLENIC COUNCIL CONTAINED
IN THE MOST RECENT COPY OF THE MANUAL OF INFORMATION (MOI) SHALL BE UPHELD
BY EACH CHAPTER AND ITS INDIVIDUAL CHAPTER MEMBERS, THE PANHELLENIC
COUNCIL EXECUTIVE BOARD AND RECRUITMENT COUNSELORS.
ALL CHAPTERS ARE GIVEN A COPY OF THESE RULES VIA ELECTRONIC MAIL TO THE
RECRUITMENT CHAIRS, PRESIDENTS, AND ADVISORS. IT IS THE RESPONSIBILITY OF THE
CHAPTER TO INFORM AND ENFORCE THESE RULES AMONG ITS MEMBERS AND
ALUMNAE.
ALL CHAPTERS WILL BE HELD ACCOUNTABLE FOR THESE RULES, THE PANHELLENIC
BYLAWS, THE RECRUITMENT CODE OF ETHICS, THE UNF CODE OF CONDUCT, AND THE
NATIONAL PANHELLENIC COUNCIL MOI.
