Meeting Minutes
Wednesday, January 28, 2009 – 1:00 p.m.

I.
Call to Order
The meeting was called to order at 1:05 p.m.
Members & Alternates Present: Harold Tyler, Bill Mulrooney, Katie Gleason, Don
Goldberg, Connie Fitzsimons and Josie Cheung
Not present: Janice Ely, Jo Ann Higdon
Support staff: Carolee Vakil-Jessop, Miriam Ifill
II.
Approval of 1/14/09 Minutes
The following correction was requested: Change Don Goldberg to Connie
Fitzsimons in V.B and move SLO suggestion from V.B. to V.A. MOTION: Bill
Mulrooney moved and Josie Cheung seconded approving the minutes as corrected.
Minutes were unanimously approved as corrected.
III.
Budget Requests 08-09
A. Sound Equipment – Harold Tyler presented diagrams, information and a visual
example of sound equipment requested for Activity Center Events. Two quotes
were reviewed by the committee one for a larger system and one for a smaller
system. The benefits and drawbacks of each system was discussed. MOTION:
Katie Gleason moved and Don Goldberg seconded the purchase of the larger
unit for $2699.37 from the Special Request account. Motion unanimously
passed.
IV.
Miscellaneous Issues/Old Business
A. Definitions of Extra Curricular and Co-Curricular – after much discussion the
definitions were revised to read as follows:
a.
Co-Curricular: This term is used to designate an activity or program
that directly supports student learning in a credit or non-credit course
that is offered by the College. Examples:
1) Sports teams (baseball, football, soccer, basketball, etc.)
2) Student publications (Union newspaper, Myriad, Student magazine)
3) Fine Arts groups (Visual & performing arts, Forensics, etc.)

Extra-Curricular: This term is used to designate an activity or
program that may not be directly connected to a class yet enhances
the educational experience of students. Examples:
1) Student Government
2) Clubs and organizations

B. Definition of Special Request – after much discussion the definition was revised
to read as follows:
a.
A request that is made on behalf of a co- or extra-curricular program
or activity that was not anticipated when the budget was developed,
yet is considered essential to the maintenance of the program or
activity for the current year.
b.
The needs to develop the next stage of this funding mechanism
which is to determine the criteria by which they will evaluate
requests. This should capture past practice and looks ahead at
growth possibilities. Also it should stipulate that this funding is not for
on-going or repeated activities or needs.
C. Review of Division Income vs. Expenditures
a.
The committee evaluated the income produced and expenditures
made by Athletics, Fine Arts, and Union Newspaper. It was noted
that Fine Arts contributes significantly more income to ASB than
Athletics and receives less funding than athletics.
b.
The committee was given and briefly reviewed fund reports for all
ASB programs.
c.
Katie Gleason reminded the committee that the Foundation allocated
that last of the Musical Theater Fund for the spring musical. If the
ticket sales are poor and the funding is not reimbursed there will be
no more support available for future musical productions from that
fund
