ENROLLMENT SERVICES DIVISION COUNCIL MEETING DATE: SEPTEMBER 26, 2014 Chairperson: William Garcia Members Present: Sabrina Farah, Lorena Garcia, Julieta Ortiz, Ngoc Tran, Breanna von Stein Recorder: Lucy Nelson The meeting began at 9:00 a.m. Sabrina Farah, ASO’s Director of External Affairs, was introduced to the committee members. Sabrina was sitting in as the alternate for the committee’s regular student representative, Janae Alvira, ASO Director of Student & Community Advancement. Review May 9, 2014 Meeting Minutes The minutes were reviewed and approved. Updates 1. Starting in January 2015, Alexis Estwick from Foster and Kinship Care will be the new SCA Area Council member representing Enrollment Services. J. Ortiz will attend the November meeting and L. Nelson will attend the meeting in December. J. Ortiz represented Enrollment Services on the SCA Area Council for the past two - three years. 2. A 14-member ACCJC Accreditation Team will visit the ECC and CEC campuses the week of October 6 – 9, 2014. The members will receive a campus tour led by student ambassadors on October 6th at 3:30pm. An exit meeting open to the campus is scheduled on Thursday, October 9th at 1pm in the Haag Recital Hall. 3. Department web pages should be updated and reviewed each month. Student Area Outcomes (SAOs) should be updated. Make sure web page links are active and correct, especially links that have been included on the accreditation report provided to the visiting team. 4. Counseling Services and Admissions & Records now have extended hours, Monday through Thursday from 9:00am-7:00pm. The Information Desk will also offer extended hours. 5. Space allocation planning for the new Student Services Center continues and will have student input during the next round of planning. The committee discussed ways to eliminate lines for various services. How about a system using monitors and a general waiting area? There may not be sufficient space for this set-up on the second floor where Counseling and Financial Aid will be located. The new building will have less square footage compared to the current building. Long lines may be less of an issue and occur only during peak periods such as drop for non-payment deadlines and during the first few weeks of the semester. A recommendation was made to set up a water station/drinking fountains for refillable water bottles. W. Garcia can make these recommendations at the next meeting with the architects. W. Garcia mentioned that a student representative will be needed to participate in continued space planning discussions about the new building. 6. Michelle Arthur has been serving as the Acting Director of Student Development since August - until further notice. Her temporary office is located in the Student Activities Center, room 160. W. Garcia will temporarily handle student grievances while M. Arthur oversees student discipline. 7. Dr. Regina Smith resigned from El Camino College and accepted the position of VP of Student Services at LA City College. Dr. Kay Ragan is the Interim Dean of Counseling through November. 8. A vast majority of constituency error messages students received trying to log in to MyECC was resolved after separate student and staff logins were created on the portal. 9. Admission applications for summer/fall 2015 will be available starting November 1, 2014. Students must complete assessment, orientation and an education plan by March 31, 2015 to qualify for priority registration. 10. W. Garcia is following up on the new online orientation for both campuses that was originally scheduled to go live on May 1, 2014. The Counseling Division was coordinating this project. W. Garcia’s goal is to have the new online orientation completed by November 1, 2014. The ECC Torrance campus and Compton Center will have separate online orientations. 11. To avoid having students log in to MyECC to access their emails, there are plans to create an email link directly from the ECC homepage. ITS is working on a new phone app (Ellucian Go) to access MyECC – it is easier and more accessible than MOX. a. Currently hiring for the following positions in the Enrollment Services Division: First Year Experience Student Services Advisor, Outreach & School Relations Student Services Specialist, Full-time Counselor (50% Financial Aid/50% Generalist), and 10 adjunct Outreach counselors. 12. Outreach is working with Public Information to promote school spirit with “Warrior Wednesdays.” Everyone is encouraged to wear ECC attire each Wednesday. Outreach is also working with the Bookstore to provide discount incentives on ECC apparel. 13. Students voted to implement a $10 student activities fee each semester starting spring 2015. Students will automatically be charged the $10 student activities fee but will be able to ‘opt out’ of paying in MyECC, up through the first two weeks of the semester. The activities fee is used to support student-centered events. 14. This has been a successful semester so far for ASO; increasing the number of student participants with ASO. 15. Outreach testing begins on Fridays in December – the eleven dates scheduled will be sent to Vicki Lockridge/Assessment Testing Office. The basic skills lab has been reserved on Fridays, December 2014 through March 2015. 16. The committee decided on the following meeting dates for the remainder of 2014: a. Friday, October 17, 2014 at 9:00 a.m. in SSVC 200 b. Friday, November 21, 2014 at 8:00 a.m. in SSVC 200 c. Friday, December 12, 2014 at 9:00 a.m. in SSVC 200 The meeting adjourned at 9:48 a.m. 2
