The meeting began at 11:32 a.m.

Introductions were made to the Interim Dean of Enrollment Services, Bill Mulrooney.

Review May 11, 2012 Minutes

1.

No changes were made to the minutes.

Campus Updates

1.

Current job openings: Assistant Director of Financial Aid (closes on September 28 th

), Assistant

Director of Facilities, Director of Admissions & Records at the Compton Center, and Associate Dean of Academic Affairs (Claudia Lee’s replacement). Analyst for Academic Affairs (replacement for

Lovell Alford) is involved in the 320 reports and academic report writing and analysis. The Dean of

Enrollment Services position will open soon and remain posted for 45 days. In-house opportunity for

Director of Research and Planning (combining Planning and Research) will also remain open for 45 days.

2.

Ricky Shabazz, Dean of Student Services at Compton Center will temporarily oversee (with direction from B. Mulrooney and Espe Nieto) the Compton Center Admissions and Records. Dr. Margaret

Raney is the Interim Director of Admissions (Torrance campus) while B. Mulrooney serves as Interim

Dean of Enrollment Services.

3.

ECC Board of Trustees voted to place Measure E on the November 2012 ballot. Passing of

Proposition 30 will have a positive impact for California community colleges; Prop 38 will have a positive impact for K-12 only. Cabinet will make important budget decisions during election week. If

Prop 30 passes, there is a possibility of adding sections for spring (also possible to add 50 winter sections at Torrance and 50 for Compton). If Prop 30 fails, decisions will be made on what to cut (i.e. courses that do not contribute to degrees or transfer objectives).

4.

The Enrollment Management Committee needs student representation. Meetings are open to all and scheduled on the 2 nd Thursday of each month from 2-3:30pm in Library 202.

5.

Only 60% of students with priority registration registered on their registration date. Radical changes based on new legislation are coming for priority registration and repeatable courses starting Fall 2014.

Students will lose priority registration if they are on progress or academic probation level 2 or have

100+ units, but there will be provisions for appeals. This will impact almost every program on campus. New regulations must be incorporated with requirements of Student Success Task Force. An

Enrollment Management sub-committee will discuss policy & procedures. All campus programs should be involved in priority registration discussion.

Department Updates

Outreach (J. Ortiz)

1.

Outreach calendar is packed with events. Student ambassadors now work in smaller groups and are given the opportunity to pick schools to work and what they want to do there.

Area Council (J. Ortiz)

1.

Budget was discussed. If Prop 30 passes, sections may be added but may also be possible to purchase equipment requested in Plan Builder for SCA.

2.

“What’s happening with the planning process” document will be out in October to help everyone understand the planning process. Follow-up report to the Accreditation Commission due October 15 th

(document handed out and members were asked to share with their departments and give feedback to

J. Ortiz by the end of the month). College Council is working on document “How decisions are made at El Camino”- also out in October.

Council of Deans reviewing SCA board policies and procedures (5400, 5401, and 5420). Review and give feedback, comments or suggestions to J. Ortiz.

4.

Had issues with Info Desk computer monitors turning off/on.

5.

During Welcome Week, students were grateful ambassadors were stationed near the new MBA building with the lists that showed classroom changes.

6.

Increased number of parents showing up with their children to counseling appointments. Parents are allowed to sit in with the student if the student grants permission. Cancelation of Welcome Day may be one reason. Over 100 parents usually attend parent workshops on Welcome Day (over 75 for the

Spanish parent workshops).

Financial Aid (M. Arthur)

1.

Late with disbursements because of major software issue that has now been resolved. Anticipated disbursement schedule is posted on the F.A. website. The F.A. website is being streamlined to be more user-friendly.

2.

Lines are shorter because September 7 th

deadline passed. ECCFAID@elcamino.edu

emails have increased – emails are typically answered within 2-4 business days. Most emails ask basic information; recommend students come in person to discuss more detailed questions.

3.

In the process of looking into Financial Aid TV - an online, web-based service that help students understand financial aid through videos. A three-year contract would include FYE and other departments on campus.

