Minutes December 8, 2015 Call to Order: SBS Chair Meeting was held on December 8, 2015 at Canyons Hall 201. It began at 3 o’ clock and was presided over by Paul Wickline, with Lisette Godinez as secretary. Attendance: Victoria Leonard, Renee Marshall, David Andrus, Sherrill Pennington, Tamara Stokes-Rice, Kathryn Coleman. Anne Marenco arrived late. Lisa Malley not in attendance. Clerical Support: Lisette Godinez, adult hourly clerical assistant to Paul Wickline introduced to SBS Chairs. Lisette started working this October and has begun work in Datatel, Sharepoint, and various projects. She is available to aid the Deans, and SBS Chairs and programs with a variety of projects and skills to lighten the workload wherever possible. A form is available to request clerical assistance; Lisette, or requester can fill out. End-of-Semester Housekeeping: Enrollment reports for SBS departments. Deneé wants to know which courses should be substituted, or waitlisted. As of today, there are few waitlist and a handful of classes with low enrollments. Chairs are advised to begin thinking about those classes that should be substituted, or cancelled. Let Paul know by Friday, December 11, what will be done. Those classes showing many waitlist students already could require a new section to open. Lisette will run a recent enrollment update and e-mail the Chairs. David Andrus would like to know why some teacher are filling up first than others. He asked Alberto to reverse the order of online classes, but it did not go through. The general consensus agreed that it could be the way the classes are listed, not necessarily popularity. But it is a concern of instructors. Should ask Jerry. Paul requests that more SBS Chairs or faculty join in on Enrollment Management Planning Team. They meet every Wednesdays at 2 or 3 in Canyons Hall 201. Paul is there, with few faculty, but would love more SBS representation. Students can space out required classes to lighten their workload during the winter in-between fall and spring semesters. Due to this, enrollments can drop in the spring semester, if there is a requirementheavy winter semester. Students are aware of this, after Advisors let them know. Winter Adjunct Contracts are being monitored and kept track of. Chairs are encouraged to give a gentle reminder to their adjuncts about turning them in. Contracts were mailed home. Winter Syllabi can be sent to Lisette to keep track of. She will send SBS chairs the format for syllabi to be saved in. Program Review: Questions can be sent to Paul. Anne Marenco clarified the forced cost for the program for the course-assessment coordinator. The language to go into the budget module – in the detail comment area, if requesting a course/assessment coordinator can still be placed. Issues should be captured at a level 1, prioritized at level 2 to determine forced cost to move on to Jerry, to Pac B. Paul doesn’t expect to do much with program review until after the break, on January 4th. However, he will look over those reviews that get in before then. Anne noticed glitches and font-issues with the form. Cynthia Madia is looking at it, and will get back to them. Paul recommends to append, put the comments in Microsoft Word and send both. While it is not a well-liked task, it is a way to get needs met and justified. 1 Minutes December 8, 2015 Hours: Paul wants to know how intrusive he should be in handling issues during the break. Chairs want to know how much work they can put in over the break. Paul will ask Jerry, though right now it is advised to use “judicious” judgement. Meetings: This is just something to touch-on, and kept for file later. If Paul is hired on as Dean, SBS department chair meetings should be held first, with the school meetings after so that there is enough time to deal with issues, and so that the chairs do not have to sit through the same meeting twice. Objectives: Paul went over the objectives from Dr. Robinson. There is a Colored Dot Activity for the school meeting to prioritize objectives from previous reviews, and to allow the departments to voice their opinion, or come up with new objectives that they feel should be focused on. Handouts will be passed out for the school meeting. Next Meeting: Next meeting will be changed to February. Sounds like the 9th works for a chair-only meeting, with the 23rd as a school meeting.
