ENROLLMENT SERVICES DIVISION COUNCIL MEETING DATE: MARCH 8, 2013 Chairperson: William Garcia Members Present: Ben Ceja, Theresa Clifford, Robin Dreizler, Lorena Garcia, Sara Hafiz, Ngoc Tran, Carolee Vakil-Jessop Recorder: Lucy Nelson The meeting began at 2:00pm. Review February 1, 2013 Meeting Minutes and March Newsletter 1. No changes or corrections were made. Student Success Task Force Recommendations 1. Priority registration for Summer/Fall 2014 will start with the legally mandated groups Veterans and Foster Youth, and EOPS and DSPS students who completed orientation, assessment, and an education plan. Discussions underway whether or not to separate Summer 2014 and Fall 2014 registration. Elimination of winter session will move up the registration timeline. 2. Orientation is provided by Counseling, online or in person. Revising the online orientation is under consideration. Orientations should be useful and user-friendly. Updates 1. W. Garcia will follow up with ITS on the progress of getting the plasma monitors in the Student Services Center to work again, either with a computer or DVD player. R. Dreizler will find out if the Help Desk computer has a USB port. 2. Wireless connection on the second floor of the Student Services Center is spotty. Will check with ITS on the cost to strengthen the signal. This will help service students and decrease the numbers waiting in the financial aid line. Start of the Spring Semester Comments: 1. Walking the financial aid lines made a huge difference and helped reduce students’ level of anxiety. The financial aid lines were noticeably shorter. 2. The Activities Center was busy at photo ID and the add/drop assistance in the east lounge. Considering not having a FA rep at the add/drop assistance for Fall 2013 – resources are better served in the office/lab. 3. The noise level is high at the seven financial aid front counter service windows – student and staff cannot hear very well through the new glass windows. Privacy partitions on the student side of the counter were not in the original plans and there are no funds to install them. Other issues include the open window holes and problems with the document pass-through area. W. Garcia will discuss with the Financial Aid assistants and managers to see what can be done. The District does not have the funds to correct the problems. Committee members were encouraged to visit the Financial Aid office to see the problems with the front counter. 4. W. Garcia took the math and English placement tests in the Assessment Center to experience what students go through. The staff does a great job in welcoming and assisting students; it was freezing in the computer testing room. Many students take the tutorial before taking the computerized tests. Tests are not timed and take approximately 2 hours to complete. 5. The Graduation Initiative office moved to a smaller space in Administration 205. It was difficult moving during the busy second week of school. They appreciated the help from Facilities and ITS in making it a smooth transition. 6. Nine ASO students traveled to Sacramento to participate in March in March. Six students and Breanna von Stein will be headed to Washington, DC to attend the ASACC Conference. Open Forum Student Development – C. Vakil-Jessop 1. First annual Social Justice Fair is scheduled on Tuesday, 3/12/13 – 50 non-profit organizations that promote social causes will participate. Domestic violence movie will be shown at 6pm in East Lounge of the Activities Center. Goal is to encourage students to get more involved in making a difference. 2. Waiting to hear if goal for the number of pints collected at the blood drive was met. 3. Preparing for Academic Awards ceremony on 5/15/13 at 5pm in East Dining room and Commencement ceremony on 6/7/13 at 4pm in Murdock Stadium. Reception on the Library Lawn at 1pm. 4. Upcoming events: Student Senate of California Community Colleges Spring General Assembly the first weekend in May; ICC Spring games in April; ASO & ICC Recognition Banquet in late May; International Fair in late April or early May; health and wellness fair hosted by ASO later in March; AGS Stole ceremony 6/7/13 at 12pm; ASO elections in early May. There are 55 active student clubs this semester. ASO – S. Hafiz 1. Students will be surveyed on the services they receive in the Student Services building. S. Hafiz will bring back feedback to the committee. Suggestion was made to break down components of what students liked or did not like. Outreach – R. Dreizler 1. Planning for out-of-state recruiting in Maryland, Hawaii, and Nevada in the spring, and Texas, Maryland, Hawaii, Arizona and Kansas in the fall. Will hire a few former student ambassadors who live in other states to attend recruitment fairs. 2. Testing at the high schools continue – L. Garcia from Testing will help next week. T. Clifford requested the schedule for high school testing. Discussion followed about the definition/parameters of orientation. 3. Space Day is scheduled for April 2013 – largest event marketed to middle schools. Financial Aid – N. Tran 1. New student FAFSA Fall 2013 application information will be downloaded into Datatel by April. Expecting long lines. First Year Experience – T. Clifford 1. Increased high school recruiting. Cut down the number of learning communities for the fall. The meeting adjourned at 3:05pm. 2