4.

SAP emails will be sent to students later today - long lines expected next Monday. Satisfactory

Academic Progress – students must complete 67% classes attempted and maintain 2.0 GPA to be eligible for financial aid.

5.

Looking to update phone system to include a phone tree option which the campus pays for but not currently utilize. The issue with having unlimited number of phone licenses is not having enough staff to cover the phones. Would like phone tree option in Spanish.

6.

Front counter remodel was approved months ago. Waiting for Facilities to begin work. Lost funding?

7.

Eliminated drop box due to 90% error rate for forms left in the box.

8.

Online form pilot project begins this month for the loan program. Online loan applications will be available at end of September.

Assessment/Testing (H. Patel)

1.

Vicki Lockridge is on jury duty this week.

2.

Slow period for testing; one non-cert working per day.

3.

Administering DRP test to incoming Nursing 145 students for Compton Center and ECC. 110 nursing students tested during the first two weeks.

4.

Purging old records, filing and organizing current records.

5.

100% upload rate for test scores to Datatel. There is also backup system in MyECC for test scores dating back to 2001. ACCUPLACER website keeps scores dating back to 2009. Not many requests for scores dating back more than 2-3 years.

6.

Thirteen chemistry placement exams scheduled from November 5, 2012 – February 21, 2013 for

Spring 2013 enrollment. Another eleven DRP exams are scheduled for students not enrolled in

Nursing 145 with application deadline sometime in November.

First Year Experience (T. Clifford)

1.

Freshman reception on September 18 th

in the west end of the Activities Center. Kahea Kamahele is the guest speaker.

2.

Partnering with the Graduation Initiative to present free screening of film about first generation students on October 25 th

from 6:00-9:00pm in the East Dining Room. The filmmaker is a guest speaker. Movie covers the importance of getting a degree and the obstacles met by first generation students. There will also be a student panel of first generation students who already graduated.

3.

105 students and 10 faculty from FYE’s accelerated English classes will participate in UCLA challenge team building activities in October. Challenge is funded by the Graduation Initiative program.

4.

Former FYE counselor, Maria Estrada, was hired full-time at the Compton Center. Mario Escalante is the new part-time counselor, working 2 days a week. Sue Oda-Omori now works 2 days a week in

FYE focusing on transfer. She may work full-time in FYE starting January 2013.

ASO (B. Matson)

1.

ASO participated in a successful fundraiser selling donuts, coffee and water on the Library lawn during Welcome Week.

2.

Club Rush on September 10-13 was successful; many students expressed interest in joining clubs.

3.

U.S. Constitution Day on Monday, September 19 th

on the Library lawn from 10am-2pm.

4.

Special elections will be held next week to vote on changes made to ASO’s constitution.

5.

ASO unanimously passed resolution to support bond Measure E.

6.

Clubs will meet and network with their peers at today’s Club Mixer.

7.

Club Adviser Orientations will be held on September 11 th

at 1pm and September 26 th

at 4pm in the

West Conference Room.

8.

ICC is preparing for the annual fall blood drive on Oct. 9-11 and Homecoming on November 3 rd .

9.

Recruiting new ASO members and preparing for election of the Student Services officer. Application for any ASO position is available on the ASO webpage. No deadline to turn in application, but will need to fill this cabinet position as soon as possible. Received many candidates for Public Relations officer position. Senator and Commissioner positions are also open.

10.

ASO and ICC will be attending CCCSAA conference in October for leadership training. Statewide

General Assembly conference is scheduled in the spring.

11.

ECC is a pilot school for online program, MyEdu, contracted through the Chancellor’s Office.

Participating FYE students will input their information (including courses taken at other colleges) to create an Ed/degree plan. Program also manages students’ school and outside activities workload.

Student government may be next co-hort selected to give feedback for pilot program. There is no cost to students or college to use program. Companies pay for access to MyEdu database of students who give permission to be contacted by potential employers.

meeting is cancelled. The next meeting is scheduled on November 9, 2012.
