Review of February 14, 2014 Meeting Minutes
No changes were made.
Updates
1. All staff computers will be replaced, first computers with Windows XP and then computers
with Windows 7. The new computers have a 23-inch touch screen monitor, wireless
keyboard and wireless mouse.
2. Students are not able to access student services web pages such as online orientation,
MyECC Online Chat, California Dream Act, FAFSA website, IRS data retrieval website,
ECC Bookstore, and the Compton Center from computers in the Student Services Center
lobby and/or Financial Aid lab. An ITS work order was submitted a few weeks ago
requesting access to these web sites from these computers. The committee discussed the pros
and cons of restricting student computer usage. One restriction, such as setting time limits,
may not be feasible given that some students are slower than others in filling out online
forms (i.e. FAFSA). It would be difficult to monitor students using computers in the lobby.
3. It is not known when a consultant will be brought in to review the Colleague Datatel system
but W. Garcia will continue to collect staff issues and concerns with the system. The
constituency error and automatic upload of Cal Grant information for California Dream Act
students are two problems experienced within our division. There are coding issues/conflicts
involving non-social security records and ITS and A&R uploads for ECC and CEC. Unlike
the financial aid online FAFSA form, the online admissions form CCCApply does not verify
social security numbers.
4. Implementation of the new admissions CCCApply online application has been delayed. The
rollout was scheduled for February 2014. New features include English and Spanish versions,
a BOG component, and an application for international students.
5. Activity on campus will increase because new, in-district students will be here to complete
orientation, assessment and education plans by March 31, 2014 to receive priority
registration for summer/fall 2014. W. Garcia will propose April 4th as the deadline to
manually input the student data; he will verify the date with Cheryl Shenefield in ITS. April
22, 2014 is the first day of priority registration. Data entry into the Colleague CON screen
will be an on-going process; most Enrollment Services Division departments have been
trained. Matriculation or Student Success and Support Program (SSSP) funding will be based
on services rendered for assessments, orientations and education plans students receive.
6. Students did not notice much change with the new ECC website other than the main page.
Public Relations & Marketing is testing the main page first to see how well it is being
received. Once they receive feedback on the main page, they will focus on the next levels.
Committee members can email their suggestions about the main page to W. Garcia and he
will forward the information to Public Relations & Marketing. Departments are still
responsible for the content on their web pages.
7. Committee members were asked to email W. Garcia feedback they hear from students on the
summer/fall 2014 registration process. The drop date deadline and start of registration are
scheduled before students receive their university acceptance letters. Students with priority
registration still have scheduling issues (overlapping schedules, unavailable classes, etc.). W.
Garcia will find out from Public Relations & Marketing when fall class schedules will
become available.
8. For the financial aid Satisfactory Academic Progress (SAP) policy, Datatel tracks a default of
90 units and is not set up to track students who fall under the new SAP policy 150% rule –
maximum timeframe based on each student’s individual program of study. A&R does not
have the staff to manually track and enter data, or keep up with program changes and varying
number of units each program requires. Espe Nieto is a good A&R point-of-contact for caseby-case issues until we receive further direction.
9. Priority registration services are part of a continuing process and do not end on March 31,
2014.
10. Commencement will be held on the softball field this year. Fall and summer 2013 graduates
should be receiving their graduation letters soon. If all goes well, the softball field will be
used again next year. If not, an alternate site will have to be identified for next year.
11. This is Student Development’s busiest time of the year: Academic Awards and Presidential
Scholars Ceremony are scheduled on April 16th. ASO elections will take place the first week
in April. The Student Senate for California Community Colleges (SSCCC) Spring General
Assembly takes place the first weekend in May. ICC Warrior Games and International Food
Fair will take place in April.
