No changes were made to the meeting minutes.
Updates
1. Will Warren (ITS), Michelle Arthur, and W. Garcia are reviewing the campus Wi-Fi map
and working to increase Wi-Fi hot spots in the Student Services Center and Activities Center.
2. ECC’s Torrance campus commencement will be held on the Women’s Softball Field this
year.
3. Committee members can still email W. Garcia today their department’s feedback on Datatel
software/technical issues/glitches for the external consultant who will be reviewing our
current system. Include anything that feeds through Datatel, such as MyECC - student
constituency error messages is one example.
4. The Financial Aid front counter will not go through the significant remodel as planned last
fall. The quote to remodel was too high and the new Student Services Center is projected to
open spring 2017. The ergonomic concerns of the office will be addressed and the gap above
the front counter partitions will be closed off with a see-through metal cover/barrier.
5. Priority registration has changed significantly for summer/fall 2014. New in-district students
completing the three core services - orientation, testing and education plan – by March 31,
2014 will receive priority registration over continuing students.
a. There are problems capturing data of all students currently using the online
orientation that cannot be corrected. Some students are able to complete online
orientation, some not. Students who are able to complete the current online
orientation are encouraged to print the page showing they completed the orientation
to get credit. ITS can capture a list of students who log into the online orientation and
can notify Counseling that these students completed orientation. Who will enter the
data to give these students credit? A new online orientation is being developed and
targeted to go into effect on May 1, 2014. In the meantime, Outreach has changed the
process of assessment testing to include orientation and is working with the high
schools to set up both for their students. The new online orientation should eliminate
Outreach’s involvement with orientation in the future.
b. Reaction from continuing students have been mixed and discussed in some classes.
Some feel new students will be taking away their chances to get classes, others feel
new students will want classes they’ve already taken. Most are waiting to see how
this will impact their chances of getting the classes they need.
c. There has been an increase in the number of students testing.
6. ITS is working with departments to develop smart coding into Datatel to record services
rendered to students. This will affect mainly Outreach and Assessment/Testing within our
division. As a result of the Student Success Act of 2012, 50% of the institution’s funding will
be based on services rendered to students. Entering information into Datatel will continue
year-round.
7. The Social Justice Center library is dedicated to holocaust survivor Eva Brown. The Brown
Family endowment will be used to purchase more books for the library. Local volunteer
opportunities will be posted in the Social Justice Center. A TV-DVD player is available for
students to check out and view documentaries in the Center.
8. A discussion took place on how there is little done to communicate to the campus community
the positive things that happen on campus.
9. Current Sallie Mae debit cards will expire next month (March 18th). Financial aid students
with these cards must choose to receive their unused funds either by direct deposit (by going
online) or they will be defaulted to receive a check via US mail. ECC Financial Aid will
transition to Higher One at the end of March. Starting next fall, every financial aid student
eligible to receive funds will be sent a Higher One debit card – the student can decide to use
the card or not. Students will be able to use their debit cards on campus and anywhere where
Master Charge is accepted (as a debit or credit card). Higher One will provide training for
Financial Aid staff. A Higher One On-site Kickoff is scheduled on March 25, 2014 – select
staff from ECC and CEC will be invited to participate. A joint Financial Aid department
retreat is scheduled on April 25, 2014 and will showcase Higher One information.
10. Three division department program reviews are due on Monday, March 17, 2014 –
Assessment/Testing, Financial Aid and FYE. Staff should be contributing to this document.
