Shared Governance Committees Evaluation Criteria Facilities and Planning 2011 1. Does the committee hold regularly monthly meetings? According to the report that was turned in, yes, the committee seems to be meeting regularly. 2. Are the minutes and agendas of all meetings posted on the website? All of the agendas for the year are not posted and May and June’s minutes are missing. 3. Are the committees’ prioritized goals within the scope of the committee charter? The priorities mentioned on report are within the scope of the charter. I commend the committee for addressing the following issues: Take adequate time to address the structure and goals of the committee. Appoint leadership and set up regular meetings. Undertaking small but important issues regarding blinds, restrooms conditions, air conditioning etc. Conversing about large projects such as the Family and consumer studies building, Media Arts building, East campus, etc. Attendance of a GSE representative. Reporting on all Prop moneys and how it affects constructions costs. Committee members have moved forward and made some strides since its inception of Fall 2010 Recommendation: The above mentioned activities are impressive and key to the scope of this committee. Due to the their responsibilities, I would recommend that when changes are being made in any new building, that users are being brought into the conversation. I would like to see more “small” task force structure being used to pass along information. 4. Did the committee make progress toward last year’s recommendations from the SGTF? There is no existing recommendation from last year. 5. Are the members of the committee attending meetings regularly? No minutes posted for the month of May 2011. Therefore, based on a total of 8 minutes posted most members attended 7-8 meetings. Four members attended 3-4 meetings. The ASO appointee did not attend any meetings in 2011. See attached Chart 6. Is the committee at full membership? No the committee is not at full membership. The administer Vice President of Administrative Services position is vacant. The assigned administrator is not noted in the membership. Information Technology (IT) is not a part of the membership.
